Six Easy and Stress-Free Ways to Ease Your Company into Working From Home During COVID-19

Has your team transitioned to remote work? Are you still trying to work out all the details? If so, we understand the challenges you may be facing as a result of the COVID-19 outbreak. This crisis has disrupted daily life for most people across the globe. From self-quarantining to financial challenges, there is a lot to be anxious about right now.
Nevertheless, we know that in addition to all the other things you may be dealing with, navigating the steps of how to move your team from onsite work to remote work can feel downright stressful. Well, we want to help alleviate some of that stress. The best way to handle a crisis like COVID-19 is by taking one step at a time."
If you are in the process of helping your team move to remote work during the COVID-19 crisis, or have already done so but are still getting your footing, we have some steps to help you smoothly move through this time. Also, to make life a bit easier, we will include some critical new features from our FLUJO enterprise suite that can help you move through each step.
Here are six easy and stress-free ways to ease your company into working from home during the coronavirus outbreak.
Be Honest With Your Team
Before you send your employees and team members off to work at their homes with work-from-home apps, you want to be sure everyone understands what is happening and how you will keep everyone up-to-date on when things may be going back to normal. Let employees know the guidelines you are keeping an eye on (ex. The CDC, WHO, or your country's national health department). Also, discuss how things will change. Will you now have daily stand-up meetings that you didn't have before? Should everyone be signed into a specific remote work tool at all times for impromptu messaging? Look at all the ways life will change, and communicate that during this remote work arrangement as a result of COVID-19.
Decide on How Everyone Will Stay in Touch
Email is great, but you no longer have the privilege of jogging over to your team member's desk to run an idea by them. So, it would help if you mimicked this with WFH tools. Recently, our development team just set up audio and video meetings with screen sharing options and "@ mentions" on our messenger app. These features allow you to meet with colleagues immediately or directly refer to or speak to them throughout your workday. So, take the time to establish communication logistics that work for you and your team during this work from home setup due to COVID-19. Whether it be planned video meetings or an audio conference call, find the remote work tool that works for your workflow.
Establish Document Access and Storage Protocols
Next, it's time to decide how you and your team will share and access documents. We all know that documentation can pile up, especially if you are right in the middle of a project. It's important that you determine who has access to documents, how they will be organized and named, and where they will be stored. Our team has tried to make this easy for users by implementing an automated file management system that automatically groups your files and folders. Nevertheless, while our tool can make organization easy, take the time to decide who has access to various documents as well as who can edit and view them. Lastly, be sure to develop a process for granting request access efficiently with your WFH tool.
Choose a Process for Delegating Tasks and Tracking Process
This step may be one of the most important systems that you set up during this work-from-home situation caused by COVID-19. Choosing a process for keeping track of who is responsible for various tasks, and how to check their progress is critical to your workplace productivity during this time. Again, our team has stepped in to make this a streamlined and stress-free process for organizations with our work-from-home apps. We just added Kanbans cards, which is an efficient practice for tracking, sorting, and planning workflows. You can even attach to-do lists to each card. This process is an excellent way to track your team's progress visually; however, if you want additional oversight, you can also generate analytics reports of workspace activities.
Encourage Collaboration
Again, you and your team no longer have the opportunity to work through a problem together in the boardroom or brainstorm with the help of a physical whiteboard. Everything has to happen on your remote work tool. Fortunately, our enterprise-level features make it easy to do everything in one place. FLUJO allows you to encourage trust and collaboration among your team during this time of remote work due to COVID-19. Whether you want to hold a remote presentation and share your screen, take advantage of direct and group chats, or sync to Google Drive to simultaneously work on a document, your team's collaboration routines can thrive with our WFH tool.
Make a Practice of Checking-In
This is a tough time. The stress that COVID-19 brings to a remote work situation, as well as in our daily lives, can feel overwhelming. Your team is adjusting to a new reality. The daily routine of going to work and collaborating in person is temporarily on hold. This reason is why it is essential to set up a time during the week to check in to see how your team is managing their work and help them navigate any stressful situations arising because of this work from home scenario. It is also a great idea to encourage your team members to check in with one another using work-from-home apps. Whether they use features like group chat to send funny memes or set up video meetings for a virtual lunch, you want your team to have the option to mimic informal events with a remote work tool.
We Want to Help
Whether you go with FLUJO or choose another tool, we want you to find the enterprise-level app that will help you take the necessary steps to facilitate remote work. This work-from-home situation due to COVID-19 is stressful, but getting your team online doesn't have to be.

What is FLUJO? — The Ideal Productivity Platform
Harnessing the Power of Teamwork for Stellar Marketing CampaignsLet’s be honest; work is hard. Many times, it isn’t the task that is difficult, but the logistics and processes related to how work happens that can be challenging to manage. Have to create a marketing strategy? Well, your experience and skill-level will make the task itself manageable, but the process for collaborating with other …now that could be a struggle.
How do you assign various marketing tasks to others? How do you know if someone completed the job? What if you need to schedule a meeting with someone quickly? Figuring out the logistics behind this one task can be overwhelming.
So, what would happen if you could expand productivity and take the hassle out of planning out the “process?”
A Productivity Multiplier?
When it comes to accomplishing all you need to, you need a tool that can improve your productivity, and multiply your effectiveness. You have the ideas, and you know what you need to accomplish, but you need a productivity platform that can make it easier to maximize your time.

FLUJO exists to do just that. It is the ultimate productivity multiplier and platform. It is a tool that gives you the freedom and flexibility to handle your core business functions, while FLUJO takes care of the processes surrounding them. So, how can FLUJO make the process of work much more natural and straightforward for you and your team?
Let’s see what a day in the life of someone using FLUJO could be like.
A Day in the Life of Teams using FLUJO
Turning a Chaotic Morning into the Start of a Streamlined Workday
Derek is the owner of a software development company. His business produces a tool that helps small businesses streamline their social media marketing processes. He and his team are preparing for a new product rollout, and they just began using FLUJO, a productivity platform.
At 8:00 am EST, Derek gets ready for the day. He signs on to FLUJO to take a look at the various teams he created. For the past year, Derek has faced a challenge in being able to address the needs of each functional department while also giving them a space to handle their individual projects, so he created team groups for the finance and accounting, marketing, and product development teams.
Today, Derek needs to meet with marketing to discuss a new product rollout. So, on Thursday he created a meeting request with the link to a Zoom virtual conference.
Many times, Derek’s teams are working during various times of the week — due to multiple time zone differences — so this is how FLUJO’s calendar feature made the process of setting up meetings much more streamlined and straightforward:
To give a team the heads-up regarding meeting topics, Derek was able to start a discussion thread on the proposed meeting agenda.
Derek was also able to avoid scheduling conflicts as the calendar revealed the team’s other meetings and commitments.
Derek also set reminders for the meeting, so each team member would receive an alert three days, one day, and an hour before the scheduled meeting by email.
This process prevented Derek from having to risk sending an invite by email (where it could have been missed in a barrage of email messages) and setting up meeting reminders using Google Calendar or another platform. Derek was able to schedule the meeting, preview topics, and set up reminders from one platform.
Harnessing the Power of Teamwork for Stellar Marketing Campaigns
There are 30 days left until the new product launch. The marketing team has been given their marching orders, and Alice, the marketing director, is ready to get with her team to ensure they accomplish all they need to.
In the past, Alice would have bounced between tools like Trello, Google Drive, and Todoist to keep up with designated tasks for the team to accomplish in this last month. However, Alice needed a productivity boost and wanted to simplify the process.
As Alice mapped out her plan for managing this last month of the rollout, she put together all the resources FLUJO had to offer to multiply her productivity.
Alice begins by importing documents from Google Drive to FLUJO’s team Drive to have all plans and forms in one place. Here she makes space for marketing strategy plans and a content calendar. For each person on her team, Alice created duties and deadlines using the Task feature. Now, everyone can access the strategy, add to the content creation document, and keep track of their tasks and projects in one location.
Enhance the Product Development and Project Management Process
While Alice is taking the lead with the marketing team, Shawn is heading up the product management process. His team is in charge of ensuring the new rollout is error-free and delivered by the deadline.
He and the marketing team are working together to prepare for a product launch event. Alice and Shawn jointly decided on the date and set up the launch using the Events feature. Fortunately, enough, the feature revealed that there was a conflict with a team retreat and brainstorm session. As a result, the launch event was moved to another day.
Shawn and his team are almost at the end of the product development cycle; however, there is still much to be done. Shawn delegates final budget confirmations, and quality testing to himself. He then assigns the task of final design changes to various members of his team using the Task feature.
Shawn also imports documents to the FLUJO Drive for the sharing of critical product documents. Unfortunately, one of his team members doesn’t have space on her Drive to support new materials. Shawn fixes this problem by sharing his Drive space with her so she can access and create files that are essential for the completion of the process.
All of these occurrences lead to the successful launch of the product. These teams have the tools and space they need to collaborate in one place.
A One-Stop-Shop for all Things Productivity
The goal of the FLUJO team is to have every project turn out like the one above. Accomplishing duties at work is hard enough. As a result, we feel the process of getting the job done should be as straightforward and seamless as possible.

In and of itself, FLUJO is a to-do list app, project management tool, calendar scheduler, team communication, and cloud-based drive wrapped into one robust productivity tool. FLUJO serves the team as well as the individual by allowing workers to keep track of personal notes, and track their progress using the Task and To-Do feature. It is the ideal productivity platform.
We want to facilitate a process where entrepreneurs and teams no longer have to bounce around to multiple apps or pay to use a variety of tools. With FLUJO, everything you need to be productive is in one place. Again, work is hard enough; FLUJO is here to make the processes surrounding it less stressful and more straightforward.
