Buying industrial spares online? Check this list on documentation and supplier relationship management
In today's digital age, purchasing industrial spares online has emerged as a popular trend for businesses seeking convenience, cost-effectiveness, and a broad selection of products. However, the online procurement of industrial spares demands meticulous attention to documentation and supplier relationship management. Here, we delve into critical documentation and relationship management practices for online industrial spare purchases.
Documentation for Online Purchases:
Product Specifications and Technical Data Sheets: Before finalising any purchase, it's important to scrutinise the product specifications and technical data sheets supplied by the vendor. These documents furnish key details about the industrial spare, including its dimensions, constituent materials, compatibility, and performance metrics. Familiarising yourself with these specifics ensures that the acquired spare aligns seamlessly with your equipment.
Warranty and Return Policies: Always check the warranty stipulations attached to the products. A robust warranty provides a buffer against parts that might be defective or don't function as anticipated. Also, acquaint yourself with the period during which the warranty remains valid. Furthermore, understanding the return policies can mitigate potential losses if the delivered spares are faulty, mismatched, or compromised. Transparent return procedures facilitate easier compensation claims in adverse scenarios.
Invoice and Payment Records: It's a good idea to keep all your online purchase receipts and invoices. These papers help with budgeting, accounting, matching up transactions, and showing proof of your purchase.
Delivery Confirmation and Tracking: Get delivery confirmation and track delivery information from the vendor. Armed with this data, you can effortlessly monitor the consignment's real-time status and anticipate its delivery. If delays surface unexpectedly, tracking specifics become instrumental for liaising with vendors.
Supplier Relationship Management for Online Purchases:
Communication Channels: Talk clearly with sellers. Discuss details, set delivery times, and mention any special needs. Keep lines open for questions and problems to maintain a good relationship with the seller.
Timely Response and Support: Check how fast and helpful the supplier is during the buying process. A good seller quickly answers questions and helps out, especially during urgent or unexpected situations.
Collaborative Problem-Solving: When confronted with challenges, adopt a collaborative problem-solving attitude. Understand that both you and the supplier have a stake in resolving issues. Sharing the responsibility can lighten the burden and lead to better solutions.
Avoid Blame Game: Finger-pointing can harm relationships. Instead, focus on understanding the root cause and finding solutions.
Set Clear Expectations: Clearly outline what you hope to achieve from the collaboration. Having mutual goals ensures everyone is on the same page.
Celebrate Successes: When you successfully navigate a challenge together, take a moment to recognize and appreciate the effort. This can boost morale and strengthen the relationship.
Feedback: Always provide feedback, both positive and constructive, to ensure continuous improvement in the partnership.

How to store industrial spare parts properly?
Proper storage and maintenance are important for maintaining the quality and functionality of industrial spare parts. By ensuring that spare parts are stored and maintained correctly, their longevity and durability in service can be maximised, thereby improving the functioning of industrial equipment. To help achieve this, below are some general guidelines to follow when storing industrial spare parts:
Tumblr media
Clean and dry the spare parts before storing them:
Before storing spare parts, it is important to clean and dry them properly. Also, examine the spare parts for any manufacturing debris or contaminants. To remove any dirt and moisture, use a cloth or compressed air. Cleaning before storage can increase the lifespan of the spare parts and enhance their usability. If spare parts are not cleaned and maintained properly, they may collect dust on their surface, leading to reduced longevity and damage. Dirt, debris, or contaminants can also cause subsequent corrosion to the parts. To clean out harmful contaminants or dirt, most facilities flush with a low viscosity flushing oil.
Use appropriate packaging:
Based on the size, weight and fragility of the spare part, choose the appropriate packaging material. For instance, small sized and lightweight spare parts can be packed in plastic bags or containers. Larger and heavier items will require robust packaging materials. Crates and pallets are ideal for such packaging as they can provide sturdiness as well as added protection during transportation. It is also important to note that the packaging material must be durable and protective enough to prevent accumulation of dust, moisture and other contaminants. When delicate items are being transported, foam, bubble wrap and cushioning materials are used to provide protection during transportation in small or large quantities.
Outer packaging: Wood and cardboard are most commonly used.
Inner protective packaging: Polyurethane foam, padded packing paper, airbags, and bubble wrap.
The packaging material is chosen keeping in mind the following few factors:
Resistance
Flexibility
Sustainability
Protection from humidity, heat, adverse climatic conditions and pests.
Cost
Weight
Label the packaging:
Labelling is an important aspect of inventory management. For adequate maintenance and storage, it is ideal to clearly label the packaging with the name of the spare part. The labels should also include the quantity and the date of packaging. It helps identify the spare parts easily amidst other industrial equipment in the inventory.  Labelling is usually a manual process and involves the use of label stickers and markers for legible writing that does not fade with time and is easy to spot.
Store them in a dry and clean environment:
Spare parts should not be subjected to extreme temperatures, dust or moisture. It can harm the outer surface and cause damage to the spare part. Storing them in a dry and cool environment has several benefits:
Prevents corrosion. Corrosion occurs from excessive moisture which dampens and damages the metal surface. This can lead to rust and reduced efficiency of the spare part.  It also weakens the structural integrity of the part and downgrades the functionality of the machine.
Better safety: Storing spare parts in a cool and dry environment can help reduce the risk of hazards such as battery leaks or combustion of flammable materials.
Easy identification: Proper storage conditions promote easy identification because the inventory is organised and clutter-free. Easy identification helps in faster retrieval of parts as and when necessary. This helps save time and a reduced downtime.
Implement a First In First Out system (FIFO) system:
This system ensures that the oldest batch of the spare parts are being used first. This helps to prevent the industrial spares from becoming obsolete or expired.  The FIFO system is instrumental in preserving spare parts with a limited shelf life such as batteries or lubricants. It also helps in efficient inventory management as it keeps the inventory organised. The newest batches of the spare parts are placed at the back or bottom whereas the older parts are placed at the top or front of the row.
