Blog #14 – Partial Defense: GUI and Manuscript Presentation
This week marked another milestone in our academic journey—our partial defense! We presented both our Graphical User Interface (GUI) and the current progress of our manuscript in front of our Instructor and Ma’am Clandestine.
The partial defense gave us a chance to showcase the work we’ve done so far and receive constructive feedback to help improve our system and documentation. Presenting our GUI allowed us to explain the design choices, user navigation, and functionality we’ve developed based on the system’s objectives. At the same time, defending the manuscript required us to clearly justify our research, scope, and technical decisions.
It was both nerve-wracking and rewarding—but most importantly, it gave us a clearer direction for what needs improvement and refinement moving forward.
We’re grateful for the insights shared by our evaluators. Their comments will definitely guide us in making the system more efficient and the documentation more precise. One step closer to completion!

Blog #13 – Another Oral Recitation: System Architecture, UI Design, and Project Management
This week, we had another round of oral recitation, this time focusing on Modules 10 to 12—covering topics that are critical to bringing our system to life. These included System Architecture, User Interface (UI) Design, and Project Management.
Just like before, the oral recitation used a module roulette format, which kept us on our toes! We also had the opportunity to use our notes, which helped us feel more prepared and confident when answering.
📌 Module 10 – System Architecture: We were asked to explain the key components of a system and how they interact with each other. It’s all about understanding how the back-end and front-end work together to support the system's functionality.
🎨 Module 11 – User Interface Design: Questions in this module focused on principles of UI/UX design, such as clarity, consistency, and user-centered layouts. We discussed how good UI design improves user experience and helps ensure the system is easy to use.
📊 Module 12 – Project Management: Here, we explained the use of Gantt Charts and PERT Charts, how they help with project planning, tracking, and identifying critical paths. It was also a chance to reflect on how we’re managing our own timeline for the system development.
I’m happy to say that I was able to answer questions confidently and once again passed the recitation. It’s always a great feeling to see progress—not just in our project, but in how we understand and communicate technical concepts.
Step by step, we’re getting closer to turning our ideas into a fully working system.

Blog #12 – System Architecture, UI Design, and Project Planning
This week, we shifted our focus to some of the most essential components of system development—System Architecture, User Interface (UI) Design, and Project Management. These elements form the foundation of how our system will function, look, and stay on track throughout the development process.
Our instructor guided us through each topic and also gave us an activity to apply what we learned. Here’s a brief rundown of what we tackled:
🧠 System Architecture: We explored how to structure the overall system—identifying the major components and how they interact with each other. It helped us visualize both the back-end processes and front-end interactions, making it easier to plan system functionality in detail.
🎨 User Interface (UI) Design: UI design is all about creating an intuitive and user-friendly experience. We discussed principles of effective UI—such as consistency, simplicity, and accessibility—and started brainstorming how to layout our own system’s interface to best serve users.
📊 Project Management: To keep our project on track, we learned about tools that help us plan, schedule, and monitor our progress. This included two important project management diagrams:
📌 Appendix A – Gantt Chart: A timeline view of our project tasks, showing when each activity starts and ends. It helps us stay organized and ensure that milestones are met on time.
📌 Appendix B – PERT Chart: A visual representation of task dependencies, helping us understand the flow and sequence of activities. This chart is especially helpful for identifying critical paths and managing time effectively.
The activity assigned by our instructor gave us hands-on experience with applying these concepts. It’s exciting to see how all the pieces are starting to come together, bringing our project closer to reality.

Blog #11 – Oral Recitation: ERD, Normalization, and the Data Dictionary
For this week’s blog, we had an oral recitation covering three important database design topics: Entity Relationship Diagram (ERD), Database Normalization, and the Data Dictionary. What made this recitation unique was the use of a module roulette, where questions were randomly selected from Modules 7, 8, and 9. The exciting twist? We were allowed to use our notes, and those who raised their hands first had the chance to answer!
Here’s a quick recap of what we covered:
📌 Module 7 – Entity Relationship Diagram (ERD): An ERD is a visual representation of the system’s data structure. It maps out key entities—like users, records, or transactions—and the relationships between them. Using symbols like rectangles (for entities) and diamonds (for relationships), the ERD helps developers and stakeholders understand how the database is structured and how different components interact.
📌 Module 8 – Database Normalization: This process ensures that data is well-organized and free from redundancy. Normalization involves dividing tables into smaller, related ones and defining relationships between them. It’s essential for eliminating anomalies (like insert, update, or delete issues) and maintaining data integrity across the system.
📌 Module 9 – Data Dictionary: The Data Dictionary is a text-based reference that describes all the data elements in a system—like field names, data types, relationships, and constraints. It acts as a central guide for developers, helping maintain consistency and clarity when designing or updating databases.

This week was a meaningful pause from our academic work as we embraced the spirit of Holy Week. I took the time to visit my sister and spend some quality moments with family—something that often gets pushed aside during busy school weeks.
One of the most heartfelt parts of this week was visiting my father’s grave. It reminded me of the importance of slowing down, reflecting on life, and appreciating the people who shaped who we are today. These quiet moments of connection and remembrance offered a different kind of strength—one that fuels both the heart and mind.
Though we stepped away from our research and manuscript work for a bit, the rest and family bonding gave me the clarity and energy I needed to return with purpose.
Sometimes, growth happens not just in progress, but in pausing.

This week, we continued to deepen our research, particularly focusing on the scope of our study involving Maria Reyna Hospital. While we didn’t visit the hospital in person, we thoroughly explored their systems through available resources and references to better understand how they handle ticketing processes, medication protocols, and overall workflow management.
My main focus this week was contributing to our manuscript, specifically the section that connects our proposed system with the hospital’s existing practices. By analyzing how they organize medications and manage patient interactions, we’re ensuring our research stays relevant and realistic.
This stage of our work reminded me how important it is to align theoretical solutions with real-world practices. Every bit of information we gather sharpens our design and brings us closer to a functional and impactful system.

This week’s academic highlight was all about turning our ideas into visuals! Our instructor assigned us an activity to create a case diagram using the online tool Lucidchart. This diagram will be an important addition to our manuscript, helping to clearly outline the system processes and user interactions in our research.
Using Lucidchart was a new experience for some of us, but it proved to be an intuitive and effective platform for visual design. It allowed us to collaborate in real time, make quick adjustments, and ensure our diagram is accurate and well-structured.
This task helped us better understand how to present technical concepts visually—an essential skill for any research work. Step by step, our manuscript is coming together!

This week, we didn’t have a face-to-face class, but that didn’t stop us from pushing forward with our goals. Instead of taking a break, we used the time to hold a productive brainstorming session focused on our manuscript tasks.

Blog #6 - Bouncing Back: Health Challenges & Missed Opportunities
This week brought an unexpected twist in my academic journey. We recently had a quiz—an important one—but unfortunately, I wasn’t able to attend due to health reasons. Falling ill is never easy, especially when it interferes with academic responsibilities. It was frustrating to miss out, but I’ve learned that taking care of our well-being is just as important as staying on top of schoolwork.
Though I missed the quiz, I’ve reached out to my instructor and classmates to catch up on what I missed. It’s never easy to fall behind, but I’m doing my best to recover, both physically and academically. I’m grateful for the support system around me and the understanding from our school.
This experience reminded me that setbacks are part of the journey—but so is resilience. Here’s to getting better, moving forward, and staying committed to our goals!

During the interview, we learned that their healthcare facility still relies on a manual patient queuing and medication ticketing system. This revelation reinforced the need for innovation in medical ticketing. The lack of a digital system often results in long waiting times, inefficiencies, and administrative burdens, which could otherwise be addressed with an automated solution.
Hearing directly from a healthcare professional gave us a clearer perspective on how our project could make a real impact. Among these, the request letter was our top priority. This letter would serve as our formal permission to conduct interviews in establishments relevant to our study. Without it, we wouldn’t be able to gather firsthand insights from healthcare professionals and staff.
Writing the letter required careful attention to detail—we had to ensure it was professional, concise, and clearly stated our research purpose. After multiple drafts and refinements, we finally completed a well-structured letter, ready for submission.
With the request letter in place, we could now focus on preparing meaningful interview questions and deepening our understanding through literature review. These steps are crucial in building a strong foundation for our research, allowing us to validate the need for a digital medical ticketing system.
