Improperly setting expectations.
If you want everyone on your team to “buy-in” then you need to clearly explain goals and expectations. This way your team knows exactly what they’re doing and how that plays into the big picture.

Even if your processes are working, tech like phones, tablets, printers, and servers need to be able to communicate with each other. This may be expensive upfront, but you need to invest in devices and software that work together so that your business operates as smoothly as possible.

Email notifications. Staff meetings. Colleagues popping-in and asking if you have a minute.
These are just a couple of the interruptions that we have to deal with on a daily basis. That’s why as a business leader you need to limit these interruptions for you and your team so that you can stay focused.
Block out chunks of time for uninterrupted – preferably when you’re most productive.
Put your phone either on silent, in airplane mode, or in another room. Also, turn off social media notifications.
Batch similar tasks together, such as scheduling meetings on the same day instead of scattering them throughout the week.
Use tools like SelfControl and Calendar to help eliminate distractions and plan your day in advance.

5. Be a tech-savvy business, but make time for face-to-face interaction.

As people who are plugged-in 24/7, we believe that we can multitask. I mean I should be able to write this article while responding to emails and tweeting, right?

Even more alarming, research has found that it can take up to 40 percent more time than single-tasking.
Single-tasking helps you get more done quickly and effectively because you’re focused on doing one task at a time. Once completed, you move on to the next.
If you’re having trouble getting started, here’s a couple of pointers:
Write a to-do-list instead of relying on your memory with actionable tips to get them done.
Set up your day the night before. This way you’ll get your day started on the right foot.
Prioritize your tasks by focusing on your three most important tasks for the day. After completed, cross that off your list and start on the next priority.
7. Be proactive about security.
Finally, you need to be proactive regarding security. This not only allows your team to have access to information, but it also prevents security breaches. That may not seem like a big deal, but having to manage a security breach means that you’re not focused on more important tasks.
Thankfully, there are some simple actions you can take to become a more secure tech-savvy business:
Investing in anti-virus, anti-spyware, and anti-malware. Don’t forget about firewalls to keep unauthorized users out.
Using mobile and cloud security measures.

4. Truthfulness & Relationship: Chris believes that gone are the days where you can’t be friends with your boss. Millennials demand real connection and inspiration from their leaders. They want to know why they’re making the decisions that happen.
5. Company and Job Loyalty: Chris believes that job jumping is a much bigger issue with this generation than ones in the past and leaders must teach their employees that this is not always the case. Social media is one of the biggest culprits here. Chris says “we must stop comparing our insides to other people’s outsides”. His “70/30 rule” is accepting the fact that “30 percent of your job and life will just suck, but the other 70 percent should fire you up.” He also suggests that for Millennials, mindfulness and meditation will become more mainstream within organizations with an increased emphasis on mental health.

A survey conducted by GetApp reports 43% of employees do not get regular data security training while 8% have never received any training at all. The report highlights the level of exposure businesses have towards cyberattacks such as ransomware.

Most Business Contact Centers Moving to the Cloud

A report by NICE inContact says 70% of businesses have their entire contact center technology in the cloud or are planning to partially move next year.
The Customer Experience (CX) Transformation Benchmark study shows businesses are benefiting from having their contact center in the cloud. They are experiencing customer satisfaction (CSAT) that is 18% higher than those with on-premises services.
Growth of the Cloud Contact Center
The growth is being driven by the customer-centric culture digital technology has made possible. Consumers now want personalized services and real-time access to the resources they need to solve their problems. And this is not only taking place with large enterprises.
Small businesses also have to provide quality service if they want repeat customers. The good news is there are more affordable tools than ever to make this possible. The challenge comes in making sense of all the data these tools generate to deliver great customer service.
This is exactly what Paul Jarman, NICE in Contact CEO, explains in the press release for the report.
Jarman says, “From social media messaging, to text, to chatbots, the customer relationship takes place across a wide and diverse range of channels in addition to voice.”
The study says companies want to provide true omnichannel experience for their customers. They want to bring together voice and digital as well as agent-assisted and self-service channels with seamless integration.
Businesses Anticipate Further Investments
To raise their customer satisfaction game, 52% of the firms surveyed are looking towards improving their overall website. While 42% are planning on continuing with their customer satisfaction measurement programs.
implementing new customer service training schemes factored high among the 38% of businesses surveyed. And 38% are eyeing towards upgrading communications technology such as chat, text and e-mails.
The study further points that 40% of business are very likely to invest in four or more channels to improve the customer service experience.
These businesses are more likely to now offer eight of the 11 channels including communicating with customers on social media, chat, SMS / text, video, mobile apps, and others than those with on-premises services. Incidentally more US businesses are investing in online chat compared to 2017.
On agent-assisted interactions, the majority expect an increase (49%) or at the same level (34%) of resources. Those in the US are especially likely to expect an increase of 55%.
This need for more agent-assisted resources stems from the overall increase in customers interacting with their organization. This is creating more agent-assisted experiences. And it is prompting 36% to report they plan to add staff to customer support positions in the coming year.
Dealing with the Omnichannel Conundrum
Despite customer demand, investment plans for omnichannel functionality are lacking, the report notes.
Key findings also point to the need for companies to provide true omnichannel experiences that seamlessly blend voice and digital as well as agent-assisted and self-service channels. Only 25% of businesses are likely to invest in new services that allow channels of communication to work together seamlessly.
Jarman adds, “As more customers embrace multiple digital channels to communicate and engage, it becomes increasingly important for businesses to be able to quickly adapt and integrate digital channels into a seamless omnichannel customer experience.
The Survey
The NICE inContact Customer Experience (CX) Transformation Benchmark was carried out in the United States, the United Kingdom and Australia. Over 900 contact center decision-makers make up the participants in the survey.

According to the 2019 State Of Women-Owned Businesses Report, the number of women-owned businesses climbed 21% between 2014 and 2019.
Being a women entrepreneur, you must have felt proud of seeing your fellow women establishing their businesses.

Growth of Women-Owned Businesses Vs All Firms
Businesses owned by women have seen more growth than that of all businesses combined over the last five years.
As you see from the below graph, the women-owned businesses have increased by 21%, but all businesses combined grew only by 9%.

Necessity, flexibility and opportunity are the main factors driving net new numbers.
1. Necessity Entrepreneurs
Women who cannot find good jobs or who are unemployed fall into this category. These women don’t have any other option except starting their own businesses.
Employed women who cannot survive on their salaries and have to start their businesses to supplement their incomes are also necessity entrepreneurs.
2. Flexibility Entrepreneurs
Some women don’t find workplace policies flexible enough and want more control over what they do, where they do, and when they do. And starting their businesses is the only way to have the desired flexibility.
3. Opportunity Entrepreneurs
These entrepreneurs enter the market to exploit the existing possibilities.
As such entrepreneurs choose to start their businesses at a good time, they have a higher chance of survival and growth than necessity entrepreneurs and flexibility entrepreneurs.
Which Industry Has More Women-Owned Business?
According to the report, the participation of businesses owned by women is high in the following three industries:
1. Other Services (including hair and nail salons & pet care business)
This segment has the highest concentration (22%) of women-owned businesses. And the number of women-owned businesses in this category climbed 29% that is more than the growth of all women-owned businesses (21%).
Necessity and flexibility entrepreneurs often started their businesses in this segment.
2. Healthcare and Social Assistance (including child daycare & home health care services)
This segment of women-owned businesses has witnessed a growth rate of 14% that is lower than the growth rate of all women-owned businesses combined. Women entrepreneurs in this category tend to be full-time entrepreneurs.
3. Professional and Technical Services (including PR firms, bookkeepers, and lawyers)
This category of women-owned businesses also has a growth rate of 14% lower than the growth rate of all women-owned businesses combined. This category often attracts sidepreneurs.

Final Thoughts
Businesses owned by women, representing 42% of all businesses, are an economical growth driver of the US. Though they are already having revenue of $1.9 trillion and employing 9.4 million workers, there is still size disparity between women-owned businesses and others. And making policy to bridge the gap helps everyone, not only women.
To realize the true economic potential of businesses owned by women, many changes are required in business practices and attitude. Women entrepreneurs still have to overcome funding challenges. But the incremental growth of women-owned businesses heralds a brighter picture.

This week on the Small Business Radio Show we’re joined by Wade Foster, CEO and co-founder of Zapier. The company provides a workflow automation tool used by over two million people. Foster discusses the importance of connecting work apps. Small businesses use these daily to improve productivity and profitability.
In their new report, Zapier found that 83% of people use 3 or more applications for work. Companies tend to buy a new application to run each time they have a new problem in their company. But Wade points out most of these applications don’t talk to each other. Employees spend a lot of time entering the information multiple times into different applications. Or they manually transfer data from one to the other. This causes errors and a lack of productivity. Automation can connect these applications together. Then they use the data across multiple departments on an as needed basis. They can also create cross company reports used for management.
These types of connections need to happen. Because small businesses rarely find one application that will fit all its needs. Wade cautions against using custom or one-off customization. Instead use something that is standard. For example, an out of the box connector should only ask the company permission to go from PayPal to QuickBooks with no programming required. Another common connector is joining an application that collects leads to one that is used in email marketing.

Employees Will Accept a Pay Cut to Work from Home

Working from the office is not required for many jobs these days.  Because of the available technology today, working from home can be as effective as working at the office.  That means more flexibility when it comes to work locations.  Employers should know that based on recent surveys, many employees  prefer working remotely,  and they are willing to take a pay cut to do so.
According to a new report from Owl Labs, 34% of employees say they are willing to take a 5% pay cut. Another 24% say they will double this amount and take a 10% cut. And there is yet another group (20%) who say they will take a pay cut of more than 10%.
Considering 73% of all teams will have a percentage of remote workers by 2028, making this option available is a must. As a matter of fact, remote work is no longer a perk, but a business imperative. If you don’t offer remote work as an option, you will limit the talent pool of applicants at your company. Not to mention your current employees might look elsewhere because they want to work remotely.
The State of Remote Work 2019 report looks at how employees in the U.S. feel about the remote work ecosystem. In the emailed report Owl Labs says, “Remote work can improve employee productivity, increase employee retention, and make employees feel more trusted and better able to balance work and life responsibilities — making for happier employees and more productive teams.”
The Survey
Owl Labs has a good perspective on remote workers because the company makes a video conferencing device called Meeting Owl. The remote work statistics in this report further expand the company’s understanding of this segment. Owl Labs carried out a survey of 1,202 full-time workers in the U.S. between the ages of 22 and 65 to understand how remote workers feel.
The participants were made up of 745 (62%) people who work remotely at different frequencies and 457 (38%) who work on site.
Remote Work Statistics
Of the 62% of the respondents who work remotely, the frequency at which they do so varies greatly. More than half or 54% work remotely at least once a month and 48% work at least once per week. However, almost a third or 30% are full-time remote workers.
But who is working remotely? The survey breaks down the answers from the respondents into job levels for both remote and onsite workers.
The biggest percentage of onsite workers are individual contributors (52%) and consultants (32%). In the remote workers’ department, VP level (46%) and founder/C-level (55%) workers make up the majority.
The data in the report proves remote work is not just for rank and file members of a company. It also says there are 18% more executives working remotely than there are working on-site. Senior executives and above also say they work remotely at least once per week at 34%, which is higher than those in lower positions.
A Closer Look at Who is Working Remotely
The report shows, companies are making remote work available to almost everyone in their organization. The departments which use remote workers are represented almost equally across a company. They are customer support/service/success (17%), facilities/operations/IT (16%), administrative (14%), sales (12%), other (8%), and other departments at lower percentages.
For onsite workers, the top three departments are customer support/service/success (21%), administrative (17%), and facilities/operations/IT at 12%.
The Reasons for Working Remotely
The biggest reason people want to work remotely is for better work-life balance, which is at 91%. Beyond this, the other reasons come in with almost the same level of importance for the respondents in this survey. But together they combine to contribute to the number one reason, work-life balance, even stronger.
Increased productivity/focus is next at 79% followed by avoiding commuting (78%), less stress (78%), saving money/financial reasons (76%), and less office drama at 73%. So, with all these benefits, are remote workers happier?
The report says remote work or the ability to work remotely makes employees happier, and they also feel more trusted.
Conclusion
As these remote work statistics show, working remotely is now part of the overall ecosystem. And employees expect to have it as an option if they choose to work remotely. This applies to small and large businesses alike.
As a small business owner, the cost-benefit of having remote workers has a bigger impact. It means less office space, supplies, and other expenditures. The key is finding the right balance between how many people stay on site and how many will work remotely.

By cracking the defenses of a single business, criminals get the keys to dozens — or even hundreds — of the service provider’s clients’ business networks. However, amateur hackers are far more likely to pursue an easier target like your small business.
The Cost -to the Criminal- Conducting Cybercrime has Continued to Drop
The rise of malware as a service is allowing amateur hackers to join the ranks of more seasoned cybercriminals. Not surprisingly, research shows that small businesses now make up the majority of commercial cyberattack victims.
While nearly 70% of small businesses report that they experience cyberattacks, and just 28% say their defense measures are “highly effective.”
Taking these three steps will fortify your own defenses against data breaches:
1. Change Passwords Regularly
If you’ve been using the same username and passwords for years, it’s almost guaranteed that those credentials are out there somewhere. These passwords are available on the dark web for only pennies — or, you know — for free.
Changing passwords regularly may be a hassle, but it’s an important security practice. It helps prevent hackers from purchasing old login information on the dark web and using it to break into your organization’s network.
Putting systems in place that require employees to change their passwords every few months is an inexpensive — usually free — security improvement.
But if you want to avoid a mutiny and up your chances of compliance, explain it to your team beforehand. When employees know what’s at stake, they are likelier to buy into what might otherwise may feel like an annoyance.
I worked for one company years ago that make us change passwords every three weeks to a 25 bit new password and no part of the password could be repeated in a six-month period.
The system was still hacked and we had to contact millions of clients to reset their passwords (hundreds of us working around the clock to get this done). This company didn’t allow a password manager. If your employees don’t like it — too bad — it’s your company — and it’s your duty to protect it.
Consider investing in a password manager to make things as easy as possible, if you are concerned about employee pushback.
According to one study, employees have to juggle one hundred ninety-one passwords on average. Password managers are generally inexpensive, and the convenience they offer makes them a worthwhile investment for companies of all sizes.
2. Implement Two-Factor Authentication
If hackers do manage to get hold of login credentials, two-factor authentication is another gatekeeper. Two-factor authentication, also known as 2FA, requires an additional form of identity validation beyond a password. This second layer can be a code or PIN number. These requests are commonly sent via SMS.
You can also set this second code for a hardware token such as a key fob that only the user can access.
No solution is 100% secure. Some companies with particularly sensitive data are even relying on multi-factor authentication, which requires additional user verification beyond two-factor authentication. Some of the latest verification methods include iris or fingerprint scans as well as facial recognition.
Depending on your security needs and budget, it’s recommended that you start with whatever form of two-factor authentication you can afford to implement. Although SMS-text verification is the simplest and least secure, your employees are probably already familiar with it, and it’s a step up in security from traditional credentials.
3. Take Training Seriously
No matter what security measures you implement — two-factor authentication, web application firewalls, aggressive password management policies, and others, it’s worth the effort. Be aware that human error will still be your greatest vulnerability.
Your employees are the weakest link in your organization’s cybersecurity chain.
That’s why cybercriminals try to scam people first and then hack the networks. Verizon’s 2017 Data Breach Investigations Report indicates that 90% of cybersecurity incidents involved an element of phishing.
Phishing attempts used to center on mass spam emails where senders were able to capitalize on a few errant clicks. Now, cybercriminals are sharpening traditional phishing attacks with basic social engineering. Called spear-phishing, attacks will use the information obtainable online to make their attempts to gain access more legitimate.
The hacker might pose as a CEO and send requests for financials to an accountant. They might pretend to be an executive and ask an assistant for help remembering a password. If your employees aren’t trained to spot these attacks, they’ll miss the minute details that indicate a scam.
Implement a training program and test employees using fake phishing emails on a regular basis.
When a target does engage with the email, you can conduct a follow-up to help the employee understand where they went wrong and how to improve next time. It’s a mistake for small business owners to assume they’re not targets just because they have far less data to steal than major corporations.
Unfortunately, their limited cybersecurity defense budgets make them easier to take advantage of entrepreneurs, startups and small businesses.
Hackers know all too well that some small business owners fail to take even the most basic precautions. Even a few key improvements will help you avoid the catastrophic consequences of a data breach.

Small Businesses (61%) Have Experienced a Cyber Attack Over the Past Year

The cyber threat businesses face is a real threat in today’s digital dependent organizations. And this is why you have to continually evaluate the readiness of your organization in dealing with this threat. Because the attacks are relentless and ever-changing.
There’s Been a Big Rise in CyberSecurity Attacks
According to the third Hiscox Cyber Readiness Report, the number of businesses reporting cyber incidents has gone up from 45% last year to 61% in 2019. Not to mention the final cost of these attacks.
As it relates to small businesses, the report says they are just as vulnerable as large enterprises. Adding, more small organizations were targeted this year and smaller companies are now also caught up in the cyber battle.
Even though it sounds bleak, Gareth Wharton, Cyber CEO, Hiscox, says there is much you can do to protect yourself.
In the report, Wharton says, “The cyber risk may mutate rapidly, but progress in mitigating and managing it is also evolving. I hope this report will go some way to helping promote a better understanding of the issues and encourage the adoption of rigorous and effective measures to minimize the cyber threat.”
Key Findings
At the same time, the frequency of attacks is increasing, more firms are failing the cyber readiness test. Compared to what counts as best practices, the report says most businesses still have some way to go when it comes to preparedness.
Nearly three in four or 74% are failing to reach the threshold established for expertise by Hiscox in any area. Moreover, the number of organizations in the expert category is slightly down from 11% to 10% this year. Intermediates make up 16% of the respondents, which is the same as the previous year.
With fewer experts, it is not that surprising the cost of cyber losses are increasing. In the last 12 months, the mean cost to businesses has gone up from $299,000 to $369,000, a 61% jump. But the cost to small businesses is down by more than half, from $29,000 to $14,000.
However, it doesn’t tell the whole story because there is now a higher number of single incidents which are costing more. A year ago the largest single incident came in at $34,000, but this year it has jumped to a whopping $200,000. The report says companies of all sizes can expect to see incidents which will be three to 18 times larger than what they were a year ago.
The Talk About Cyber Insurance
Why are more businesses talking about cyber insurance? Because according to the survey, the number of people who say they don’t know what cyber insurance now stands at 3%. This means almost all or 97% are aware of the service.
Consequently, it has led more businesses to purchase cyber insurance to protect their organization because damages are getting too expensive to pay out of pocket. In the survey, 41% of businesses now have cyber insurance, which is up from 33% of a year ago. Furthermore, another 30% plan to adopt cyber insurance in the next 12 months, which is also higher than 25% of the previous year.
Now is the time to talk about your digital liabilities and how you can protect them.
The Survey
The majority of the businesses in this survey (39%) have 1 to 49 employees, with another 16% coming from firms with 50 to 99 workers. A total of 5,392 professionals who are part of their organization’s cyber security strategy took part in the survey.

Only 41% of Managers Check in on Employee Wellbeing Regularly, Do You?

The concept of Work-life balance is evolving to work-life synergy as today’s workforce look to feel supported, engaged and meaningful. For this reason, businesses now have to make more of an effort to ensure the well-being of their employees. But according to a new report from 15Five, only 41% of managers check in on the well-being of their employees regularly.
Why is this important? Because moving forward supporting the whole employee will become part of the ecosystem. With proper implementation, it will benefit both the employees and the company by improving productivity and retention rates. According to 15Five, having a human-centric culture in your organization significantly increases the performance of your employees.
For small businesses competing against large companies with hiring, adopting a human-centric culture is a great recruiting and retention tool. Especially in one of the strongest markets for workers in decades.
In the emailed press release and report 15Five offers great insights into the workplace of the future. Titled, “The Next Generation Workplace” the report highlights the links between employees and their managers along with professional development.
The co-founder and Chief Culture Officer of 15Five, Shane Metcalf, explains how research in psychology and human development supports this evolution.
Metcalf says, “Employees are indeed human beings who are driven to grow, develop, and fulfill a greater purpose. They have complex internal worlds and when managers and leaders address the hidden aspects of their experience, like values, beliefs, mindsets, and emotional well-being, we will see a major leap forward in how people achieve their potential at work, and the levels of success that businesses achieve as a result.”
Study Results
The data for the report comes from a survey of 1,000 full-time U.S. workers and 500 U.S. managers. The goal of the survey is to gather insights into the landscape of today’s workplace. To that end, 15Five asked questions to help it understand the support requirements of employees. As well as their relationships with their leaders and their future plans.
Employee Check-Ins are Key
The report says, “Miserable people don’t make good employees.” If you can figure out why this is so, the overall culture of your business will improve.
In the survey, 90% of employees say they perform better when their company supports their emotional wellness. Managers also agree, to the tune of 94%, emotional wellness reports are just as important as job performance reports.
However, only 41% of managers make it a point to ask about emotional wellness in 1-on-1s. And more than 50% of employees have never brought up personal matters with their managers. But when an employee check-in program is in place, 43% of employees take advantage of it.
So, there seems to be a disconnect between the importance of emotional wellness and taking steps to improve conditions. And not surprisingly the change is coming from young employees.
Three in four of Gen Zers will ask for advice during a 1-on-1 meeting with their manager. But it goes all the way down to 23% for baby boomers. Accordingly, if there is a program in place 73% of Gen Zers will take advantage of it. Again, a noticeable smaller percentage of baby boomers (24%) will use the services if a company offers it.
The key is having regular manager-to-employee check-ins and 1-on-1s to create a culture of transparency and trust. Because the fewer of these meetings take place, the less trust there is. And the report says these meetings have to be treated as priorities.
Creating a Human-Centric Workplace
Take a look at the graph below to see how this approach benefits businesses. In the case of 15Five, it has delivered a high retention rate.
Metcalf says, “We have only had a handful of people leave in our eight-year history as a company, and it’s encouraging to see in these results that practices like check-ins and 1-on-1s significantly impact retention.”

Creating a workplace in which employees are happy takes effort. But once this is achieved, it keeps on delivering higher productivity levels, longer employee retention, recruitment and a better working environment for everyone in the organization.

Work has evolved to mean anywhere and anytime, and this is made possible because of digital technology. And platforms like Skype are adding more features to the collaborative and communications process to increase productivity.
A little over two months ago Skype added screen sharing, call recording, and subtitles on mobile devices. This time around the new features will allow you to draft messages, bookmark messages, preview media and files before sending, along with a new approach to display multiple photos or videos.
As more businesses allow their employees to work remotely and hire freelancers, these features will improve the overall workflow. For small businesses that are increasingly reliant on these changes in the workplace, Skype offers a great value.
The New Skype Features
Message Drafts
Saving drafts is one of the great tools in business. Because as any entrepreneur will tell you, not every message is finished in one sitting.
image: Skype With this new release, Skype now lets you save your drafts whether you are finished or you are interrupted. Any message which is unsent is now saved automatically as a draft. And when you have time you can continue where you left off, and send it when you are finished.
Message Bookmarks
If you are holding several meetings on Skype and you are sharing documents and links, the content can quickly add up. Message bookmarks can bookmark any message so you can go through it at a later time.
When you tap a message to be bookmarked, it is added to the Bookmarks screen and saved with all the other marked messages.
Preview Media Before You Share It
We’ve all sent the wrong file to a colleague, which is why the preview feature on Skype is a welcomed addition.
Whether it is photos, videos, or files you can now preview what you’ve selected before you send it. Every time you select a file you want to share, it is displayed in the message panel. This way you can see what it is before you click that send button.
image: SkypeAt the same time, you can add more files or remove one which is not supposed to be in there. And if the file needs a description, you can add a message along with the files.
Multiple Photos and Videos in An Album
The existing multiple video and photo display experience has been revamped by providing more archiving capability and control.
When you share multiple photos and videos at once, Skype will archive it and present it in a conversation. The content will be in an album in the chat history.
You can then see each image or video by navigating and clicking between them in the album.
Split Window Is Now Available for Mac and Linux
Split window lets you divide the screen by placing your conversation and contact list in separate halves.
This feature was made available first for Windows 10, but now Mac and Linux users can also enjoy the feature.
These new features are available on the latest version of Skype across all platforms, except for split window, which is currently only available on desktop.
