How long is your “TO DO” list?
How many things never seem to move from there or always get bumped by something more important or interesting?

When clouds cause turbulence!
Working digitally and remotely is becoming the norm.
The current pandemic is making lots of businesses put in place new systems in order to continue working efficiently and productively.
Fortunately a number of cloud based solutions have been popular for a while and the move onto these systems can often be fairly smooth and swift.
One BIG thing to bear in mind is ownership of the data itself, be it a document, email, an image, a video demo, the content of a course, newsletter, financial spreadsheets or other digitally generated files (graphics, flyers, pdf scans, recorded guides, podcasts etc) you should never rely solely on virtual storage to keep this safe for you. If you are trusting others to store this (your) data and do not have a copy of it yourself then you have lost control of it.
It is critical that you understand that if for any reason you are unable to gain access, locked out or if the service is shut down then you will lose your data and your business will be severely compromised or will fail.
CONTROL is the key and the solution is really simple. ALWAYS keep a local version of ALL your data saved on your machine. Failing to do so will jeopardize your customers, your business and privacy. It is also strongly recommended to create backup copies allowing you to easily restore your files in an emergency.
Fly high in your business but remember, clouds can look pretty (especially from afar) but they can be very dark and ominous.

Sync or Swim
I was on the phone to a potential customer recently. A friend of theirs had recommended they use our Depositit backup service to safeguard their computer files but they weren’t sure if they needed it or not as they had their data synced between their laptop, mobile device and a PC.
I wondered why they had put the call into us, if they were convinced their data was safe so guessed that maybe they weren’t 100% certain.
And that’s the point, none of us want to pay for additional services that aren’t necessary but there are times when we don’t actually know if what we have in place is providing what we think. I know that sounds a bit odd, but we can all probably think of certain products, goods or services we have bought, subscribed or signed up to, thinking it delivers XYZ and sometimes never actually checking whilst other times sadly finding out (normally when it’s too late) we aren’t actually getting everything we thought.
A good example might be an insurance policy, where we might only find out during a crisis situation that we don’t have the cover we thought/hoped we did!
I asked this person where the data he is syncing is being backed up to and he didn’t know.
I asked if he knew if the company was actually carrying out a backup of the data and he didn’t.
I asked if he’d ever tried contacting the company and he hadn’t.
I asked what might happen if he deleted a file from one of his devices and he said that it would automatically be removed from the others, so I asked if he’d be able to get it back if this was done accidentally – he didn’t know.
I asked what would happen if someone gained access to any of his machines and wiped all of his data. He reckoned it would all be gone and hoped that the syncing company he was using would have a backup, albeit he hadn’t checked with them if they would or not!!
It’s time to start asking question and retain control over your data. Whilst it’s great to be able to get all your info across all your devices, we’d recommend you keep a master copy of your data and back this up securely and separately so it’s always available when that emergency hits.

How best to protect my data and my information?
It can be considered that Data consists of facts and figures that when processed, delivers information.
Therefore, information is the processed outcome of data.
When you protect your data, you also protect your information.

However, it can be incredibly difficult to fully protect your data because so much is out of your reach and control. For example the information you put into digital forms, and then click submit which sends it off to the company who’s requested it or the information gathered on your smart device that’s stored in the company cloud who’s collecting it. This data is in their hands and its security relies on the protection they have in place to safeguard your details.
For information you create yourself and store on your computer/devices, it is strongly recommended that you put in place a robust Backup system and also a strong cyber protection solution.
Cyber attacks hit every sized company, every second of every day and are one step ahead of the standard antivirus most people have installed, thinking this will protect them. IT WON’T.
What is the best way to protect data stored on your computer and in the cloud?

Updates that bug me!
We’re advised to run updates on our operating system in order to ensure our machines continue to run smoothly and safely.
These can be security patches, feature updates or more often than not bug patches.
Excuse the pun, but a huge bug bear of mine is the fact that large vendors feel they can release half baked products or services and feel this is OK, as over time they will iron out the creases and flaws with a series of updates. I’ve often thought that if smaller companies were to do something like this they’d have zero customers.
Imagine buying a bucket that has a hole in it (but it will be patched in the next update) or going on holiday to find the swimming pool looks gorgeous but has no water in it or going to a restaurant and everything you order is not yet available (it’s currently being developed).

Yet these popular suppliers simply get away with it and whilst we have some choice it is fairly limited.
What we at Depositit have noticed more and more recently with many customers running updates on their Windows 10 operating system is often after the update the customer can no longer find their information, access their machine or suffers some kind of loss.
We’ve had a few customers who actually had their machines rendered completely inaccessible after running some updates and had to revert to either an old machine or actually purchasing a brand new one and then restoring their data onto it.
Having run Depositit for over 20 years and seen many kinds of data breach and loss, noticing right now how many restores and how much loss is occurring as a result of these updates is very worrying.
Our advice has always been that everyone using a computer must ensure they have a reliable backup in place and right now, to every Windows 10 user this advice is even more pertinent.
There are many ways to lose your data and it’s a worry that is not necessary as it is really simple now to put in place a reliable backup service. Updates and patches from some of the larger vendors may be filed with uncertainty but there are loads of dependable services you can put in place to help safeguard and deliver some certainty.

What’s changed?
20 years ago when I co-founded Depositit, the threats to our data were viruses, hardware error, accidentally deleting or amending a file, fires, flood and theft.
Back then, tape drive backups were rubbish, disk drives were expensive, manually done and had size limitations so our intention was to provide a very simple and secure way to back up company data. Depositit Backup would do this automatically using the company’s Internet connection and all data would be encrypted and stored safely offsite in our data centres.
It worked like magic and still does.
What’s interesting is that those risks from way back then, remain the same risks to our data today!
One thing has developed and one thing has changed over the years for Depositit regarding the above.
Our original thought was that selling through the Internet would be a very automated process. Register for the service, pay, download the software and that’s it.
What quickly developed was how service driven the product is. Businesses like to be supported. They may not use it but they like to know help is available. They want to see an email answered, a phone call picked up and when they need assistance that they can receive it.
The management team at Depositit came from service based industries and from day one we wanted to create a product that was useful and also supported by a helpdesk that was reliable and friendly. We achieved both and support and reliability remain at the core for us to this day.

Keep your business safe and costs down

Why backing up your OneDrive account is a very good idea
Many people are not aware that OneDrive does NOT provide any true backup security for their data stored in it. It offers a decent way of storing, sharing and accessing the files and potentially relieves the requirement and maintenance for a physical Server BUT you still need to ensure you retain a copy of your data and back it up.

We have also found that many IT support agents do not seem to be aware that OneDrive is not offering a backup of the files and are telling their clients not to worry as their data remains safe – this is unwise and incorrect.
CRITICAL: The only way to truly remain in control of your data is to ensure that the main OneDrive account holder downloads/syncs all the data onto their own machine (ensuring there is a big enough hard drive in place), thus ensuring they always have an up to date copy of all the files on their own local drive at all times (and not stored solely on Microsoft’s server where they could be deleted, overwritten and at risk).
With a local version, you have the ability to back up the files using automated off-site backup systems such as Depositit Backup which retains historic versions of previously deleted, overwritten or corrupted files that you can restore whenever required. Without this local version and off-site backup, your data is at risk, as again Microsoft OneDrive is NOT a Backup system but rather a Data Repository and sharing system.
At the moment it might be the case that you are enabling everyone to share, view and amend your company data without a backup of those files in place. This is massively risky.

Sweet beginnings – what stand out moments do you remember?
Fancy a walk down memory lane….
In early 2001 we took receipt of the first working prototype of our Depositit Backup service. Our objective was to create a secure Data Bank, enabling computer users to safely and easily deposit their computer data and get it back in the event of any emergency or crisis.
Backing up was and still can be a tedious and thankless task, therefore providing an option for the Depositit service to be automatic was important.
The choice of backup devices available 20 years ago were typically tape drives or disks that were expensive, took ages, didn’t work properly, ran out of space, were not future proof and more often than not you only knew if it had or hadn’t worked when you tried to restore your files!
Our brief to the development team was:
Develop an automated method that uses the Internet to transfer data from a computer to our secure data centres.
For security, encrypt the data both prior to and during transmission (as well as when it’s held in the data centre).
Let customers know once the backup has completed, and if any issues arose.
Popular functions of the Internet back in those early days were email, sending and receiving jokes, finding out information and a bit of online shopping. We wanted to create a service which would allow people to have the Internet serve them, save them time, worry and ultimately money.
Back then, standard internet connections ran off dial up modems. Most at the time were using either 28.8K or 56K modems (remember those times!).
I ran the inaugural trial backup and selected approx 100mb of files and let it run overnight.
When I woke up, the backup had completed and in my Inbox there was an email from Depositit, stating the Backup was successful and had completed. It also advised how many files had uploaded and confirmed these were safe.
WOW, WOW and WOW!!!! I couldn’t stop smiling.
The years have passed and broadband / fibre connections now make the Internet so much faster and more efficient, however the one single thing for me that has remained exactly the same as that inaugural backup, is the power of that ‘confirmation email’.
Even today, almost 20 years later and having received tens of thousands of these backup confirmations over the years and seeing millions go out to all our customers over the past two decades – every time I receive that confirmation email, what it still means to me is that my data is safe. Nothing beats that feeling.
NO MATTER WHAT HAPPENS TO MY MACHINE, you can steal it, throw it out a window, riddle it with viruses, damage the hard drive, drop it in water, delete or re-set the machine – NO MATTER WHAT…..my files are safe and I can get them back.
The power of that confirmation email lets me sleep easy at night and feel relaxed. All the documents, projects, articles written and received, images, emails and everything else I have saved that are important, sentimental or have some meaning to me are safe.
There are many ways to backup but there’s only one Depositit and its confirmation email.

My computer doesn’t need protecting as there’s nothing important on it…
This was brought up in a conversation I had recently with a senior director of a public company!
We were speaking about different levels of protection for work and home machines and whilst he could see the benefit and need to have in place multi layered protection on all workstations and servers, he wasn’t convinced about his own home machine being at risk.
I asked what he used his home machine for and he said, ’nothing really. I use it to send emails but that’s via a web based system, I might watch the odd thing or listen to music but mainly I use the Internet’.
This is where it gets interesting because when I asked what Internet surfing he does or sites he visits, it transpired lots of shopping takes place and all his banking is carried out online too.
I wondered how he would feel if I was able to log into his machine, capture his details and check on his accounts. Of course he wasn’t too thrilled about allowing this to happen and I pointed out that without decent protection that’s exactly what he’s potentially allowing to happen.
He’s a bright, commercially savvy and knowledgeable man, accessing his many bank accounts and also making numerous purchases from sites he’s visiting every week from a machine whose only protection is flimsy free antivirus software that doesn’t even offer support.
In this instance it didn’t take that much convincing to replace the free antivirus with a more robust premium service, in this case it was Depositit C360 Next-Gen Antivirus
This is not the first conversation I’ve had like this and I’m sure it won’t be the last, however it’s worth taking a step back and re-visiting the security in place on any of your home machines because though most feel there’s nothing of value on the computer or risks are minimal – when hard drives crash, the computer gets hacked or identity is stolen and bank accounts drained it is scary, time consuming, can damage your credit rating and at worst your livelihood.
It’s simply not worth the risk when upping your protection will quickly and easily safeguard against this threat!

Invest £100’s or risk £1,000’s
Reviewing the ICO’s enforcement action page reveals action they have taken and fines imposed on companies who fell foul of GDPR requirements and exposed customer data.
The list highlights some well known brands which you may have noticed in the headlines when the data breaches were exposed such as EE, Cathay Pacific, Currys (DSG Group), Uber and others. There are also lots of companies of varying sizes that aren’t well known and this is the point.
Anyone can fall foul of GDPR and be fined, and the fine can be a considerable amount and even more so to a smaller company.
Data loss or exposure can and does happen more regularly that we’d like to think and the ICO isn’t out to fine everyone who has a breach but more relevantly those companies who don’t have the right protection or processes in place.
This protection can be physical, virtual and also educational and policy/process.
Some very simple and effective methods to keep data protected include:
Carry out regular risk assessments
Deliver routine staff training
Put in place effective policy
Protect all endpoints
Have a data breach plan
Doing the above is good business practice, regardless of GDPR. No company should want to be breached, placing both their data and integrity at risk and compromising the security of their customers.
As I write, Easy Jet have just released a statement admitting that earlier this year they were hacked and 9 million customers have been affected in some way. You can expect to see their details added to the ICO’s list in due course.
It’s easy for smaller companies to think it won’t happen to them and of course this is always true……until it does!

How BIG does a business need to be - to be PROTECTED
We gasp, we smirk, we look on incredulously when we hear about the massive firms that lose data and get hacked.
Over the years, we’ve seen high profile names such as Talk Talk, Marriot, Equifax, UnderArmour plus government offices and departments all be targeted and hit hard.
In fact, you will be amazed by all the familiar names reported on this Wikipedia page who suffered data breaches over recent years.
So, whilst many point fingers at these companies, accusing them of not having the appropriate security measures in places, my question to the small companies out there – if these HUGE companies, with enormous budgets, resources and knowledgeable tech departments suffered a breach, what makes you think that your standard (free?) antivirus product is going to protect you?
The answer is, it won’t and it doesn’t!
For every one of these corporate companies that gets named (and to some degree, shamed), thousands of small firms are being targeted every single day.
We don’t hear about these of course because no one is interested (least of all the media) when the local hairdressers clicked on a link that wiped its database or the financial adviser who got targeted or the small law firm who’s staff member thought they were opening a client letter which proceeded to wipe the contents of their servers.
Most companies have in place a backup and some form of protection but it’s similar to closing your door and thinking the house is protected. What door do you have, did you lock it, what lock was used, is there additional security in place?
Just like no two doors, locks or alarm systems are the same, it is similar with antivirus protection. At a minimum you now want to be installing Next Generation Antivirus (nowadays called ‘endpoint protection’, because it is protecting your endpoint (i.e the laptop, desktop or server). Ideally, the Endpoint protection should protect against all Malware and cyber threats including known and unknown risks. Ironically, the popular brands aren’t necessarily the best right now as they still devote much of their time to providing basic antivirus rather than the newer, more specialist companies who are being voted as providing much stronger security against these new hacking, phishing and ransomware threats including virus protection.
Back to my front door analogy where you would review the type of Door, lock and home security/insurance you have in place. Similarly for ultimate computer protection, ensure you have a decent Firewall, Next Generation Endpoint protection and a reliable off-site backup system. This layered combination will protect you and keep you from making it onto any Wikipedia list!

DATA from an IT perspective
Does it really matter how many files you have or how many new ones were created on any given day?
Does it really matter how many Megabytes, Gigabytes or Terabytes you have on your system?
Does it even matter how many computers and laptops or servers you have?
NOT REALLY!
What really matters is, that your data is incredibly valuable to you.
With this in mind, the question to ask yourself is who’s responsible for it and where exactly is it stored?
The next most important question is: do you back up your data and if so how?
If you do backup, when was the last time you checked this and carried out a test restore? Having a fully tested disaster recovery plan is imperative.

Writing documents in the ‘IT’ (Information Technology) sense simply means creating digital files.

It’s human nature to delegate these things and then believe it’s sorted. ‘So and so’ is responsible, until you realize they’ve been busy with other things, forgot to order new drives or been off sick or on holiday for the last 2 weeks! You wouldn’t hand your house keys to your alarm company after they’ve installed your security system, and the same applies here. Take advantage of all the support offered but some things you want to ensure you retain control over.
