Your judge and court coordinator can quickly and easily review the task sheet and evaluate the commitment and performance of participants. Because it is part of the Staffing Report, the judge will have his or her mandates right at their fingertips and can review in the status hearing.

A quick recap on document management with DIMS
Various tools allow you to access and store all of your documents seamlessly. The DIMS platform aims to create a paperless environment for the court when possible, and there’s unlimited, permanent storage on the cloud for all participant and court-related documents.
1. Create digital files
Say goodbye to sifting through stacks of paper documents. One of our most sought-after features—you can upload paper documents to create digital files (a huge time saver). Simply upload or scan documents to the platform and associate external documents to a program participant.
2. Categorize and assign
Every document uploaded on the platform is categorized by the document type, timestamp, and name of the document, allowing you to easily find what you’re looking for. Once documents are digitized, you can assign viewing and editing access team-wide or to specific individuals.

3. Track participant assessments

An innovative approach to participant management

Meet Layla Eichler, a Treatment Coordinator for The First Judicial District Treatment Court. Since 2015, Layla has been passionately leading her team. Her hands-on approach is unique, and we’re excited for her to share how she’s built community within her court.
How did you get started in the industry?
I feel like this field has chosen me. I came from a broken drug family. I dropped out of school in the 9th grade and woke up one day and panicked thinking I would be just like my mother if I didn’t make a change. Since that day, I have worked very hard to be where I am. I feel as if I am no better than my participants; I was lucky enough to have the support that I took advantage of to better my life and give me the self-confidence I lacked.
Tell us about your role.
I work with a fantastic team of six, once a month we have all three phases, and I cook lunch for everyone. We also meet after work for dinner every other Wednesday with other members of the community—all of this has brought us very close. We can disagree with staffing and walk out and still meet for dinner. Being close as a team is important to us—especially as we strive to bring the same community feel to our participants and court as a whole.
We’ve been told that you do some incredible things with your participants.
First, I can pick ten great qualities from every one of my participants, even when they are not doing so great. I feel they know and can feel my passion for helping them build a better life. It’s easy for me to talk about my job and what we do for the community. Having an open dialogue about my role has brought a lot of attention to our court in the best way. Often, we don’t have the funds to pay for outings, and the judge will contribute—we do whatever it takes with our resources to ensure the participants have a positive experience—especially with new, sober-oriented events.
Let’s talk about those events.
Every week I hike with the participants. I organize fitness challenges for our team. We recently finished a challenge where we worked with a personal trainer every day for a month—our team won! I try to keep my participants active, enjoying the outside, and involved in the community. I also try to include my graduates in everything I do. I’ll host BBQs at the lake. We’ve gone skiing, ice skating, indoor rock climbing, and bowling—we even play in a kickball league. Our judge is also very supportive of our community-oriented approach. It can be tough to organize everyone’s schedule, but he makes sure we can block off time for these activities. One of my favorite things is playing baseball with our team. The local baseball field opens their space for us, and I’ll make food for a picnic—we all have a great time. I genuinely believe that this involvement helps our participants and graduates tremendously.
What advice would you give to other coordinators?
The participants know I’m there for them and they value the honest, direct dialogue we have. I think that’s the most important part—showing participants that you value them and truly care. Don’t be afraid to get involved and take the extra steps to meet them where they are.
I have had conversations about boundaries, we live in a rural area, and I can tell you the joy the participants get from seeing team members eat at a place they work. They love that support. I also throw graduation parties for them. Most of my participants have never had a graduation party, so I enjoy having a celebration for them. I personally plan and cook everything. It means so much to them. It’s very involved, but leading my team in this way feels right. I’ll always be this way—a passionate, persistent coordinator. I’m proud of it.

Advice for drug courts wanting to track their graduates post-commencement | Drug Court Information Management System
Advice for drug courts wanting to track their graduates post-commencement | Drug Court Information Management System.Like many courts that are funded by federal grants, we committed to following our graduates for up to three years post-graduation by administering telephonic check-ins at several timed intervals. And, like many of you, I found this to be a daunting task. In spite of the significant gains our participants made while in drug court, I found that many of them remain somewhat transitory after graduation.
To remedy this, our court started a Recovery Management Group. The group is not a therapy group but rather a “connection” group that meets twice per month. As the coordinator, I facilitate the group by opening the space for the meeting and providing a topic of discussion. It may be that one of the graduates lost a job or is looking for a new place to live. They can communicate these things to their peers and often, get great advice. Overall, I have found that the graduates are much better at tracking one another and keeping in touch. If I cannot find someone, chances are, they know how to find them. Then, I get to see their face and have an in-person experience with them.
We incorporated Recovery Management into the last phase of the drug court program. That gives participants a chance to acclimate to the group and its members before graduation. Most of them really enjoy the get-togethers, and by the time they graduate, it’s a regular part of their schedule.
As part of the group, I’ll regularly administer a Recovery Maintenance Check-In survey. The survey is designed to check on the progress of the graduate and solicit information that may give insight into their lifestyle, their vulnerabilities, and successes. And, it can help to identify potential triggers that may cause a relapse.
I find that many of the graduates I interview have at least one struggle to address. Because of our group, I can act as a linkage manager and can get them into services that may help with their stability and keep them in recovery.
Our Recovery Management Group takes on all shapes for our court. I have been able to utilize the expertise and experiences of our participants to address the public in forums and community discussions. Additionally, our graduates and group members make great peer support specialists. It’s helpful to invite new drug court participants into the Recovery Management Group to talk about the struggles and barriers that face new participants. They’re very active in convincing new participants in the court that they’ll get through it and they share how to navigate the first few months successfully. It really seems to help when a peer is giving the advice.
Often, the group will break from our regular meeting space and meet at a coffee shop, or take a walk together. We’ll do volunteer work in the community and participate in discussions. It’s a meaningful experience, and overall, we’ve seen our recidivism rates decrease while seeing participation increase. And for the participants that experience a relapse, we can place them into temporary services until they’re stable, and then utilize the group to help address the triggers that initiated the relapse. Our group has become a community—it is a loyal friend; a place to call home in a time of need; a foundation for a renewed life ahead.
I always go back to one of the things I heard from a community partner when we were discussing whether or not drug courts were effective. He said, “You have to make their lives bigger. Once they have more in their lives, they have more incentive to remain in recovery.”
