Social Engagement: Individual Progress Report 4
Supreme Committee
The workshop was separated by morning and afternoon session. Morning session was overwatch-ed by Jason and myself while afternoon session was by Jason and Afiq. A description of task occurred overall are separated to each respective session:
Morning Session
The morning session was participated by 43 students of form 4 and form 5. Some of the students had to share the notebook due to lack of finely running ones. Windows Re-installation team along with Jason and I checked the remaining notebooks. A lot of them has admin lock which prevents us from downloading Netbean and Jdk to the notebook. A few of them had broken screen as well as the need of reformatting. An estimation of 30+ notebooks were found unusable. We found that the amount of programming notes we initially printed were not enough for the afternoon sessions. We proceed to photostat another 27 copies. PC assembly team proceed to fix the PCs and found about more than 5 are broken (this is within the morning session) and 7 are working. Facilitators managed to run the workshop well. The only implications they had is where the netbean stopped to work. I proceed to check them and found some of it are due to a bug. And during restart, the notebook couldn’t be accessed anymore. A total of 26 members of SE returns to UM as they are only a part of Morning Sessions. 
Afternoon Session
The afternoon session was participated by 37 students of form 1 and form 2. Some of the students had to share the notebook due to lack of finely running ones. Windows Re-installation team successfully repaired and formatted 15 notebooks and confirmed that about 30 of them are unrepairable. PC assembly successfully repaired about 6 more PCs. Mural were successfully done by the team. Facilitators managed to run the workshop well again and the engagement between afternoon sessions student was better that what we all expected. The students are seen to be communicating well with the facilitators and did not cause any unwanted problems throughout the workshop.
Overall,
Jason did not expect that the installation time would take too long than expected. A huge amount of notebooks to be fixed was not expected as well. Some of the installations pops up errors which in the end causes the installation to fail or not having complete softwares upon completion. We found that we did not have enough certificates. We printed out 60 (expecting and agreeing with that amount of students) and found that there are actually 80 participants. We thought of printing a few more for the school however their teacher have yet to contact us regarding the issue.
Updates on expense and income. Currently, we are outstanding with a balance of RM 96.16. At the moment Jasmoon only has RM 55 in hand.

Sales and Logistic Department
Printed certificates of participation for the participants a day before the event.

Media Department
A few members from the media team (Omar, Luqman, Chow) helped the technical team to install the software needed to the laptops at the school on 23rd of April a day before the workshop.

Sponsorship Department
Sponsors are not able to be found in time due to:
Lack of time
Location and date not confirmed (Companies has raised the issue which may prevent them from sponsoring)
Approval from dean delayed

Marketing Department
T shirt sales to UM students scrapped due to logistics complications and lack of interest from public.
T-shirt collection handled by runners and Badrul who collected the shirts on the day of the workshop and gave out to SE members who have yet to receive them.
Designed the flyers for the workshop to be distributed to the students of SMK Bandar Sri Damansara.
Technical Team
Went to SMK Bandar Sri Damansara on 22nd of April and checked the notebooks to ensure it works fine. 
Installed netbeans in usable notebooks with Apache  9.0 along with Jdk 8 which runs fine.
Managed to do in 14 notebooks within 2 and half hours. Those notebooks that can't be used were placed aside and checked during event day.
Human Resource Department
Communicate with teachers about the necessary things to do during workshop.
Successful in managing 4 team under hr which is windows installation, facilitators, mural and PC assembly.
Successful in repairing 14 PC and a few notebooks.

Due to increasing of expenses, he suggested to use google form as our platform for feedback form and e-certs for student’s certificate. Jason is in process of drafting the feedback form while physical certificates are remained and sponsored by Dr. Reza for the latter.

No meetings were held as most works were already assigned before hand and only updates were received.
Supreme Committee
On 11th of April, Dr. Reza, Jason, Afiq and Shahku went to SMK Bandar Damai Perdana to discuss matters of the workshop with the representative teacher. The date for the workshop was changed to 24th and 25th of April instead as the school prefers not to have the workshop on a Sunday. Tentative have yet to be finalised. Below are the flow of how the workshop would run:
24 April 2019 - Teaching Programming(NOT BASIC) and Application of JAVA in real life - 30 students max per session
8.30 am - 1.00 pm (Session 1) 
1.45 pm - 6.30 pm (Session 2)
25 April 2019 - Mural activities or PC assembling - Painting the wall outside the Computer Lab - Printing Visual Information for students About Computer Science
8.00 am - 10.30 am (Session 1)
2.00 pm - 4.30 pm (Session 2)
A few worries has been voiced from the members regarding the fact that the dates are clashed with a lot of the classes as well as quizzes. Jason has made a google form for members to fill up what classes they have on both Wednesday and Thursday. (Press the day to open the form)
Along with that, Jason has raised to make the workshop into a one day event instead. A discussion is still ongoing regarding the issue.
14th of April update:
Jason has decided to change the workshop to 24th of April only. A tentative has been prepared as well.

The printing of the poster/bunting has been delayed as the date of the event has been changed once again. 
The order for the t-shirt will be placed by next week depending on when the media team will complete the new design of the t-shirt. (A change of printing shop will be made as the previous printing shop that we’ve contacted Print Express Sdn Bhd, gave a more expensive quotation than first received.
A new printing shop has been decided for the t-shirt. Our order is being processed by PrintKaler, APS Group Industry Sdn Bhd located in Shah Alam.
Acquired majority of the network department's t-shirt size. The ones who did not fill up the form on time will be given the default size of L.
Have yet to received the modules to print for the notebook.
Media Department
Change the UM logo on the t-shirt to our own creation.

Briefed new members on sponsorship task

Promotion of shirts proceeding as usual but there is no sales

No progress for this week however additional information for this team was given.
Preparing setups few hours before workshop. Transportation will be by car since setup is before 8.30am.

On Thursday, went to the school with Dr. Reza to discuss with the principal and principal suggested that we do a community so helpers will increase for the charity work - Shahku.
No progress from other team as of this week.
Will be booking the bus on MyUm 4 to 5 days before workshop.

Supreme Committee
We have been working along with other departments to ensure their tasks are running well. Next Wednesday 10th of April, Jason, Afiq and one of marketing team Jerry/Jia Huei will be going down to SMK Bandar Damai Perdana during their ceremony to announce to student and invite them to the workshop. Forms of participant will be given to the teacher for students who are interested to fill up. 
Sales and Logistic Department The team have been getting the quotation for the t-shirts, notebooks and bunting. They have informed the supreme committee of their opinions about the printing and worked closely with the Media team on the design of the t-shirts. They have also obtained the sizing charts of the t-shirts.
Regarding the quotation, the price are as the following ;
For 100pcs t-shirt (8-10 working days) : 1. cotton shirt RM 20.16/pcs 2. microfiber shirt RM 23.36/pcs
For ~60 notebooks with 100 pages (16 printed page) (8-10 working days) 1. RM 13/PCS (to be updated as we don't want blank pages)
For bunting (2-3 working days): 1. RM 11.35/pcs (Stand separately)

Progress within 25th to 31st of March 2019.
Supreme Committee
During class of 29th March 2019 with all students we distributed information. Below are the agenda:
AGENDA 1.Those who have yet to pay RM50, please pay to Dess or Jasmoon. Any difficulties to do so please let Dr. Reza know.
2. Updates from head of departments. Human Resources - Emailed approval letter to JPN and awaiting their reply. - Finalised team workshop namelist. Will provide a meeting with respective teams for job scopes. - Have yet to receive update from the school. To Shahku, please contact them for update. - Namelist will be provided below after this agenda.
Media - Made a concrete shirt (without sponsors logo at the moment) - Suggested to make a different design for selling - Design were shown to

Compose a syllabus (FOP - Beginning to loops(exclude do-while)) which would be included in notebook.

The school's computer is a 1Malaysia Notebook(most likely underpowered) Jason will try to bring it for you guys to experiment around with it.

Supreme Committee
On 20th of March, Jason, Afiq and Shahku (Head of Human Resources) went to SMK Bandar Damai Perdana to meet the representative regarding our workshop and was very interested with the proposal but she was concerned about the date of workshop being on a Sunday. However, she informed that she will discuss more further with principal to obtain the final decision. Currently waiting to receive an approval from JPN. Meanwhile, Head and Vice Director have finalized the workshop date on 28th of April.
The school has two computer labs and replaced all desktop PC with 1Malaysia netbooks instead.

Jason find the layout of the lab to be very effective for group works with participants however concerns that the netbooks might be underpowered.
Dess and Chan have started collection RM 50 from all students. A few have yet to hand in the money though expected that the collection would be completed by next week.
Note: Jason has mentioned that there are new updates for the workshop though I have asked for it a couple times these past few days but yet to receive them to date.

Sales team surveyed some online shops and got the price range for t-shirt and notepads
1. House of printing
-They only print t-shirts -Rm13 for short sleeve -Rm19 for long sleeve -Rm 3 extra for adding logo -Extra charges for printing both front and back -They take around 20 working days to make the t-shirts ready but still they will inform the final price after getting the final design
2.Gogoprint malaysia

Media and Technical Department
-No progress
Note: They should’ve done concrete design of t-shirt by now but apparently they have written there is no progress. I have asked Auni to look into this but yet to receive any news from the department. We found that they have completed a few tasks but did not included in the report. Hence, we do not know entirely the progress they have done and yet to receive a reasoning out of this.

Marketing Department - No progress (work to start april 8 tentatively)

Note: On 19th of March, Jason and Afiq had a meeting with them. I have mentioned long before to provide me a report if a meeting is held. Yet they did not include this. Jason has told me that these were the topics discussed:
a. Keep them up to speed with current development. b. Brief them about their current job scope. c. Discuss on marketing approach.
Technical Department
-No work assigned yet as their works are mainly before workshop day at the moment.

Progress within 11th to 17th of March 2019.
Supreme Committee
On 14th of April, Jason and Afiq went to SMK Senawang to negotiate regarding the invitation of the workshop however it was rejected by Jabatan Pelajaran Negeri - Unit Perhubungan due to the date of the workshop.

Change of date were then discussed along with the overall proposal on 15th of April with Dr. Reza and Departments.

A new date were chosen which is on 28th of April by going to schools and have the workshop there instead. A few schools were suggested:
- SMK Bandar Damai Perdana - Shahku (Head HR) will try to contact them asap - SMK La Salle - Julian (Head Sponsorship) will try to contact them asap - SMK Senawang - Afiq (Vice Director) has contacted them (Last option because pros: they provide food fully for us)
Along the visit to school, a survey on the school’s computer lab facilities will be conducted. Once a school given their approval, HR Department will obtain approval by Jabatan Pelajaran Negeri - Unit Perhubungan.
