Five Things Meeting Professionals Should Know When Planning an Event in Europe

1.       It’s A Free Market

The free movement of goods and labour throughout the European Union (including at least for the next few years, the UK,) is guaranteed.  This means that you if you want equipment in northern Italy, for example, it may well be more cost effective and easy to rent it from southern Germany.  That’s before thinking about the possible VAT savings (see below).  There are no customs or border controls, making trade very easy indeed.  

Do note, however that are one or two anomalies.  Switzerland, for example is not in the European Union, but does have a series of bilateral trade agreements which makes it feel like it practically is. But areas like Spain’s Canary Islands are part of their own special trade zones, which can make getting equipment in and out much more complex than you might think.  If in doubt ask an expert!

2.       VAT Need Not be An Issue

VAT is the pan-European sales tax, which is charged on most goods and services.  The standard rates charged by each country vary from 17% in Luxembourg to 27% in Hungary.  If you are charged VAT on services relating to an event in Europe then VAT is often recoverable, but it will most likely be time consuming.  If you regularly run events in Europe then it may be worth registering your organisation for VAT to make claiming it back part of an automatic process.  

But here’s a trick you may not have heard of: if you book services (including rental equipment) via a UK provider for supply in another European country (including Ireland), then no VAT is chargeable in the first place!

 3.       Plugs, Keyboards and Languages Vary

You probably aware that the European electricity supply runs on a different voltage to the US, and that the plugs and sockets are different. The UK and Ireland have yet another system.    So if you are bringing  any of your own equipment, you need to make sure that you have the right adapters to use it in Europe.  

If you are renting any PCs, laptops or Mac equipment, it is worth noting that there are many different keyboard layouts and operating system languages throughout Europe.  If using a local supplier you will need to specify if you want the language set to English, and while the provision of US keyboards may be possible, it may result in additional cost.

 4.       Customer Service Isn’t Always Great

If you’ve ever experienced a Gallic shrug in Paris or practically any meal in an English restaurant outside of London, you’ll know that European customer service isn’t always up to the standards that you might expect in the US and Canada.   Being able to get on-site or even telephone support out of hours isn’t  guaranteed, but there are some companies which pride themselves  on providing excellent service and delighting their customers.   Here at Potential Group for example, we even respond to pre-sales enquiries up to 9pm London time same day, specifically to help our north American customers.

 5.       You’re Not Tied to In-House Providers

Compared to some cities in the US, European hotels and convention centres are typically much more flexible about which suppliers you can use.  Unions don’t have the same sort of stranglehold they can at home. In addition, free trade regulations in Europe help to ensure that you can book the most cost effective partners with the necessary and expertise and experience to deliver the solutions you need.   Don’t feel you need to be tied into the venues in-house  AV team for example- shop around!  Wi-fi provision is another area where serious savings and performance boosts can be had by bringing in external experts.
