Self-learning technology could perform 90% of data entry tasks – but will it take your job?
Self-learning technology could create a scenario where bookkeepers only have to do one in 10 invoices, according to Markus Mantere, sales director of robotics company Arkimera. Arkimera have developed a self-learning AI product which “learns” how to file accounts exactly as the user would have done. It could kick-start a revolution in how accountants work. “This technology opens up possibilities for bookkeeping firms to do their job more efficiently and cheaper than the competition today,” Mantere said. However, he warned that expectations of accountants would inevitably change. “I believe you need to broaden your offering because manual data entry will be less and less relevant,” he said. ICAEW’s head of IT Faculty, Richard Anning agreed. He said that the original premise behind MTD was “to make it easier for your plumbers and your hairdresser” and to make manual data entry less problematic. “People could just take a picture of the invoices on their mobile and shoot that through to their accounting software which gets updated automatically, then off it goes to their accounting system and off to HMRC and the tax is sorted. That’s the nirvana and its starting to happen,” Anning added. But will this lead to mass job losses for accountants? “When farmers were domesticating animals, it wasn’t like the horse or the bull was taking the farmers job, it was a new tool in the toolbelt and the farmers that started using animals were more prosperous,” Mantere said.  Speaking at Accountex last week, Ed Molyneux CEO of FreeAgent was similarly optimistic about the impact of disruptive technology. “The majority of people [accountants] say their least enjoyable thing is chasing up clients and messing around with numbers. Well, that’s great news as we are talking about those things being automated away,” Molyneux said. “Today we are stating to see things like bookkeeping become much more automated. That’s what we all benefit from every day that we work with clients, the ability to use tools to help do our job better.”  It appears this attitude is widespread among accountants. Molyneux said that a survey by FreeAgent found that 75% of accountants thought some of their job would be automated in the next five years, but 82% still felt that a robot could not do their job. Opportunity not a threat Instead of mass job losses, Molyneux believed that the role of an accountant will instead move to a more advisory role. “We are going to see more automation and more ability to be able to assume that these things are just taken care of in software. And then move from this first aid kit role, which is just keeping these clients alive, to being able to generate new ideas to genuinely help clients grow their business.” Similarly, Anning believes that over time “the role of the accountant will change from one being a tax preparer to one being a tax assurer, to making sure that what HMRC is charging you is correct.” Like Molyneux, Anning was upbeat about the changes that technology would bring to the industry and felt that optimism was widespread: “Everyone I talk to sees it as an opportunity. Because accountants, intelligent people, don’t necessarily want to spent loads of timing doing detailed compliance work. It’s much more satisfactory to do the higher level stuff: business coaching, business advisory, insight from the data.” “It’s a much more satisfactory, higher value service, and I think most of our members that I talk to are much keener to do higher value work,” Anning said.   However, Mantere was unconvinced that the idea of accountants moving to an advisory role was realistic for the whole profession. “I know that this advisory thing is really high stuff, I believe that is one way towards the future. But at the same time, it would be naïve to say, “how many accountants and bookkeepers do we have today? All of them are going to become advisers instead,” he said. “Why would there all of a sudden, be that big of a need amongst all of the customers? With over 1500 small business customers and 40+ new accounts weekly, we have found true product market fit.Now here's how we make money...don't worry, this is just for context. We license our software on a per-license cost and also require partners to purchase licenses upfront. Our standard deals starting out are between $500 and $10,000 for a partner and we scale up even higher with usage and licenses sold. Small business clients retail between $149 and $899. Our average price-point across all accounts is $227.23 with the majority of accounts selling for $199.With that in mind, I know there are a lot of us struggling with COVID-19. For your own purposes, think about how great it would be to have a form like this in your appointment scheduler. This would allow you to come fully prepared to the meeting rather than have to devise a rough plan on the spot. It would also shorten the lifecycle of your projects as you wouldn’t have to sit around waiting for clients to deliver essential documentation and content. (This would also be useful for people like healthcare practitioners or lawyers who need special waivers before they can take on new patients or clients.) Plus, prospects that are this prepared in the initial booking stage are the kind of clients you want to be working with, so think of this feature as another way to vet your prospects (and help your clients do the same). If appointments are booked with certain employees or providers, that’s another layer of complexity that should be accounted for in the design of your booking widget. When setting up a new Employee option in Amelia, don’t just focus on the superficial stuff like who they are and which services they provide.

That way, users won’t be tempted to book their favorite provider when they aren’t around. They’ll only see the date and time options that are open. Another thing you can do to improve the accuracy of bookings is by building buffer times around them. Buffers give your clients and their teams time to: Properly set up for upcoming appointments (e.g. brushing up on a prospect or setting up a virtual conference room). “Clean up” after an appointment (e.g. physically cleaning up the surrounding space or capturing notes from a call). It’s also a good idea to have buffer times in case there are overzealous prospects or customers who just want to talk and talk and talk or otherwise push the appointment over the allotted time. By having a buffer in place, it can help keep other customers’ appointments from starting late and, thus, starting the experience off on the wrong foot. Under each Service you’ve created in Amelia, you have the option to add a buffer time before and after the time slots:

Oh, and if it’s just a solo provider you’re building this appointments system for, you don’t have to set up all of these individual schedules or buffer times. Whether your clients are booking online events or in-person appointments or classes, they experience a similar kind of time-waste and profit loss. So, to encourage more customers to actually attend their bookings, you can set up the scheduler to collect payments upfront. The first thing to do in Amelia is to add a price to all of your services and events. Even if you don’t plan on charging upfront, this is a good idea anyway as it reminds customers what they’ll owe in the end.

(Source: Amelia) (Large preview) So, one thing I would advise is to include a note in the form — somewhere around the price — to let them know that payment will be collected now instead of when the service is rendered. You could also use this for a business like your own by charging a small fee or retainer for the initial discovery call. Another thing you can do to ensure that clients don’t lose potential revenue from missed appointments is to integrate the booking system with an external CRM or email marketing software. That way, you’ll capture users’ contact information outside of WordPress and can set up automated follow-up messages if or when they miss an appointment. It might not help your clients recapture all of that missed business, but it’ll help restore some of it. There are two ways to set this up. The first is using the Web Hooks Settings in Amelia:

And with other automated events set up (like to invite a customer who canceled to reschedule a couple of weeks later), your client won’t have to do much to try to reconnect with the customer. Think of this as a cart abandonment feature, only for appointments. You can also use Zapier integrations and webhooks to do the same thing. Automate Emails And SMS While it’s important to try to recapture potentially lost business with follow-ups, they’re not the only customers your booking system should be in contact with. All customers matter. As such, you should use automated emails and SMS to: Send a confirmation email with all the details of a booking to a customer (in addition to an .ics file that enables them to quickly add it to their personal calendar). Set up the same confirmation messaging for employees to notify them when they’ve been scheduled. Remind customers of an upcoming appointment with options to reschedule (or cancel) if they can’t make it. Send a “thank you” after the appointment is done. In some cases, you may invite them back for another one. In other cases (like your own), you could use this to send information on next steps. Email them to wish them a happy birthday, congratulate them on an anniversary or celebrate some other special day (perhaps with a goodie inside). Bottom line: While you can certainly wow customers during a booking, you can sustain that wow for much longer by showing that it’s not just about the exchange of time and money at the time of the appointment. Do you search for reviews before making buying decisions? Most people do. You can do this in follow-up emails, on your invoice, in your social media updates, and so forth. You might even consider adding a review submission section to your website that allows people to give you feedback. If you receive glowing feedback from a customer specifically, it never hurts to ask for a review. Don’t be afraid to tell them how helpful it can be to your business.
Avoid the Urge to Fake It
