There are several ways to improve workplace communications, being empathetic and honest, having good situational awareness, and practicing active listening are all ways to have better communications while at work.
Honesty is an essential in having proper communication in the workplace. Regardless of the scenario, and especially when dealing with customers, honesty is always the best policy. Often employees stretch the truth, for the sake of convince or what seems to be the benefit of the customer. However, this is seldom the best choice. Just because you have good intentions for the lie, does not mean that lying is an acceptable behavior. If the customer ever discovers that a representative from a business has lied to them, then majority of the time the result is a lost customer. Trust is arguably the most important factor in any business and the correlation of trust between business and customer is essential. That foundation of trust is critical to the long term success of the business. If that foundation of trust is ever compromised then it can be extremely difficult or impossible to rebuild trust with the customer. In industries dominated by competition, this can be devastating and that is why trust is such an important factor in workplace communications.
Practicing empathy in communication can be just as important as the foundation of trust. It is not that you genuinely must agree with every customer or coworker. However, you should always attempt to develop an understanding of the other persons point of view. Successful employees develop interpersonal connections with their customers and employees. Having this type of connection with customers helps to develop that foundation of trust that will bring new customers back for repeat business. When practicing empathy one hopes to understand the priorities and needs of customers priorities, and the result is better customer service. Mastering empathetic skills can really set apart good employees from great ones.
Whether it involves moving quickly to accomplish a task, or taking extra time to make sure that a customers needs are met, having a strong sense of situational awareness in the workplace is essential. In any workplace environment, there are going to be obstacles and problems on a daily basis. How we address and deal with these obstacles can often be a defining factor in individual workplace success. Being situationally aware and developing an understanding of these issues as they arise can help an employee have more success when dealing with problems at work. In order to maintain customer satisfaction, it is essential to solve problems and create solutions specifically oriented for the customer. In order to solve any problem, you first must develop an understanding of what the problem is. Practicing effective communication techniques and having an understanding of the customers needs are the key to being a situationally aware employee.
Active listening skills are the backbone of successful communication. Developing an understanding of the plethora of what is going on at work requires constant effort. While at work you cannot let information go in one ear and out the other. Without actively listening and understanding what is being communicated, critical information may be lost or misunderstood. For example, if my boss calls out a “turkey tom”, and I start to make a turkey sandwich, certainly I am on the right track. However, if I fail to listen to my manger call out all of the modifiers, I might miss that a customer wanted cheese on their sandwich. A sandwich with no cheese can cause dissatisfaction from the customer and their sandwich will absolutely have to be made properly. Remaking orders costs extra food and labor to the business, and the original sandwich must be thrown out, costing the business even more money. Simple, preventable errors can seriously effect a businesses profitability, and if made in to a habitual behavior, it could cost you your job. It is essential to practice active listening skills and make a constant effort to minimize errors. This involves truly listening and paying attention to what is being communicated. This applies to both your boss, coworkers, and customers. Giving feedback, and having a proper response in the communication is equally important to listening. You want to confirm that you understand what is being conveyed. Also remember to ask questions that will help to further your understanding of the scenario or information. In interpersonal communications it is essential to actively listen to everything going on in the conversation. Honing these skills will put you on the fast track to success in any career.
The various types of communications in the workplace can make for complex situations in the working environment. How we manage our interpersonal communications at work can be a defining factor in how we are viewed as individuals by those surrounding us.
