Visitor Management System

1. Self Service Kiosk- Enables guests to register themselves without having to wait for the receptionist.
2. Super-fast Check-in- VMS eliminates the repetitiveness visitor registration form, leading to faster check-ins.
3. Verify Mobile Number-OTP based mobile number verification ensures that the mobile numbers being captured are authentic.
4. Capture Pictures-VMS terminals enable you to capture pictures of your visitors and store them securely with the visitor data in the Hipla cloud.
5. Print Badges- Hipla supports Brother Label printer and other WIFI -enabled for printing customized badges for your visitor, and in special cases wired printer with additional print modules.
6. On new registration, a unique identifier will be generated for each visitor.
7. Captures asset details – When a visitor is entering premises with any laptop or media devices, their asset details are captured in their badge.
8. Authentication using govt. id – Government id’s like Aadhar, driving license, pan card are being captured and the photo is being verified.

Appointment Booking System:
Sending appointment request – Appointment request can be done from both ends
• The employee initiates request – The employee enters the details (Name, organization, email, phone number, visit date and duration) of the visitor through Web link or reception tab, a SMS and Mail with a QR code and a PIN will be sent to the visitor.
• Visitor initiates request – Here the visitor will enter the details of the employee on reception tab or web link, then a meeting request mail will be sent to the employee.
• Accepting meeting request – When a visitor enters his meeting details on the web portal/kiosk for an instant meeting, then an e-mail with a link is being sent to the employee’s phone intimating him about the meeting schedule and agenda. If the employee agrees, then he accepts the appointment while he also has an option to decline. The employee can also send a meeting confirmation to his visitor/guest when pre-agreed.
Appointment Confirmation– After accepting of appointment request by employee, the visitor will receive an appointment confirmation mail and SMS with a unique QR code and a PIN.
Meeting Room Confirmation– After reaching the destination/ office, the visitor/ guest can book a meeting room at the kiosk(s) as per the suitable time slot.
Meeting Room Management System:
While booking a meeting our meeting room management system facilitates finding a room that is available for your preferred time slot, subsequently booking it easily, also vacating it on time and creating minutes of the meeting. Also when a user books a meeting with another user (guest or employee), the meeting room stays locked for their time-slot and unlocks only when the QR code, received at the time of meeting booking, is scanned. Also, instant meetings can be created from the tablet outside meeting the room if a user has not booked any meeting in advance. Once inside the meeting room, the electrical appliances (lights, projector screen, window blinds, etc.) can be controlled using the meeting room management application.

Pantry Management System:
Both guests and employees can order for refreshment from the respective meeting rooms from a dedicated food ordering app on the tablet kept inside the meeting room. The pantry management team responds with an estimated time of delivery from the tablet inside the pantry room. The pantry management tablet app also facilitates the people working in the pantry to update list of available items, manage orders.
