Today as I’m sitting in my chic smart office and trying to pen a few lines, my thoughts are rudely interrupted by a team of admin and accounts staff. ‘Hey! MY MIND. MY WORK SPACE
I am smitten by this new generation workspace bug ‘co-working spaces’ that offers business efficiency and networking together with substantial cost saving. The curious person that I am, I couldn’t resist an exploration of this kind of workspace …so here I embark on this journey.

Before I get started let me first share with you the kind of person that I am – a potent combination of moods, whims, fancies which also dictates the kind of office space that appeals to me every now and then. So I always have the devil in me questioning – ‘Are these staid, standard-format new generation co-work spaces for a person like me? Let’s find out……
I open the doors of this newly launched private office and co-working space called HQ10. And I find myself stepping into an elegant and not just well-lit and cheerful but also energetic lobby. Smart and friendly executives greet me with a warm smile, which definitely made a good start to my day. I start out with ‘I am not sure about whether I want…..’ and pat comes to the reply from the friendly staff ‘Never mind, Spare us a few minutes and allow us to take you through a tour of HQ10 Private Office and Co-Work Spaces’.
I was walked through winding corridors of elegant closed private cabins – compact, fitted with comfy desks – 3/5/7/15/20 seaters and some even with an enclosed cubicle. ‘Ideal for those who want privacy and thinking space’ my friendly guide said – and I wholeheartedly agreed as the soft blue and grey décor and beautiful art piece that adorns the wall, subtly triggered my thinking. Painting this picture perfect were groups of corporate teams efficiently going about their work.
From the corporate dignified world, I was ushered into an open workspace, fitted with deep brown artistically crafted desks. As I was just registering this rustic ambience, my guide politely interrupted my thoughts stating ‘Our Co-work spaces meant for those who want work to be lively and productive. And believe me, this was more than true – with groups of dreamers and doers working, bonding and networking.

My mind reeled with positive thoughts ‘So here is MY SPACE ----Private Cabins for the thinker in me, Co-work Dedicated Desks for the analyst in me, Co-work Shared Desks for the creator in me’. ‘Now I get the full picture.’ I told my friendly guide….’No! Not still.’ she replied with a mischievous smile.

As I muse back on my professional journey, my buried pet project looms tearfully at me, as if accusing me ‘Had you given me the right attention and nurtured me, I would have been flying sky-high instead of lying motionless under this tomb’. This makes me cringe, because heart of hearts I know that I gave it my best. The idea was brilliant, my effort was whole-hearted – where then did I lose out? Without hesitation I would say it was about ‘ALL WORK AND NO NETWORK’. Whether it was for funding or for allied industry knowledge legalities or for client and vendor connects – I was either groping about on my own or googling or was looking up to a set of connections I had – and kept circling within a defined boundary.

Relook your morning activities

Don’t try to be a People Pleaser
Make a priority list and start saying no. Don’t worry about being a people pleaser. Not everyone will like you, and not everyone will be happy with what you do and say. Strive to earn respect from the people you work with instead.
Learn to say no or present your boss or co-workers with reasons why you can’t do what they have asked of you. If you have too much on your plate - say so. Also, set realistic expectations. That way both of you are on the same page and he doesn’t come asking about it an hour later.
Stay out of your inbox
Your inbox does not need to be turned on all day. Just because you received an email doesn’t mean it requires an immediate response. You can’t live in your inbox because you won’t get the important things done. It takes four hours to do any productive project, and you won’t be able to do that if you are always reacting and putting out fires.
Turn off your automatic email notification. Or even better, turn your inbox offline and focus on the big tasks that need to get done. Set a schedule to check your inbox at certain times. If this is an issue with people you work with, let them know this schedule or leave an automatic out-of-office message that says, “In an effort to serve my clients, I am only checking email at….Emails will be returned at that time.” React when you want to react.
Take Breaks
There will always be another email to read and another tab to open on your internet browser—work is infinity, but work without breaks is detrimental to your health. Log off from the digital space consistently every couple hours, even if it’s just to walk around the block and take in some greenery or to chat up with a colleague. Undoubtedly this will help bust stress and rejuvenate when you get back to work
Track your stressors
Many people don’t even realize they are stressed. Stress is the loss of control of your life. It is setting up expectations improperly. Stress comes from other people’s pressure on you to perform or deliver. Beating stress allows you to take more control of your life. Keep a journal for a week or two to identify which situations create the most stress and how you respond to them. Record your thoughts, feelings, and information about the environment, including the people and circumstances involved, the physical setting and how you reacted. Develop healthy responses.
Assess Your Food and Drink
Monitor your intake of caffeine, sugar, and processed foods? That's like pumping fuel into your tensed and stressed mind. Try making a few healthy swaps - drink water or herbal tea instead of caffeinated drinks. Instead of reaching for sugary processed foods when you’re stressed, try balancing foods like blueberries, almonds, and seaweed. The nutrients in whole foods you eat to maintain a balanced diet will not reduce your anxiety, but they very well may help your mental well-being.
Exercise—Even if You Don’t Want To
While you may be thinking a few extra hours of works will help you crack the strategy and deliver a winning sales plan,  you’re probably better off doing some strategic sweating. Remember: Exercise doesn’t just burn calories—studies show that it burns off stress and anxiety, too. So even if you are not naturally inclined to work out, see if you can get yourself into a set regimen inspired by a class, a friend who is willing to speed walk or jog with you after work, or even a fitness app or gadget. Your body—and your stress levels—will thank you for it.
Find Time to Decompress
If you are in a work environment that is sucking the energy out of you, make sure you also schedule time for yourself in a better environment with people who fulfil you and build you up. Invite some friends over for dinner or head to the library for the day or watch a movie or play a sport or shop. Do what will make you happy and get your mind off work!!

#14 Respect others to earn respect.
If someone in the office is not doing fine with their tasks, do not mock them. Instead, help everyone in need. You are on the same team with the same goal of upping your career to the next level. Why not do it together, instead of competing with every person in the office? When your colleagues see you as a friend whom they can always count on, they will admire you and respect will always be visible between the two of you.
#15 Be Kind and say “Thank you.”
Everyone likes to be appreciated. Express verbal gratitude towards your colleagues and the people around you. Give compliments when deserved. Receiving expressions of gratitude makes us feel a heightened sense of self-worth and creates a better environment.
#16 Don’t get into office politics.
It’s easy to get trapped in the web of office politics. But gossiping about who’s going to get fired only serves to make you worried about your own job. While some gossip is harmless, politely excuse yourself from the conversation when it takes a negative turn.
#17 Leave Personal Problems at Home
It is quite normal to have problems at home, too. If you have one, or two, or many, do not bring them to work. Letting your domestic problems stay in your head will have a negative impact on your career. Your officemates and colleagues will have a hard time working with you. Whatever it is, don’t forget that almost all of us spend more than 70% of our adult life and most of our waking hours working - consequently, if we want to live a happy life, is very important to be happy at work.
Try these tips to stay happy at work
#1 Set Goals Setting goals improves your mood because everybody likes taking control of their own life. Figure out attainable short and long-term goals, then create a step-by-step plan to complete them. You’ll find new purpose in each workhour and could even set yourself up for a raise at the year’s end by showing your boss exactly what you’ve accomplished.
#2 Make your work easier and better List all the tasks you need to accomplish at the end of the day. Mark those that are urgent and those that are not. If you arrive at work early, sit back and relax for a while and then do the simplest tasks first; answer emails and make phone calls, or print necessary documents. I not only saved ....but also earned more at HQ10
The one thing on most people’s mind when looking for shared work space or co-working space is to save some money. They do not have to spend on rent advance, huge monthly rentals, setting up and running expenses and so on.I was no different, I calculated the money require to set up and run one’s own office, apart from the rent (and of course the rent advance), there was also the cost of partitions, furniture, telephones, internet, security, house-keeping, pantry, crockery cutlery and million other things, to have a decent office running. And the ever-increasing cost of technical maintenance people, to attend to plumbing, electrical and network issues.
I, therefore, came to the same conclusion that most people do, unless there are overriding compulsions, it makes sound business sense to move into shared office space and co-working spaces. So that you can actually save some money.
After I moved in to this co-working space called HQ10, I started realising that I had actually saved more than what I had estimated, as the kind of ambience, furniture, fittings and all other services that HQ10 were far superior to what I had imagined and would have costed far more than what I had imagined.
But, that’s not what this note is all about.
The first two days were spent in patting myself for the ‘intelligent cost-saving’ decision of mine to move into HQ10. Moving in was so seamless, without the need for any shifting down time. The phones, the internet, the printers, projectors were all up and running from the very first minute. And when I asked for a slight rearrangement of my seat, it was attended to without any fuss. It was perhaps on the third day that I realized, I was gaining something which I had not planned or anticipated.
The stress-free environment at HQ10, was actually acting as a catalyst to improve my efficiency and I found that my success rates had gone up quite a bit. Also, as there was no need on my part to supervise the professional experts providing support services, I was saving a lot of time, which I could put back into more effective work.
I also found to my pleasant surprise, that the other occupants in HQ10 were like-minded, friendly people. So much so that the coffee breaks I took in between work were turned in to invigorating recharge time with the lively and enjoyable conversation with them.
And as a bonus, I found a tremendous opportunity for purposive networking with co-occupants, which is actually helping me build my business. In essence, I went into HQ10 to save, but ended up not just saving but also earning more!

So, it is but natural that one would have a wish list of the location, ambience, fixtures, colleagues, etc. Very often, it remains a wish list. Employees of course, rarely have any say in the matter, except perhaps the adornments on their own desk. But if you are a person who is tasked with the job of identifying and setting up an office – either for yourself, or for small organisations, or as a temporary or satellite office for a large organisation, I am sure you will try to find a place that meets your expectations. Hitherto the choice was largely between buying own office or taking space on rent or lease. While buying is restricted to a select few, renting has been the only option for many.
The initial process of finalising a rented or leased space is no doubt cumbersome, but fitting it up and maintaining is where the real stressful drudgery lies. Internet -- Ensure that the internet service provided is fast and reliable. And whether the wifi has adequate coverage.
Extras -- Check out for free use of common areas like café, gym etc and the quality of F&B
Security -- Very important to check this out unless you want to spend sleepless nights.
Access -- Do the opening hours match your working pattern? And in emergencies, how can you gain access.
Location -- Proximity to your commuting route and chosen amenities. Also, the location can make an impression (negative or positive on your business associates, if they visit you.
The fine print -- Find out all the hidden costs like printing, using specified areas etc. And any specific adverse terms/ conditions.
Trial periods -- Check whether they offer a trial period, before you are expected to commit for a longer period.
These do sound quite tiresome, but they are certainly worth spending time and effort on. Probably an easier route is to go by the experience of people who have used co-working space in the recent past.
