How to Automate Manual Business Processes
Business process automation allows companies to automate manual processes involving spreadsheets or paperwork that may be slowing their business down and putting them at a disadvantage. By automating manual processes, businesses can be more efficient and productive – saving both time and money – and free up team members to work on other important tasks like marketing, customer service and sales.
Tumblr media
One of the first things you’ll need to do is identify the essential processes that your company relies on for day-to-day operations. Start by looking for repetitive tasks that you or your team performs over and over again, such as calculating inventory levels, scheduling meetings, onboarding new clients and paying invoices. Once you’ve outlined these essential and repetitive tasks, start by creating standard operating procedures (SOPs) to document them and how they should be performed.
Once you have your SOPs in place, you can begin the process of finding a solution that will help you automate your manual business processes. When selecting a tool, be sure to consider factors such as cost, savings expectations and how easy it is to implement. Be sure to involve your employees in the decision-making process, as they’ll be able to provide input on how they can make their current workflows more efficient and effective.
Whenever you’re automating manual business processes, it’s crucial to have a failover plan in place just in case something goes wrong. For example, if your process automation software experiences a technical glitch, you’ll need to have the backup system in place so that no work is lost.

What is an Automated Workflow?
A workflow automation takes a manual process and creates a pathway of tasks that happen automatically in prescribed order. The result is a process that is quicker, cheaper and less prone to human error.
Workflow automation takes soul-crushing, repetitive grunt work off of employees’ to-do lists and gives them back their time to spend on more fulfilling, creative projects. This is not just good for employees’ job satisfaction – it also helps them hone their skills and increase the value of the company they work for.
Tumblr media
The first step of creating an automated workflow is identifying the processes that are candidates for automation. Next, prioritize those processes based on the impact they have on achieving business goals. This will give you a clearer sense of how your workflow automation system will work and what it can achieve for your organization.
Finally, you’ll want to document a workflow diagram based on your priority list. This will allow you to clearly visualize each task and how they connect in a prescribed order. Most automation software programs, like Mailchimp, provide a drag-and-drop workflow designer that makes this step easy and hands-on. Once the workflow is documented, test it for success using the user acceptance testing process. Then, make adjustments as needed based on results. If you’re automating marketing, for example, be sure to evaluate your drip campaigns on a regular basis and adjust accordingly. That way, you’ll only be sending emails that resonate with your contacts.

Oracle Automated Invoice Processing
Invoice processing is one of the most common and complex workflows in any accounting department. It’s also one of the most time-consuming tasks for any AP team that must manually input supplier information, individual line item purchases, quantities, prices and other related data into their ERP system. When this is done incorrectly, it creates additional work and unnecessary delays for both the AP team and the suppliers.
Tumblr media
The good news is that intelligent process automation can streamline the source-to-pay process in Oracle, allowing you to save time, cut costs and improve accuracy. It’s a smart solution that frees up full-time human resources so they can focus on more value-add activities and make the most of their talent.
When invoices are received by EDI, email, scanned paper, or even via the web, they can be automatically routed to a specific person for review and approval. Then, machine-learning algorithms go to work recognizing the important data — supplier name, products or services delivered, quantity and total amounts, banking and tax information. All of this data is then indexed and stored in an easy-to-search file structure.
The next step is to match the invoice to the corresponding purchase order (PO) and then to the appropriate cost center for payment. The software can be configured to respect business approval policy rules and to remove the need for manual touch with automatic approvals based on multi-way or quick match. In addition, the software can recognize and flag any reoccurring items or vendor coding errors, such as incorrect GST/VAT rate or non-standard shipping terms. Finally, the invoice can be validated and matched with any payments that are scheduled to be made, such as rebates or discount terms.

Steps to Automate a Manual Process
Many companies still perform manual processes with complex spreadsheets, or even paper. Though these processes may be working "well enough” at the moment, they prevent businesses from being as efficient and productive as possible and slow down business growth. This puts your company at a disadvantage against the competition.
Tumblr media
Automating a process can increase efficiency, reduce costs, improve customer satisfaction, and more. But it can also feel like a daunting task to implement. Fortunately, it doesn't have to be! The key is to break the process down into small, manageable iterations. We've created this step-by-step guide to help you identify the steps in a process that can be automated, find solutions, and test them out before moving on to the next iteration.
The first step in identifying which process to automate is to understand the workflow. This requires defining the process, including the start and end point, and identifying any steps that can be repeated or that require human effort. Once the process has been defined, you can identify the tasks that can be automated.
Once you have identified the processes to automate, it's important to prioritize the most critical ones that impact employee morale and productivity. You can then start implementing solutions and testing the automation with a limited number of employees. This will help ensure that everyone involved is comfortable with the new workflow and understands the benefits of automation. Depending on the process, this could involve one-on-one walk-throughs or formal training sessions.

Power Automate Approval Workflow Examples
In this article, we will walk through some power automate approval workflow examples. Power Automate allows you to create a simple approval process to ensure that all documents are reviewed and approved before being sent to the stakeholders. For example, the project manager may want to approve all project files shared by their team members. Or, a manager might need to approve leave requests submitted by their staff. In either scenario, an approval flow can help reduce the amount of time spent waiting for responses from others.
Tumblr media
Whether you need to approve files, reassign an approval, or change the outcome of an approval, there are a few different ways to do this in Power Automate. You can use an existing template (which you can find by searching the templates list for your scenario), or you can build a custom one from scratch using Power Automate’s powerful tools.
To get started, open Power Automate and select Create new flow. Then choose an action to trigger your flow. For this example, we will select When a new item is created in SharePoint. This will start the approval flow when a new document or list item is created in a particular SharePoint list.
Once the flow has triggered, add a Start and wait for an approval action to your flow. Configure this action with the approval type, the number of approvers, and the details of the request. You can also include a custom response that lets the approvers provide their feedback. Finally, add an action to send an email to the approvers when this step is completed.
