Five Sales Performance Metrics Key to Successful Business Growth

Every metric has a story to tell. Dig in over a period of time, break apart all that goes into the metric calculation, join the dots and there you have your story. But then you also have to ACT – your success depends on what you do after you figure out the story. What do you need to do more of? What do you need to eliminate? With the budget season in progress, sales performance metrics are on my mind again. In this Accenture analysis of Sales Performance Optimization Study, sponsored with CSO Insights, sales leaders say their top priorities for the past year was increasing sales effectiveness (56 percent), followed by increasing revenues (52 percent) and improving up-selling/cross-selling (39 percent). The Operations team can play a big role in increasing sales effectiveness with their clear understanding of the various moving parts and inner workings that contribute to high sales performance. These insights can help determine which levers (metrics) can actually help improve sales efforts and align the sales organization to the business strategy.
When it comes to sales metrics, one size definitely does not fit all. The key is to select a good mix of lagging and leading indicators – a set that not only helps you to measure results but more importantly, gives you the ability to predict outcomes. Going beyond the standard booking or quota achievement vs. target, here are five other metrics that I believe go a long way in ensuring sales effectiveness:
Sales Performance Metrics #1 – Funnel or Opportunity Pipeline:
In the current quarter, there is not much you can do to increase sales radically but you can still implement steps to make the sales grow for the rest of the year if you know where to focus efforts. This metric helps determine the nature of funnel and sales expected in future quarters/months. Organize and record each opportunity the sales team is prospecting and assign them a status such as “qualified” or “suspect” or “proposal” along with an estimated value associated with each of them. Assign probability percentage to each status based on your past performance at each stage. The sales people can then prioritize their time according to the probability of a win (status) and the impact of a win (estimated value). This metric is a dynamic metric and will keep changing as new opportunities come in or old opportunities move out as delayed or lost. The value of sale multiplied by the status percentage gives estimated total sales that you can expect at any period in the future provided the opportunities and stages of each opportunity are diligently tracked and recorded.
Sales Performance Metrics #2 – Sales Mix:
Based on the sales strategy of the year, one can come up with different mixes or ratios that need to be tracked as metrics for the year. This is essentially categorizing your funnel into different fields – say by nature (new, renewals or farming), by market segment (products, services, maintenance), by demographics or geography (Americas, Europe, Rest of World), by channel (direct, indirect). The ratios are arrived at by dividing the mix value by total funnel value. This gives a view on how far your strategy is being implemented at the ground level or if there is a possibility of good returns on investment made in any particular area. The sales mix ratios help zoom in on decision areas and decision types and can change from time to time based on the granularity of information available. Again, here is where the operations team can play a big role in ensuring that data strategy, quality and integrity is maintained in all systems – and garbage in-garbage out decision making is avoided.
Sales Performance Metrics #3 – Cost of Sales to Revenue Ratio:
This is a metric that used wisely and measured as a trend over time can show the overall efficiency of the sales team by segment, market or any other growth area that is in the strategy plan. The calculation should be based on the total costs for the selling efforts of each area of business. Total Sales Costs includes salaries, commissions and expenses for sales management, sales people and sales support. Divided by the revenue in the same period from the area of business, you can arrive at the ratio. I like this metric better than sales productivity (Revenue by number of sales people) as, in a global organization, salaries vary across regions, so does the revenues based on the nature of the business area. Measured over a period of time, it can give useful insights into where sales investments in terms of people is needed to get higher revenues, how long it takes for additional sales headcount to generate revenues and other such trends.
Sales Performance Metrics #4 – Conversion Rates and Ratios:
Conversion rates are very useful in identifying sales methodology or process issues, including poor proposal preparation, inaccurate forecasting or funnel categorization efforts, insufficient research into customer buying behaviors, core strength and weakness of sales persons. Conversion rates need to be measured at various steps of the sales process – the most common one is the win ratio –what percentage of qualified opportunities get closed as won. Other useful rates could be the percentage of deals that get lost after responding to proposals, percentage of qualified opportunities that show no movement over a long period of time, percentage of opportunities that are lost without any reason for loss – to pin point where the improvement is needed in the process and is useful in the qualification and prioritization of opportunities.
Sales Performance Metrics #5 – Gross Margin % by Sales Person:
This metric is a bit controversial as it is not generally used to measure performance of the sales team nor used in sales incentive plans. The general idea is that sales team is responsible for getting in the bookings and revenue and the rest of the organization has to ensure that margins are made. I am of the view that unless we track and reward sales people based on not only the volume of the bookings but also the quality of bookings, the organization cannot achieve its margin mandate. Discounting practices, pricing, “value” selling, terms and conditions on scope, timelines, milestones all affect gross margins and sales team has the highest influence with the customer to ensure favourable terms in these areas. So why not measure not only the actual gross margins of revenue by sales person but also future margins based on the funnel details? This will help the entire organization to plan and also help the sales teams to make the “right” (read profitable) sales.
“Gut feel” is all good but you also need the right data and indicators to validate your gut feel. On the other hand, no sales leader will want to go overboard on metrics and measurements that put additional load on the bandwidth of their teams taking time away from “selling” to filling in all sorts of data requirements. So, it is important to choose the right set and number of metrics to help focus strategy and efforts based on not only past performance but also through a rationalized view into the future to enable course corrections as necessary for the success of the business before it is too late.

Making it (to) Work when you’re not Feeling 100%
While ideally the private and the professional life need to be kept distinct from each other, in reality it is a very thin, and porous line dividing the two. The line is especially blurred and porous when your mental health is suffering, and you are not at a great place in your life. You could be dealing with the insurmountable loss of a parent, an extremely bad break up, a lack of stability in your personal life, coping with being friendless in a new city, or sometimes even feeling anxious and depressed for no reason at all. On days like these, when you are going through hell, how do you get yourself to work? How do you clock it from 9 to 5, without letting the battle you are fighting within, take over?
Half the job is done when you decide to show up
Yes, at times, it is enough to just be able to summon the will power to show up. Set backs can be extremely difficult to deal with. Respect the fact that you are after all a human being who is not immune to hurt and heart break. Your will to perform and be productive at work is not independent of your mental health status. More than anything else, your mental health status is not a switch which can be turned on at 9 am and turned off at 5 pm. On days like these, getting out of bed, getting dressed, having breakfast and just making it to your desk on time is enough. It is progress, and it is something you should be proud of being able to do. Because on days like these, just showing up can be the most difficult thing to do. Just show up – that’s all you need to do until you’re feeling better.
Do the mundane, and the everyday – a routine can work wonders
When you are depressed and still getting over what has happened, you might find yourself craving anything but the ordinary, the mundane. Doing the everyday things scare us the most. Because given our frame of mind at that point, it is easier to distract ourselves, than to focus on doing things that need to be done. It is easier to stress eat, than to follow an established exercise routine. When you feel like you are being swept away by feelings of commotion within you, don’t run to distractions, let it pass and turn to the regular chore that demands your focus. Remember that it is only when you start doing the everyday things, when you start following a routine and discipline yourself will you truly be able to come back.
So show up at work, and do what you would have done on an ordinary day. Even if it is boring. Even if it feels like the most difficult thing to do in the world is to sit at your desk and draft an email to your client. Do it, and give yourself a pat for having achieved what you thought was the most difficult thing ever. And then keep doing enough of these tasks till you start feeling like you’ve got this.
Accept help – it is okay to not be okay
When someone has a broken leg in a cast at work, there are so many people who notice that he might need some extra help. Unfortunately, not many people are good at reading the subtle, and not-so-subtle signs of when someone is suffering from bad mental health. Wish there was some kind of cast for that, but there isn’t-yet. It is important to accept the help that is offered to you when you are dealing with mental health issues. It is important not just because it will help you, but also because it is an exercise in sensitizing other people around you who need to be more sensitive in identifying people who are not feeling a 100%, and offering to help. It is equally important for people who are not feeling okay, to know that they can reach out for help, and accept the help that is offered.
Be gentle with yourself, accept everything you’re feeling

Some days you will succeed in showing up, some days you won’t. And that’s okay. Some days you’ll feel inspired to be disciplined and follow a routine, some days you just want to eat cake all day. And that’s okay. Some days you’ll reach out for help and accept it when it’s given to you, on other days, you just want to be left alone. That’s okay too! Remember that more than anything else, you need to be gentle and patient with yourself. The road to emotional recovery is not linear. You might stick to a routine for a week, and then find yourself in a slump for the next five days. Don’t feel disheartened. Don’t feel like you’re back to square one. Because emotional healing is not linear, it is a constant journey. A journey inward where you discover something new about yourself every day.
If today is feeling especially rough, take courage and know that it will get better. Know that it’s always the darkest before the dawn. And know that above all, you are not alone.

7 Things “NOT” to have on your otherwise Perfect Resume

The resume is a faithful journal of your career trajectory – a record of all your successes and learnings at every stage of your working journey. A reminder of where you started, how far you have come and where you still need to go. So whether you need to apply for a job right now or not, it is always a good time to perfect your resume. While we’ve written extensively on how to craft the perfect resume, we wanted to emphasize through this post on what to leave out of a resume to make it truly perfect. Here are seven things to leave out from your resume:
1. An unprofessional Email Address
If your email ID is still the one you had in high school, i.e., hellboy_irock@ya***.com, it is time to get another one. Make sure the email ID you share on your resume is a professional one. What is meant by a professional email ID? One that ideally has only your name and your last name in it, and in case that’s taken, a simple combination of your name and maybe a number, or special character or two.
2. Your Achievements in High School
Won third prize in an elocution competition? Aced spelling bee? Well, let’s put those achievements behind us and make space for newer achievements to show the world. Unless it is something of great significance and necessary, refrain from having your high school achievements on your resume.
3. Fancy fonts and colors, or anything fancy –
are an absolute “no”. Use a simple font, uniform font sizes and keep it unicolor. Unless you belong to an artsy profession and how you design your resume matters, keep your resume as simple and legible as possible. Even if you are a graphic designer, or a fashion designer, we’d say share links of your work on your resume, but maybe refrain from making your perfect resume a work of art itself.
4. Skills you are expected to have
Don’t add skills just for the sake of adding them and fluffing up your resume. Remember, at times, less is more.
5. Postal Address
Having your postal address on your resume is an unnecessary use of space. We have seen resumes which list their permanent address and current address as well. Your contact information should ideally just include your phone number and your professional email ID.
6. Hobbies
“My hobbies are cooking, reading and gardening” – this is something your resume would probably look better without. We’ve traditionally been taught to include it in our resumes, but there is actually no need for it. Your interview is when you get to speak about yourself and weave all this in. Unless there is something really specific about yourself which is also relevant to the job, refrain from having this section. Even if you do end up sharing what is akin to hobbies, put it under a section called “other Interests” or something of the like and not “Hobbies”.
7. Incorrect or false information
The first and foremost prerogative of writing a resume is ensuring the information you provide about yourself isn’t false or misleading. Regardless of whether or not a background check will be done, in the interest of professional integrity be completely honest in the information you furnish through your resume.

Writing Effective Emails – Why Your Subject Line and Signature Matters

Usually while drafting an email, we pay little attention to the subject line and the signature at the end of the email. Some of us even go so far as to leave these fields completely blank, simply writing the text of the email without any subject or signature. Very often, the subject line helps the recipient decide whether or not (s)he should even open the email. The signature reflects courtesy and also, a formal end to the email. Here are our thoughts on the importance of subject lines and signatures – especially when it comes to drafting a Effective Professional Emails.
Firstly,
it has to give enough information that the reader understands what the e-mail is about. For example, a subject that goes “Action required” is ambiguous and unlikely to ring any bells with the reader. A better subject line would be “Assignment Deadline: Action required”, which makes it clear to the reader that the mail is regarding the assignment deadline and he needs to do something about it.
it has to be interesting enough that the user wants to read the rest of the letter. For example, a subject line “Quick question” is unlikely to arouse any interest in the reader and he might dismiss it as irrelevant if he is busy. You probably could have pinged him regarding the “quick question”, right? Instead, “Quick question about Friday’s seminar” gives the reader just enough information on what the question is about and he may go on to read the rest of it. It is important to keep in mind that the subject has to be concise and informative – being too lengthy can annoy the reader, for example, “Quick question on the 3rd day of the first seminar in this quarter on sales held on Friday”. Leave unnecessary details out of the subject line – include them in the text of the e-mail.
The subject line also serves to set the context of the mail. It should make the tone of the mail clear – whether it is a complaint, a query, a request, a congratulatory letter, or something that needs urgent attention. That prepares the reader for the content and he/she can spend more time on the details rather than finding out what the letter is for.
An equally important part of your email is how you end it, i.e. the signature. When writing a formal email, it is important to sign off appropriately. ‘Regards’ or ‘Thanks’ or ‘Best’ are the safest phrases to sign off with. Although smileys like 🙂 are accepted in informal mails, it is best to avoid using these in your business/professional emails. Likewise, avoid phrases that sound forced – ‘Thanks so much!’ might only be apt if it is a request mail.
At the end comes your contact information. When writing Effective Professional Emails, you should write your full name. Avoid signing off with only your first name or a nick name. Provide brief contact details, like your phone number and fax. If the reader does not know you, you should include your designation and the name of the organization. However, refrain from putting in unnecessary detail about yourself. Moreover, avoid putting inspiring quotes or large disclaimer messages or images that might take time to load over slow connections (which also, at times, come across as pretentious or pompous).
The subject and the sign off should be in sync with the tone of your email, so that you communicate yourself effectively.
