Office Ninjas
I don’t know if I ever disclosed my occupation in a blog, so here it is: I am an elementary and middle school secretary. I also have several friends who are secretaries; some are school-based and others work in corporate settings. This post is an attempt to give you a glimpse of my work days. Although it is not based on any particular day, student, or situation, I can guarantee that most secretaries have experienced at least one of these things. It is a culmination of things that could happen in a typical day, more of a “Murphy’s law” kind of day. (Disclaimer: no actual students or staff members were mentioned). In honor of Administrative Assistants Day, aka Secretary’s Day (April 24, 2019).
My work day starts at 7:30 am. Normally, I try to arrive at least 5 minutes early, to check the messages and get my desk cleared before students start to arrive. Unfortunately, this morning, I arrived at exactly 7:29 because I had to stop to put air in my tire (because I do have a life outside of my job). I walked in the office and saw there were already 3 parents waiting. Of the 3, 2 looked very angry and immediately asked to see the Principal. I replied, “Ok, give me just a minute”. I hadn’t even taken off my coat or sat my purse down. Once I got myself situated, and got the principal for the angry parents, I asked the third parent what she needs. She needed to get a message to the teacher about who is allowed to pick her child up.
I had at least 4 students ask to call their parents before I realized that today was a field trip day. That meant the next hour would be filled with parents buzzing in, parents trying to sneak to their child’s class in the middle of instruction, children crying because they can’t go, children upset because they lost their money, teachers and staff constantly calling the desk to ask questions. In the midst of all that, I still had to get my attendance in the system and get the lunch count to the cafeteria by 9:00. Once that was done, and the field trip groups had boarded their busses, I finally had a minute to check the voicemail (that meant putting in more attendance). After that, I had a chance to work on my files and get the daily mail done (outgoing and incoming).
I finished at exactly 10:10, which means my robo-calls were about to start coming in. (Point of clarity: this is the time where the automated system calls parents to say their children are marked absent and they need to call the office). At exactly 10:16, Mrs. Harris called, demanding to know why her child is marked absent even though she is sure she dropped him off. I called down to Mr. Smith’s room and discovered that Johnny was in the bathroom during attendance, but he was indeed present. I attempted to explain that to Mrs. Johnson and apologized; she told me she was going to report me to the Board of Education and hung up on me.
The rest of the robo-calls were pretty normal and I finished just in time for the lunch rush. This is usually the time where kids get sick, fights and arguments break out, and my office gets busier. And that’s exactly what happened: Susie threw up. Tiffany and Ashley got into an argument about hair bows. Donald and Anthony got into a fist fight over a toy. Sally and Maurice fell in the mud and needed a change of clothes. Tom and Emma both had crying fits: 1 because of a crayon and the other because of a snack.
As soon as all of those situations were handled, one of the classroom aides asked me for help. The copier was jammed. Again. In 6 different places. We spent the next 20 minutes fishing out tiny pieces of paper from the nooks and crannies of Thor (yes, our copier has a name LOL). The end of the day was exactly what you would expect: parents coming in early to avoid the pick up line, children yelling and playing in the hallways, parents picking up children late for whatever reason.
So there it is: a quick glimpse of the things I face every single day. I’ll say this: my job isn’t for the faint at heart. We work HARD and we always do it with a smile. So cheers to those on the front line, those who are known as the “Office Ninja”, the brains behind the operation. Happy Admin Professionals Day!
