Task batching is the process of grouping all similar tasks to work on them cohesively until they're completed. Most of you are wiped out at the end of your workdays, and still only accomplished little on your to-do lists. With multiple distractions like emails and social media, your focus can be interrupted and you find yourself juggling between multiple tasks.
Here's where this tip can help. It will allow you to concentrate better and eliminate time spent swapping viewpoints. For an M.O. geared towards process and completion this works extremely well, because it allows you to stay focused on one group of tasks and check them off your list as you go along. For M.O.’s that are not used to batching it may take some getting used to as your initial instinct is to do things in random sequence but as you learn to group these similar tasks together, then complete them in whatever order you like it will help you be more productive throughout the day and by focusing on one category of task at a time, so you are not taxing your brain by constantly switching your thought processes.
One of the great benefits to task batching is the opportunity to plan out your daily activities to minimize stress and maximize your productivity. The two key criteria to consider are: 1. How will you organize your tasks to enhance productivity and 2. What times of the day is your focus the highest and when is it the least?
Choose high value tasks for when your energy and concentration are high in the day and lower value tasks for when you can do menial tasks. For someone who is a quickstart, batching meetings together in your day where you get to brainstorm and speak will keep you energized whereas some action modes that lean more to research and processes will find that batching meetings together completely exhausting.
So here is how to task batch.
1. List your goals and the tasks to be completed for the week.
2. Prioritize and assign them daily.
3. Break down large assignments into multiple steps.
4. Group all the similar tasks together. This not only makes it easier for you to tackle the project but also allows you to re-evaluate the quality of the project in every step. You can also group tasks on the basis of the effort and time you need to invest in them. This is a very Quickstart/Follow Thru thing to do but you can use a color code system to label in order of priority what these tasks are. For instance, you can use blue for lower-effort projects and red for higher-effort projects or in order of importance.
5. Finally, organize these tasks on your calendar. This not only makes it easier for you to schedule and manage your time but also trains your brain to switch accordingly.
