We hope you're all having fun with your Summer Fest assignments! We already have 18 finished gifts and treats in the collection, with more drafts on the way! π
This is just a reminder that assignments are due on Sunday, August 3, at 5:59pm CEST | 11:59am EDT | 8:59am PDT | 11:59pm Chinese Standard Time (deadline countdown).
If you haven't submitted your assignment yet, please take a moment now to make sure you're on the right track.
If you won't be able to finish your gift before the deadline on August 3, let us know by defaulting ASAP so we can arrange for someone else to create a gift for your recipient.
Defaulting: Important info and step-by-step guide π
If you expect that you will be unable to finish your assignment before the deadline, please use the default button on AO3 to let us know ASAP.
You do not need to tell us why you are defaulting. We understand that real life sometimes gets in the way of even the best intentions.
Simply go to your AO3 profile page, click on 'Assignments' in the lefthand side bar, and hit the 'Default' button under your assignment.
I don't know if I should default?
This is a fun, low-stakes gift exchange; you only have to submit 500 words/one finished sketch. We know it's tempting to be ambitious, but if you have bitten off more than you can chew, it's perfectly fine to set aside your magnum opus and create a smaller gift first to fulfill the assignment requirements, then post your big ambitious project later as an additional (stress-free) treat.
However, if you're dealing with a real-life crisis, medical emergency, or other unforseen circumstances and the exchange deadline is making an already stressful situation worse, let us know ASAP so we can help. β€
What happens to my recipient if I default?
If you default, we will upload your assignment to this tumblr account and ask a volunteer pinch hitter to create a gift for your recipient instead. The exchange collection will not be revealed until all qualifying participants have received a gift.
What happens to me if I default?
If you default on your assignment before the deadline and your assigned creator defaults as well, we will not delay the exchange collection reveal for you, but we will post your assignment on tumblr for the pinch hitters.
If you no-show at the deadline, we will not post your assignment as a pinch hit if your creator defaults as well.
There will be no other penalties for defaulting (but the exchange mod team will be sad π’ and the gift reveal may be delayed for everyone, so please be considerate).

No, you don't have to wait. You are welcome to post treats at any time. π
The collection is open for both assignments and treats, and it will remain open after the exchange.
So you can post a treat now (for your recipient to receive when the collection goes live) or in five years. It's up to you. π

How to: Treats
Is there a great request you're inspired by? Do you want to surprise someone with an extra gift? You can make a treat!
Treats are a little different from exchange assignments:
You do not need to be signed up for the exchange to give someone a treat. Anyone is welcome to create treats for requests in the exchange.
You are welcome to create treats for any participant(s), as many as you like. You do not need to contact the exchange mods or ask for permission. Just submit your treats to the collection (see the guide below).
Treats do not have to meet the minimum requirements for assignments, i.e., they can be shorter than 500 words or art sketches. Treats DO have to follow the recipient's stated Do Not Wants (DNWs).
There is no deadline for submitting treats; the collection will remain open for late treats after gift reveals.
The Automagic AO3 App is a great way to find requests. Simply search for a character or relationship (grouped by relationship) and you'll get all requests with that character/relationship.
Submitting treats: Step-by-step guide π
First, find a prompt or participant you would like to create a treat for. You can see everyone's requests in the Requests Summary or the Automagic AO3 App.
Once you have created a treat, go to the exchange's profile page and click on 'Post to Collection':
You will be sent to a Post New Work page that is already set up with the WH40K Summer Fest collection.
Things on this page should be pretty self-explanatory. See also the AO3 tutorial for posting a work.
Exchange-specific requirements:
You must rate your work with one of the following Archive Ratings: 1) General Audiences; 2) Teen And Up Audiences; 3) Mature; 4) Explicit. Works listed as 'Not Rated' will not be approved by the exchange mods.
You must tag your work with the relevant Archive Warnings: 1) Graphic Depictions of Violence; 2) Major Character Death; 3) Rape/Non-Con; 4) Underage, 5) No Archive Warnings Apply; 6) Choose Not To Use Archive Warnings. Important! Note the difference between the two non-specific Archive Warnings: π 'No Archive Warnings Apply' means the work does not contain graphic depictions of violence, major character death, rape/non-con, or underage sex. However, it may still contain other potentially squicky/triggering content, which should be listed under Additional Tags. π 'Choose Not To Use Archive Warnings' (abbr.: CNTW) means the work may and probably does contain at least one Archive Warning, but the author won't disclose which one(s) to avoid spoilers. Only read/view CNTW works if you are comfortable being surprised by the content they may contain.
You must list your recipient's requested relationship(s) and/or requested character(s) that your treat focuses on. Minor/background relationships and characters, if any, go in the Additional Tags.
Your Additional Tags should list everything else someone needs to know before opening your work, including kinks, potential squicks and triggers not covered by the Archive Warnings. You can also list e.g., minor relationships ('Background Konor Guilliman/Tarasha Euten'), extra information about characters ('FtM Sigismund') or content ('Canon-Typical Violence'), genre ('Fluff', 'Angst', 'Omegaverse'), tropes ('Coming Out', 'Our Vampires Are Different'), etc. Additional tags help people avoid content they are uncomfortable engaging with and find content they really, really want to engage with, so try to include tags that broadly cover the content and theme(s) of your work.
Under 'Associations', the exchange collection should already be auto-filled.
Type in the name of your treat recipient in the box for 'Gift this work to'.
If you have any open assignments in the box for 'Does this fulfill a challenge assignment' (only visible if you do have open assignments), make sure none of them are ticked.
When you click the 'Post' button at the bottom of the page, your work is submitted to the exchange collection and awaits moderator approval.
π± "Help! I posted my treat, but it disappeared!"
As long as the collection is anonymous, you can't see your own work(s) under the 'Works' tab in your dashboard sidebar menu like usual.
Once your treat has been added to the exchange collection by the mods, you can find it by going into 'Works' in your dashboard sidebar menu and clicking 'Works in Collections' in the upper right corner.

Submitting your assignment: Important info and step-by-step guide π
A quick recap of the rules:
You have signed up to create a gift for your assigned recipient. The gift must be either a complete fanfiction of at least 500 words or a finished piece of fanart that is at minimum clean line art on unlined paper.
You only need to create ONE gift with ONE character/relationship that your recipient has requested, even if you matched on several. You can choose any character/relationship from any of your recipient's requests, even if you didn't offer it.
The gift you make must focus on one of your recipient's requested characters/relationships and be created in the requested medium (fanfiction or fanart) for that character/relationship. Please read your assignment carefully; media may vary between different requests.
The gift you make must NOT include any content your recipient has listed as Do Not Want (DNW) for that character/relationship. Please read your assignment carefully; DNWs may vary between different requests. We know it's always possible to rules-lawyer a loophole in your recipient's DNWs, but remember that your goal is to create a gift your recipient will enjoy. If your recipient's DNWs don't match up exactly with your preferences, consider this an opportunity to stretch your creative muscles. π
Apart from DNWs, optional details are suggestions, not requirements β but do consider them a guide to help create an awesome gift your recipient will love!
If you have questions for your recipient when you start working, please e-mail your questions to [email protected] for us to pass on! This way we can preserve your anonymity and keep your recipient guessing throughout the anon period for extra fun!
How to submit your assignment
Once you have created your gift for your recipient, you need to upload it to the exchange collection.
On the exchange collection page, click 'My assignment' in the left sidebar menu. This will take you to a page listing your recipient's requests. In the top right corner, you will see two buttons:
Clicking on 'Default' means you will drop your assignment. If you feel you are unable to complete your assignment before the deadline on August 3, please default as soon as possible! This will give the mod team more time to find someone else to gift a work to your recipient. A dropped assignment is called a 'pinch hit' and will be posted to tumblr for volunteers to pick up. All participants in the exchange who have created a gift for their recipient will also receive a gift from another participant; if a pinch hit is not fulfilled before the deadline, the gift reveal will be delayed until a gift has been created.
Clicking on 'Fulfill' will lead you to a Post New Work page that is already set up with your recipientβs username and the WH40K Summer Fest collection.

Make sure the exchange/recipient is tagged/added under both 'Open Assignments' and 'Post to Collections/Challenges'. These should be auto-filled; if not, add them manually.
Leave 'Gift this work to' empty (this is for posting treats, which will be explained at a later date).
When you click the 'Post' button at the bottom of the page, your work is submitted to the exchange collection and awaits moderator approval.
π€ I submitted my assignment, now what?
Once your work has been approved by the mod team and added to the exchange collection, its status on the 'Assignment' page on your personal dashboard will change to 'Complete!'
You can then have a drink and relax by the pool until the gifts are revealed β or have a look at the other requests if you feel inspired to give someone an extra treat!
π± "Help! I posted my gift, but it disappeared!"
As long as the collection is anonymous, you can't see your own work(s) under the 'Works' tab in your dashboard sidebar menu like usual.
You can find your assignment by clicking on 'Assignments' in your dashboard sidebar menu and locate it there.
You can find your treats for others by going into 'Works' in your dashboard sidebar menu and clicking 'Works in Collections' in the upper right corner.

What happens if I can't be matched?
π If your requests don't match another participant's offers, they will be posted to tumblr as an Initial Pinch Hit (IPH) for volunteers to pick up as an assignment. You are still guaranteed a gift (as long as you fulfill your own assignment).
π If your offers don't match another participant's requests, you will be e-mailed by the mod team and asked to submit additional offers within 12 hours. If you do not respond to this e-mail, your sign-up will be deleted.
Assignments will be sent out as soon as matching is complete β and no later than June 16.

Please make sure your page is publicly available; some tumblr links can only be accessed by tumblr users and not all participants are on tumblr.
You MUST include a Do Not Want (DNW) list of anything you don't want in a gift, such as squicks and triggers. The mods will check your gift to make sure it doesn't contain any of your DNWs, but we only check for those listed in this text box. Your listed DNWs should, as a minimum, state whether you wish to avoid any of the four specific AO3 Archive Warnings: 1) Graphic depictions of violence, 2) Major Character Death, 3) Rape/Non-con, 4) Underage Sex. If you would be uncomfortable receiving Mature or Explicit gifts, please also mention this in your DNWs. You can have different DNWs for different requests.
In addition to your DNWs, you can use the text box for suggestions, optional prompts, and preferences. But having a general idea of whether you like fluff/action/comedy/smut, the Great Crusade/Horus Heresy/M40/M42-era, your favourite tropes, art styles, etc. is very helpful to your creator.

Your offered characters/relationships do not have to be the same as your requests.

How to sign up
Click on 'Sign Up'/'Sign-up Form' on the exchange's profile page (or click here) to fill out your requests and offers.
You must submit at least 3 requests for characters and/or relationships that you would like to receive fanfiction and/or fanart for.
Fill out Request 1, 2 and 3 with 1-20 characters or relationships from the exchange tag set. You can add extra request boxes, up to 10.
Choose whether you'd like to receive only fanfiction, only fanart, or both. You can choose different media for each request.
Linking to a 'dear creator' letter on an external website, i.e., a tumblr blog post, Google Doc, Dreamwidth page, etc. with further details about your preferences, is optional. Note: The person assigned to you is not obligated to read your letter, but may find it helpful for inspiration. Please make sure your page is publicly available; some tumblr links can only be accessed by tumblr users and not all participants are on tumblr.
You MUST include a Do Not Want (DNW) list of anything you don't want in a gift, such as squicks and triggers. The mods will check your gift to make sure it doesn't contain any of your DNWs, but we only check for those listed in this text box. Your listed DNWs should, as a minimum, state whether you wish to avoid any of the four specific AO3 Archive Warnings: 1) Graphic depictions of violence, 2) Major Character Death, 3) Rape/Non-con, 4) Underage Sex. If you would be uncomfortable receiving Mature or Explicit gifts, please also mention this in your DNWs. You can have different DNWs for different requests.
In addition to your DNWs, you can use the text box for suggestions, optional prompts, and preferences. Note: Non-DNW details are optional, so your creator is not required to stick to your suggestions. But having a general idea of whether you like fluff/action/comedy/smut, the Great Crusade/Horus Heresy/M40/M42-era, your favourite tropes, art styles, etc. is very helpful to your creator.

A note on exchange etiquette
We're now at 29 sign-ups, which means weβve officially topped our 2022 and 2023 numbers. Awesome job, team β maybe we'll even beat last year's record! π
But while I've got you, we'll need to put on our big boy power armour for a moment and talk about exchange etiquette.
When writing your DNWs and optional details for the sign-up, please remember that assignments will be randomly matched on characters/pairings. Your requests might be sent to a complete stranger who doesn't share your preferences and headcanons.
Since we want everyone to have a good time participating in the Summer Fest exchange, this means:
You cannot DNW the canon
You cannot DNW sfw content
DNWs are intended for things like squicks and triggers that would ruin a gift for you.
Headcanons and nsfw are opt-in for both creators and recipients.
You can encourage your creator to write/draw AUs/headcanons/nsfw ("it'd be fun to see a college AU for these two"; "I'm open to explorations of this character as trans/ace/on the autistic spectrum/struggling with body image"; "if you'd like to write something spicy, these are my fave kinks"), but you must give your creator the option to be canon-compliant and sfw to ensure their comfort.
The mod team will keep an eye out for unenforcable DNWs (and also DNWs that cross the line of kinkshaming).
If your DNWs are unenforcable, we will e-mail you 24 hours before sign-up closes and ask you to edit your request(s). Requests that contain unenforcable DNWs at the sign-up deadline will be deleted without further notice.

The nice thing about treats is that you decide which request(s) you'd like to treat for.
Pick the characters you know and the prompts that look interesting to you. You only need to include one character or pairing in your work.
You don't need to ask for permission or be assigned a recipient either. You can just go ahead and post your treat to the collection when it opens. π
Hey, sorry if you have already answered this before but I've participated in similar events in other fandoms in the past and sometimes there was the option for people to do, in addition to the gift for their assigned person, "treats" which were essentially them filling out other requests they liked from the general request list as extra gifts. I was wondering if you have something similar here?

For those unfamiliar with treats, they are extra gifts created for the exchange by participants or by people who haven't signed up to participate but would still like to create something without the pressure of a deadline.
Anyone with an AO3 account can post a treat to the exchange collection.
You can see everyone's requests in the Requests Summary and you are welcome to create treats for any other participant(s), as many as you like.
Treats must be about a requested character/pairing and respect the recipient's Do Not Want list, but they don't have to follow the other rules for assignments (i.e., be at least 500 words or clean finished lineart). Treats can be as short or as long, as sketchy or detailed as you like.
How to post a treat?
We will share a more detailed guide to treats after assignments have been sent out and the collection opens.
The short version: While signed in on AO3, go to the Summer Fest Exchange profile page and click the 'Post to Collection' button (appears when the collection is open). Fill out the form and add the recipient's AO3 username in the 'Gift this work to' field.

Maybe you'll see something that inspires you to offer characters or relationships you didn't consider before β or maybe someone requests something for one of your offers that you would rather not create, in which case it's perfectly fine to edit your offers so you won't risk matching on that particular character/relationship.

The AO3 username of the participant you do not want to be matched with
Whether your Do Not Match request is for creating, receiving, or both
What you would like us to do if that participant offers to pick up your pinch hit
What you would like us to do if that participant creates a treat for you.
