Portable Outlook Mac Backups with Mail Backup X: Built to Move
Data that lives in one machine, tied to one setup, often becomes fragile. You may not notice this until something shifts, such as acquiring a new device, changing your workspace, traveling, or needing a repair. Outlook for Mac does its job well inside its own environment, but its data doesn’t travel easily. Mail Backup X shifts the balance by creating portable Outlook Mac backups independent of the client or the system.

You can take your archives with you, store them on multiple platforms, and open them independently of Outlook. This creates a working model where your information remains accessible wherever you are.
Setting Up an Outlook Mac Backup That Moves with You
So, first, let’s see how exactly you can do that with the help of “Mail Backup X.”
Begin by opening Mail Backup X and clicking on “My Backup Profiles.” Select “Add New Backup” to begin.
Choose Outlook Mac and then the tool will locate and link to the local database without needing a manual path.
Pick the folders you want to back up.
Give the backup profile a name that reflects its purpose or contents.
Select a storage location. This might be your Mac’s internal drive, an external USB drive, or a connected cloud account. All options create the same .mbs format.
Since portability is the goal, use cloud or external drives as your primary or mirror location. You can add one or more mirrors by clicking the “Add Mirror” button and selecting additional destinations.
Set the schedule. Automatic backups can detect new emails and act as needed. Recurring backups can run at fixed times, every hour, daily, weekly, based on your preference.
If you plug in a USB drive and register it, the tool can automatically copy your Outlook Mac backups to that drive each time it connects.
Click save. The first backup starts immediately. You can continue using Outlook Mac while it runs in the background.
Accessing Your Portable Outlook Mac backups

Quarterback Micah Bowens, Charlotte: Bowens did not see game action for one season at Penn State in 2020. He also did not take the field for two years in Oklahoma. He will again be a backup or third option with the 49ers.
RB Devyn Ford, Notre Dame: Ford left Penn State midway through the 2022 season. It took until May 2023 for him to finish with the Fighting Irish. Still, despite missing spring practice, the returning veteran from Virginia has impressed media viewers in South Bend this summer. Jack Soble from ICM’s sister site Blue and gold calls Ford one of Notre Dame’s top five offensive camps.

RB Caziah Holmes, State of Florida: Holmes’ speed has never been in question. But he wasn’t going to break the depth chart at Penn State. So, he left before the 2022 season and returned to the Sunshine State. After sitting out in 2022, Holmes has a chance to contribute to the Seminoles in 2023. and maybe even more than originally expected.
RB Noah Cain, LSU: Cain left Penn State after the 2021 season. In 2022, he rushed 76 times for 409 yards and 10 touchdowns as a Tiger. LSU’s backfield is deep in 2023, but Cain will once again play a big role. Currently not projected as a starter, however.
WR Jaden Dottin, Toledo: Dottin was unable to break the Nittany Lions’ receiving rotation during three seasons at Penn State. So, he went on to the MAC and the Rockets. It’s not immediately his position on the team’s Week 1 depth chart.
WR Daniel George, Akron: George, now a redshirt senior, left PSU after the 2021 season to partner with former Lions offensive coordinator and current Zips head coach Joe Moorhead in Akron. He started all 12 games last year, finishing with 67 receptions for 793 yards and two touchdowns.
WR TJ Jones, UAB: Jones never played at Penn State. He transferred to UAB for the 2021 season. During two years there, he caught 37 passes for 281 yards and a touchdown. He will substitute as a graduate student this fall.
OL Jimmy Christ, Virginia: After three seasons at State College, Christ returned to his home state to join the Cavaliers. He is not expected to start for the ACC team in 2023, and his role is unclear prior to the first depth chart release.
Where Nittany Lion transfers will play this fall: Defense
FROM Rodney McGraw, Louisville: McGraw, an Illinois native, spent a couple of unproductive seasons at Penn State before becoming the first former Penn State player to join the Cardinals in December. A media depth table projection he doesn’t have it as part of the deep two.
DE Ken Talley, Michigan State: A Philadelphia native, Talley transferred from PSU to MSU last September and sat out for the 2022 season. He is now fighting for rotating replays with the Spartans.
D.T. Fatorma Mulbah, West Virginia: Mulbah, a native of central Pennsylvania, came to Penn State with all the might in the world. But his power didn’t translate to consistent reps. So, he moved on to the Mountaineers and will travel with them to State College for Saturday’s matchup against the Nittany Lions. He is expected to be part of the defensive tackle rotation but will not start.
D.T. Cole Brevard, Purdue: Brevard, an Indiana native, begins his second season with the Boilermakers. A year ago, he was credited with 10 tackles and played in all 14 games. This autumnHe is expected to be a frequently used backup at nose tackle..
DL Joseph Appiah Darkwa, Temple: Darkwa joined the Owls prior to the 2022 season after a short stint at State College. He had one entry in one game. The role of him in 2023 is unclear.
DT Judge Culpepper, Toledo: Culpepper, who is in his final college season, has carved out a good career for himself with the Rockets. After playing 22 games at Penn State from 2018-20, the defensive tackle moved to the MAC. He started all 13 games in 2021 and made 43 tackles with three sacks. A year ago, he had 44 stops. He is a first-team preseason All-MAC pick by CFN and Athlon Sports and a second-team pick by Phil Steele.
LB Jamari Buddin, State of New Mexico: Few expected Buddin’s time at Penn State to end with a trade during his recruiting days. Even fewer thought that his next stop would be the state of New Mexico. However, that’s where Buddin will suit up in 2023 with some of his old high school classmates. The Aggies opened the season against UMass this past Saturday. Buddin did not play.
L.B. Lance Dixon, West Virginia: Dixon is in a fight for the Mountaineers’ first-team linebacker/safety hybrid role. He spent the 2019 and 2020 seasons at Penn State before moving to West Virginia. There, he has started nine of his 19 career games over two seasons. He made 22 tackles in 2022.
C.B. Storm Duck, Louisville: Duck spent just a few months at Penn State after transferring from North Carolina. He left after spring practice and went to the Cardinals. There’s no indication he’s ineligible to play this year, even if the NCAA has denied immediate eligibility waivers to two other transfer players across the sport.
CB Jeffrey Davis Jr., Stony Brook: Davis Jr., left Penn State at the end of the 2022 season. It is unclear what role he will play in the CAA program in 2023.
C. B. Marquis Wilson, Purdue: Wilson played cornerback and receiver at Penn State. He left after the 2022 season after failing to land a starting job at either position. Now with the Boilermakers, his goal is to crack the Big Ten cornerback rotation in 2023.
S Tyler Rudolph, University of Massachusetts: Rudolph left Penn State after the 2021 season and is now entering his sophomore year with the Minutemen. I looked at my menu items on my Mac and thought I’d write a post explaining what tools I use daily. Here they are, from right to left:
Focus:
“Focus” was introduced in macOS Monterey back in 2021. It basically restricts certain apps from sending notifications during certain times. These work across devices: if I have my work Focus on my Mac, it will also work on my iPhone. For me, apps like WhatsApp are silenced when I work, while Microsoft Outlook and Teams are silenced on my iPhone when I’m with friends. Focuses has more features, especially now that Apple Intelligence has been introduced.
Time Machine:
Time Machine is a built-in backup solution for MacOS, and if you have a Mac, you should use it. I have mine set up on my Synology for encrypted backups, but you can also store those on an external drive, which you can buy on Amazon or Best Buy, etc. On a practical level, it helped me many times when I deleted an important document or a photo and realized my mistake even months later: I just go back in time, find it, and restore it back to the present. Simple and effective.
Mullvad VPN:
A paid VPN service is a good start for some online privacy. I like Mullvad because it works on Linux and Windows, comes in with many options to tweak if you’re more into that (like split tunneling, for example, or command prompt options), and also allows you to pay in several semi-anonymous ways. Lately, I noticed more sites block me when I use it, which usually means the service’s VPN servers are becoming too popular, and I might need to look for someone else soon, which is unfortunate.
Shifty
As the app’s website says, “A macOS menu bar app that gives you more control over Night Shift.” Night Shift is MacOS’s built-in solution to filter blue light and turn on the black theme during nighttime. I use Shifty to keep my warm colors past sunrise if I need to during the winter or turn it off automatically if I edit Photos in Lightroom or watch a movie.
PopClip
I had a loving relationship with PopClip in the past, and I was happy when Lou reintroduced me to it. It’s a multi-tool menu of your most needed functions that pops up (hence the name) whenever you double-click or highlight a line of text. You know how when you copy-paste something into an email, your font changes along with the colors of your letters and their size, and it drives you bananas? Not with this guy. Double-click (or double-tap), and a menu will appear, and you have the option to paste without formatting. I also use it to quickly look up words in the dictionary or past something into Grammarly (coming up) if needed.
Snaggit
Snaggit is probably Techsmith’s most popular app. It’s a professional screen-capturing tool I needed for my job, but I see myself still paying for personal use. While macOS’s built-in screen capture tool is good, Snaggit allows me more complex edits that you often see on my blog, including the option to capture quick videos.
Velja
Velja allows you to automatically open certain URLs on different browsers installed on your Mac. It comes with the ability to use complex options, but I mostly use it for one thing: open links from Microsoft Teams and Outlook in Microsoft Edge since that’s the browser I use for work-related functions. Otherwise, if I click on a link a co-worker sends me in Teams, it will open in Safari, where I’m not signed into my various work-related platforms.
OneDrive
I get 1TB of storage on OneDrive from work, and I use it to sync and share my Microsoft Office documents so they are available for me and my co-workers on whatever other workstation I use at work. For personal stuff, I use Syncthing, which doesn’t have a menu icon to show here and covered enough in the past.
Outlook
The Outlook icon doesn’t offer anything I need, so I just removed it as I was writing this post.
Grammarly
I’ve used Grammarly for free for years, and now I get the paid version through my employer. To be honest, I don’t like the heavy AI marketing, and some of their functions can get in the way of writing. With Apple Intelligence, I might no longer need it as much. For now, I use it for everything. For example, the post you read now will be proofread by this tool when I paste it into Micro.blog’s text box. They used to have an API that kind-of-sorta worked with Emacs, which I use for everything I write, but they killed that.

Defense on being different - Firefox
I decided that I'd start my own post rather than hijacking the other, since I don't think that person actually WANTS to be talked into firefox*.
But I wanted to recommend that people get firefox as a backup browser even if they don't plan to use it (though I do encourage it's use!)
This is because of my experience as the escalation for "hey we've got another weird one" IT problems; and how Firefox just works differently from other browsers.
Once upon a time, a client saw me installing firefox as part of their standard organisation set up they queried "why would you bother".
But they also understood completely I explained the following: - Because Firefox works a different way than other browsers, it will sometimes work with connecting people to the internet when a bunch of other apps are broken. So sometimes we can use firefox to get a client online while IT works to solve the issue.
Case where this has occurred for me personally!
There's a problem with windows "internet options". Teams, Zoom, Outlook, Internet Explorer, Edge, Chrome and all Chrome clones all tap into the windows settings for internet options. But firefox does not. This means if there is a problem in the internet options, firefox will continue to work but all of those other programs will be broken. ** This happened to me a lot about a decade ago when I was dealing with the aftermath of some rogue proxies being installed in the internet options on all these different individual business computers that used the same ISP, though I've run into it in different ways. If we discount the weird ISP (which was hundreds) then certainly at least a dozen times in the past decade. So not a daily problem by any means, but if you're in IT long enough you might run into it, if you don't just try reinstalling the OS and all network settings.
Firefox also uses a different way of accessing certificates, which meant that some computers with certificate issues couldn't access the web or could only access pages insecurely (see apps listed in point 1 for what was affected) but they could work normally in Firefox at least. I can name three of my clients where this has happened in the past decade specifically for certificates, one of which was just this year in May (2022).
Given that I support my clients primarily remotely it was a real lifesaver as I could get them to grant me access through Firefox and then I could fix it for them on the phone without having to figure out how to get to them if they were not nearby.
And for people who are saying that's all windows - the equivalent has happened on macs too, where something weird occurred in Safari and Firefox was the simple and easy fix to get the client working before the real fix could be implemented.
Especially since there's no way to fix some of the Safari issues without reinstalling the OS on the macs since it's a default inbuilt app. Also some of the other mac things run on top of Safari's webkit so if that's broken other things will be too.
I mention reinstalling the OS, that's what a lot of my cohort who work in more standardized IT environment would do, but due to my unusual client base and the fact that I often do adhoc support, I often don't have it as an easy option. Plus, reformatting takes time, so even if it's an option sometimes I want to keep the client limping a long until 5:00 pm.
So when people are saying that Firefox is important to the ecosystem with how it's maintaining independence from Chrome and Safari - this applies in a bunch of ways!
Basically, please install firefox even if you don't think you'll use it, as it might just save the day with getting you online when everything else is broken.
I do also want to stress, it's pretty easy to move to firefox if you're only concerned about data. Things like, cookies, browsing history, saved passwords and bookmarks - even if you have a lot of folders etc are SUPER easy to bring across. Appearance is harder, firefox has locked down some of the options that used to make it the most customizable in changing how it looked and felt, but there are a lot of good addons and themes out there to help make it more effective for you.
It also might be less of a shock the switch if you use it for a different purpose. For example if you're using it as your ebook reader to avoid the tabs getting mixed up with normal browsing etc, and then as you build up experience with it, it becomes more comfortable making it the primary browser.
