Papierrechnungen werden zunehmend durch elektronische Rechnungen ersetzt – und ab dem 1. Januar 2025 wird der elektronische Austausch von Rechnungen zwischen Unternehmen sogar zur Pflicht. Firmen aller Branchen und Größen sollten sich daher rechtzeitig mit den neuen Vorgaben auseinandersetzen. Doch was genau ändert sich durch die neue Regelung, und warum ist es sinnvoll, bereits jetzt vorbereitet zu sein? Dieser Artikel liefert die Antworten auf diese Fragen.
Was ist eine E-Rechnung?
Elektronische Rechnungen spielen eine Schlüsselrolle bei der Modernisierung betrieblicher Abläufe. Sie vereinfachen das Management, ermöglichen eine vollständige digitale Archivierung und sind im Versand kostengünstiger. Die Verschlüsselung sorgt für eine sichere Übertragung, während Rechnungsdaten automatisiert und transparent verwaltet werden können.

Doch das allein reicht nicht aus: Damit eine Rechnung als E-Rechnung anerkannt wird, muss sie die Vorgaben der EU-Richtlinie 2014/55/EU sowie die Norm EN 16931 erfüllen. Ein strukturiertes elektronisches Format ist dabei verpflichtend. Zu den anerkannten Formaten zählen beispielsweise die XRechnung und das ZuGFeRD-Format. Wichtig zu wissen: Eine einfache PDF-Datei entspricht diesen Anforderungen nicht und wird daher nicht als E-Rechnung anerkannt.
Wichtige Fristen zur E-Rechnungspflicht in Deutschland
Im März 2024 beschloss der Bundesrat im Rahmen des Wachstumschancengesetzes zahlreiche Gesetzesänderungen. Eine dieser Änderungen betrifft die verpflichtende Einführung der elektronischen Rechnungsstellung im B2B-Bereich ab dem 1. Januar 2025. Unternehmen müssen ab diesem Datum Rechnungen in einem strukturierten elektronischen Format ausstellen, übermitteln und empfangen, das den Anforderungen der europäischen Norm EN 16931 entspricht. Diese Maßnahme zielt darauf ab, Geschäftsprozesse zu modernisieren, die Effizienz zu steigern und die Digitalisierung voranzutreiben. Diese Termine zur E-Rechnungspflicht solltest due kennen: Ab 01. Januar 2025 - Der Empfang von elektronischen Rechnungen gemäß EU-Standard EN16931* wird für alle deutschen B2B-Unternehmen obligatorisch - D.h. Daten müssen gemäß EN16931 extrahiert werden können - Gültige Formate: XRechnung, ZUGFeRD, EDIFACT nach CEN-Norm - Ausnahmen bestehen in Rechnungen von - Rechnungen an Verbraucher sind nicht betroffen Übergangsregelungen bis 31. Dezember 2026 - Sonstige Rechnungen (Papier/PDF) sowie E-Rechnungen, die noch nicht dem neuen Format entsprechen, können weiterhin übermittelt werden - ABER: Die Priorität der Papier-/PDF-Rechnung entfällt - d.h. Empfänger müssen dem Erhalt von E-Rechnungen nach EU-Standard nicht mehr zustimmen - d.h. Empfänger müssen dem Empfang anderer elektronischer sowie sonstiger Formate zustimmen Übergangsregelungen vom 01. Januar 2027 bis 31. Dezember 2027 - Die genannten Übergangsregelungen gelten nur noch für rechnungsstellende Unternehmen mit einem Vorjahresumsatz von - EDI-Verfahren, die von den neuen Formatvorgaben abweichen, dürfen bis dahin noch genutzt werden
Das müssen Unternehmen jetzt wissen
Für Unternehmen, die bereits auf digitale Prozesse setzen, bringt die Einführung der E-Rechnung nur minimale Anpassungen mit sich. Firmen, die jedoch noch überwiegend analog arbeiten, stehen vor einer tiefgreifenden Umstellung. Diese Veränderung erfordert Investitionen in neue Systeme und die Anpassung vorhandener Abläufe, was anfangs einen erheblichen Aufwand und Kosten mit sich bringen kann. Trotzdem lohnt es sich, das Potenzial dieser Umstellung zu betrachten. Die E-Rechnung ist mehr als nur eine gesetzliche Vorgabe: Sie reduziert Kosten für Papier und Versand und ermöglicht zudem eine automatisierte Verarbeitung.
