The top 5 mistakes people make when planning a party The end of last year was crazy party planning mayhem here at Rockstar HQ! We had 6 weeks of parties every weekend with no sign of stopping. I’m not going to lie.. I do love it! But this got me thinking.. What are some of the things that I have learnt being a kids entertainer extraordinaire? Having been in the party planning biz & entertaining for 6 years now, (as of last week, Happy Birthday to us!) what have I learnt?

1. Instagram perfection doesn’t exist

Ask any cake maker, table decorator, event co-ordinator.. nothing ever goes to plan! Those perfectly lined up pictures, with beautiful lighting, dazzling smiles & smooth icing.. we’ve heard it before.. they are either well set up or took a lot of practice & tries before posting that final snapshot. Never compare your behind the scenes with someone else’s highlight reel. You can only be the best parent you can be, nothing more & nothing less. Your child will have a great party, don’t worry. Just try your best & remember to be flexible. Sometimes when the comparisons come, it’s best to just turn that computer off & remember what it’s all about.

2. Be present

It’s not about the presents, cake, decorations, awesome balloons, and gasp.. sometimes not even about the theme. Being present for your child, being there in the moment & helping them to have the best time is the most important task on your to-do list that day. Drop the garbage bag & join in sometimes, your kids will love you for it, creating memories that will last a lifetime.

3. Create the space

Ok we’re going to get practical here. Sometimes spaces can feel like they are too large or too small when planning a party, but it’s all about creating the space. What can you do to make your space appear to be bigger than what it is, or smaller than what it is? Sometimes you don’t have the luxury of having something outside, and lets be honest, the upcoming colder months aren’t our friend sometimes, but you can make the most of what you’ve got just by doing a few simple things.

Small space: Sounds simple but taking out large furniture can do wonders for a space. Pushing everything to the side & taking out a large chair or table can allow you to create a small space in the middle for the kids. As an entertainer, we only need enough room for the kids to hold hands in a circle comfortably, the rest we can be flexible with on the day. Dancing on the spot sometimes doesn’t take up too much room, and you can make use of that lounge away from the kitchen or the deck/outside for some good ol’ fashioned games.

Large space: If you are planning on using a hall or large area, splitting the space up is often your best option. Simply by putting a row of chairs in a half moon in the middle, & splitting up the kitchen/parent space you are showing the kids their area & giving them some guidelines as to where they can go. If this is near a stage, even better. It creates a level for performing, and kids will all want to stay in their designated space for the party. Sometimes if there is a show, putting a white line & getting the kids to sit behind it with chairs in rows behind can work wonders. What is most useful to a performer is having the parents sit and watch the show & then talk after as to cause minimal disruption. As Ken Kelly from Magic 4 Children says you don’t need a lot of room, just a cornered off part of a hall & a designated spot. If doing a show, using a line of tape helps. The hall can be decorated with black material to make it look smaller, and some lights & a fog machine make all the difference.

4. Food glorious food

Who says you need a lollie buffet & mountains of food? You can if you really want to but kids are often having too much fun with the entertainer to think too much about eating. A few plates of fairy bread & some hot food if you wish, but those small ant-hills of snacks aren’t really a must for a good party. Don’t let them convince you that you need perfectly shaped fruit & vegetables to throw a good party, or lots of food if you don’t have the funds for it. Anything is fine for the day, especially if you have a party before or after lunch.

5. A whole class affair

Although it’s great to have the whole class & their siblings, pet dogs & rabbits attend your party (and sometimes that is great..) but what you will end up with is something that more resembles a zoo than a calm, fun, organised party. Take it from my friend Ruth who organised her first-borns’ kindergarten birthday which she said ended up resembling a small circus. Class friends, church friends, siblings, neighbours, sports.. you can find small adults everywhere, and although you would really love to invite them all, she learnt that you need to cap it somewhere. Plus once you do it for the first child, it’s a domino effect through your family & before you know it the 3 year old is planning their kindy farmhouse.. ahem party, much to your disdain. Have a list that is both fluid & rigid at the same time. It is not a requirement to invite the friend’s siblings, and deciding from the beginning can save you some heartache down the track when making the hard decision to have to uninvite some people. Planning months before the party what your maximum will be will save you.. & your sanity. Planning a party around school holidays can be tricky as well, so it's great to get the invites out early.

Remember some of the best parties are the ones that are flexible & planned at the same time. Things like:

-When should we do the cake?

-Should we schedule breaks?

-How long should the party be?

-What should we include?

Are really important, and need to be planned. But sometimes on the day unexpected things do happen (like our recent crazy weather!!) & you have to work around it. Make sure you save all the bells & whistles (literally, they are a Children’s Entertainers worst nightmare for trying to gets kids attention haha) for towards the end of the party when the entertainer is finished, makes it so much easier to pack up & say goodbye.
