Liminal Review
I will let you all in on a secret. I may have a little bit of a weakness for urban fantasy. There is something that speaks to me about being in the modern world, but still finding the strange and magical just out of regular view. Tell me about ghosts and shadows and fey that still hang out just down the street and explain why I don’t always see them when I look their way, and you’ve got my attention.
There is no shortage of urban fantasy RPG products today. What is less common is one that details a specific setting that does not default to the United States. It’s very easy for me to view urban fantasy through a lens crafted from watching Buffy and Supernatural, and reading the Dresden Files. Liminal, the RPG that I’m looking at today, features the UK as it’s setting, and that important distinction is evident in several places.
Ghostly Forms
This review is based on the PDF of the product, which is a 286-page full-color document. It has single column formatting, and unlike many RPGs, where art is limited to full page chapter introductions and potentially half page or quarter page illustrations, there are many pages that utilize thematic imagery blended across half the page, under the text, or pages that have a running theme such as a city skyline across the bottom of the page.
While many products evoke a feeling with the included artwork, the way Liminal uses its imagery tends to weave in and out of the narrative to create an otherworldly feeling in several places in the book. While some artwork is used traditionally as half page pieces, there are several pages where the artwork also serves as the background image for the page.
Chapter 1
Chapter 1 serves as a basic introduction to the premise of the game, introduced with a short piece of in-character fiction. The game revolves around liminal characters–characters that are part of both the mortal world and the supernatural world–forming crews and solving cases. There is also a quick reference to the base resolution mechanics, which utilizes two d6s + a modifier, versus a target number. If modern game design leads you to wonder if this is a Powered by the Apocalypse Game, it isn’t, but we’ll get into more of the mechanics later.
The basic framework of the setting involves the following “truths”:

Chapter 2

Characters can also pick up to two limitations, which can get them additional points to use for character creation. Chapter 3
Chapter 3 details the rules on creating crews and adjudicating factions. Crews have a goal, much like a group version of the individual drives that characters create for their characters. There is a list of crew resources, and each player picks one of those resources for which the crew has access. This can involve having greater starting capital, a headquarters, a safe house, or even a bonus when dealing with specific enemies.
The group determines what major factions are at play in the campaign, and each PC determines if they have a positive or negative relationship with that faction. Rankings for each faction at play go up one for each positive relationship, and down one for each negative relationship, to a maximum of +/- 3, with an extreme rating meaning that the crew is either known as an ally to, or devoted enemy of, that faction.
Additionally, each player will provide a hook, an open-ended supernaturally adjacent bit of news that is floating around the game world, that the GM can then weave into the greater campaign.
I really like this formalized way of setting up the crew, and even separated from the specific mechanics of the game, it serves as a good way to start a campaign and to poll the table as to what the campaign should look like and what the players want from the game. The biggest sticking point I think may be the hooks–it’s a great idea, but not every player is going to have a strong hook to contribute early in the campaign, and it may feel a bit like putting them on the spot.
Chapter 4 
This section deals with how the game rules work at the table. Base resolution is 2d6 plus a relevant skill versus a target number, but there are a number of ancillary rules that make this resolution a little bit more robust.
Opposed tests involve a base number plus the opponent’s relevant skill, rather than having both sides roll against one another. Characters can spend points from their Will attribute to modify their rolls. When a character fails, the GM gets to determine which of four options apply to the failure, so failure doesn’t feel quite as binary as it might otherwise. Additionally, if a character succeeds by 5 or more on a test, there is a list of additional effects that can be added to the result.
One of my favorite rules bits in this section involves persuading or coercing other characters. Successfully doing this doesn’t mean that the character has to do what you want them to do, just that they either have a penalty to actions that don’t line up with what you want them to do, or they must suffer a hit to their Will to shake off the effects of the failed contest.
In conflicts, initiative is handled in a manner similar to Cypher system, in that the players roll against the highest opponent’s skill to determine if they go before or after the opposition.
Chapter 5 
Chapter 5 is all about magic. Way back during character creation, you could buy the base level of various forms of magic, but this chapter has a number of upgrades that you can purchase to allow more thematic effects based on the type of magic being enhanced. Most of these are straightforward effects that utilize the game rules. Bigger than human forms get a bonus to Endurance, smaller than human forms get a penalty, and animal forms grant a bonus to skills that animal form is good at performing–all this works for me and adjudicating what an animal form is good at on the fly isn’t too hard in this kind of game.
Where I got a little turned around is that the description of the ability in this chapter starts mentioning traits that may go with the animal form, and that some of those may carry over to the mortal form, and I don’t know if that’s just flavor for how a character should build their character, or if you are meant to give them bonus traits based on animal form, and to decide if they should be split across animal and mortal forms. I don’t think this is the case, but for some reason, I got turned around it this particular form of magic and its description.
Chapter 6 and Chapter 7 
I’m grouping these chapters together, as they are both descriptive of what the assumed setting of Liminal should look like. Major and minor factions are detailed, as are various cities and sites in the UK. One of the elements that sets Liminal apart from other urban fantasy games is that the factions and locations often have ties to specific elements of UK history. Some historical figures were turned as vampires, and their deaths covered up. The Council of Merlin may have looked the other way during some historical events while protecting the isles during others. There are a lot of details that feel like they add one extra layer to history, without burying the setting in lore, and without changing some important, sensitive events by shifting the blame from human shortcomings to supernatural involvement.
There are major factions for wealthy, formally educated wizards, less formally trained and potentially less lawful wizards, government agencies, Anglican, Catholic, and Muslim religious organizations that deal with the supernatural, a powerful werewolf family attempting to unite the various gangs, fey courts native to various geographical areas of the UK, and the primary vampire organization in operation.
There are some subtle and not so subtle commentaries going on with some of the factions. Vampires are dangerous, but their organizational goals tend to be a little out of date. The Council of Merlin is very much a rich male organization that thinks it is being very progressive by allowing women to join and having a reasonable application fee that only the wealthy could possibly front. The police unit that investigates supernatural crime doesn’t actually formally record any supernatural details of events, to shield information from the public record, but there is also an ancient group of wizards that still nominally works for the crown as well.

There are a few places in the text where this struck me previously, but in these chapters, especially, I am very aware that there are no specific sidebars or separate discussions on safety or content. Not only are we dealing with some fairly ghastly werewolf rituals, predatory vampires, and gruesome means for ghosts to come about, but we’ve also got the misogyny of the Council of Merlin, potential religious friction, at least some discussion of political tensions between various regions of the UK, and fae king who kidnaps women to be his bride (they are mentioned as needing to willingly accept the position, but they are also mentioned as being kidnapped, coerced, misled, and put in suspended animation when he is ready for a new bride).
It is a rich history that has been woven into a real-world location, and it has been done better than some urban fantasy setting material, but in this era of games, there really needs to be more awareness of content that could be problematic, and how to deal with that in a game that touches on those topics.
Chapter 8, 9, and 10
The final three chapters in the book are the chapter on gamemastering, the chapter for “faces” (which includes stats for various supernatural beings PCs might encounter, and the chapter for sample cases.
The gamemastering chapter has sections on how to structure cases, advice on setting difficulty, and places outside of the UK where Liminal stories may take place. I like the very solid, practical advice on how to structure a case, and its advice that could work for structuring other urban fantasy games as well, making it even more broadly useful. It’s also interesting to see the setting assumptions applied to locations in the US and Germany as well as the baseline assumed setting.
The faces section includes new traits, some of which can be available for PCs, but may push them further into the fully supernatural, rather than the border between. These traits mainly exist to help with the stats found in this chapter, which include fae, ghosts, clued-in mortals, ordinary mortals, vampires, and werewolves.
The final chapter sample cases do a really nice job of explaining the setups, the facts of the case, the point at which complications may occur, and ways that the case may be resolved, but not much about detailed specifics between certain “notes” in the case. The outlines are more interested in pointing out that you need to find out about X, not that you need to do a specific thing to find X, but that once you find X, some kind of complication should happen. I like the solid outline with flexible sections between approach.
That said, between gamemastering and sample adventures, no dedicated discussion on safety or content warnings for a game that can have some potentially uncomfortable content.

The final sections in the book include an index, a section that showcases the art that serves as the backdrop of most of the book, without the words and formatting that obscures it, an afterward, and an acknowledgments section that details the various backers and playtesters.

You can achieve better balance by testing out key factors such as opening sentences, sign offs and subjects. These elements can be replicated for all your email without affecting the human aspect, and yet they can be effective in improving open and response rates.
If you don’t want to use an email client, you can record your tests in a spreadsheet. The important thing is to make sure you’re keeping track of tests, whichever way you do it.
By keeping track of what works and what doesn’t, you’ll eventually get the winning formula.
Keep in mind that not all bloggers will respond to the same formula, so keep on working, tweaking and striving towards success!

The president of the United States is not well.
The president of the United States is not well. That is an uncomfortable thing to say, but it is an even worse thing to ignore.
Consider the interview Trump gave to the New York Times on Thursday. It begins with a string of falsehoods that make it difficult to tell whether the leader of the free world is lying or delusional. Remember, these are President Donald Trump’s words, after being told a recording device is on:
Virtually every Democrat has said there is no collusion. There is no collusion. And even these committees that have been set up. If you look at what’s going on — and in fact, what it’s done is, it’s really angered the base and made the base stronger. My base is stronger than it’s ever been. Great congressmen, in particular, some of the congressmen have been unbelievable in pointing out what a witch hunt the whole thing is. So, I think it’s been proven that there is no collusion.
It almost goes without saying that literally zero congressional Democrats have said that there was no collusion between Russia and the Trump campaign during the 2016 election. Zero.
What key Democrats are actually saying is closer to the opposite. On December 20, for instance, Sen. Mark Warner, the vice chair of the Senate Intelligence Committee and thus the Senate Democrat leading the investigation into collusion, said, “despite the initial denials of any Russian contacts during the election, this Committee’s efforts have helped uncover numerous and troubling high-level engagements between the Trump campaign and Russian affiliates — many of which have only been revealed in recent months.”
Nor is Trump’s base strengthening, or even holding steady. In a detailed analysis of Trump’s poll numbers, FiveThirtyEight’s Harry Enten concluded that the president is losing the most ground in the reddest states:
In states where Trump won by at least 10 points, his net approval rating is down 18 percentage points, on average, compared to his margin last November. In states that were decided by 10 points or less in November, it’s down only 13 points. And it’s down 8 points in states Clinton carried by at least 10 points.
The fact that Trump has lost the greatest number of supporters in red states is perhaps the clearest indication yet that he is losing ground among some form of his base, if you think of his base as those who voted for him in November.
CNN took a different angle on the same question and also found slippage among Trump’s base. It looked at the change in Trump’s approval ratings from February to November among the demographic groups that formed the core of Trump’s electoral coalition — in every group, there’d been substantial declines. Trump’s numbers have fallen by 8 points among Republicans, by 9 points among voters over 50, by 10 points among whites with no college, by 17 points among white evangelicals. “It has become increasingly clear that even his base is not immune to the downward pressure,” CNN concluded.

As for Trump’s contention that “it’s been proven that there is no collusion,” it’s hard to even know how to begin responding to that. In recent months, Trump’s former campaign manager and national security adviser have both been charged with crimes by Robert Mueller, and the investigation is not just ongoing but apparently widening in its scope and ferocity. Yet here is Trump’s take:
I saw Dianne Feinstein the other day on television saying there is no collusion. She’s the head of the committee. The Republicans, in terms of the House committees, they come out, they’re so angry because there is no collusion. So, I actually think that it’s turning out — I actually think it’s turning to the Democrats because there was collusion on behalf of the Democrats. There was collusion with the Russians and the Democrats. A lot of collusion.
Sen. Feinstein has not said that she, or any of the ongoing investigations, has concluded that there was no collusion. What she has said is that investigators believe Trump may have obstructed justice in his efforts to derails inquiries into collusion:
The [Senate] Judiciary Committee has an investigation going as well and it involves obstruction of justice and I think what we're beginning to see is the putting together of a case of obstruction of justice.
It speaks to Trump’s habits of mind, to the sycophantic sources from which he prefers to get his news, that he heard something Feinstein said and has come to believe she has absolved him — yet misses the actual thing she said that threatens him.
It would be comforting, on some level, to believe that Trump is simply lying, that he is trying to convince us of what he knows to be untrue. It is scarier to believe that Trump is delusional, that he has persuaded himself that Democrats have said things they’ve never said, that his base has strengthened when it has actually weakened, that it’s really his opponents under investigation for collusion, that his campaign has been cleared of wrongdoing when the circumstantial case for collusion has only grown stronger.
But that is far from the end of the interview.
Trump: “I have absolute right to do what I want to do with the Justice Department”
A few paragraphs later, for instance, Trump offers this chilling comment when asked about Hillary Clinton’s emails (which, amazingly, we are somehow still talking about in December 2017):
NYT: You control the Justice Department. Should they reopen that email investigation?
TRUMP: What I’ve done is, I have absolute right to do what I want to do with the Justice Department. But for purposes of hopefully thinking I’m going to be treated fairly, I’ve stayed uninvolved with this particular matter.
Read Trump’s phrasing carefully: “I have absolute right to do what I want to do with the Justice Department.” It’s a statement that speaks both to Trump’s yearning for authoritarian power and his misunderstanding of the system in which he actually operates.
And it’s followed by something yet scarier. “For purposes of hopefully thinking I’m going to be treated fairly, I’ve stayed uninvolved with this particular matter,” he says.

Here, Trump offers insight into his own thinking. He appears to believe that he is engaged in some explicit or implicit quid pro quo with the Department of Justice: He doesn’t fire Jeff Sessions, or demand prosecution of his political enemies, or whatever it is he imagines doing with his “absolute right to do what I want to do,” so long as they treat him and his associates “fairly,” which likely means protecting him from Mueller’s investigation.
Imagine reading this comment on transcripts from Richard Nixon’s tapes. It would be the kind of comment that would leave us glad Nixon was forced from office, chilled that such a man ever occupied the presidency at all.
The interview, of course, is not done.
TRUMP: It’s too bad Jeff recused himself. I like Jeff, but it’s too bad he recused himself. I thought. … Many people will tell you that something is [inaudible].
NYT: Do you think Holder was more loyal to …
TRUMP: I don’t want to get into loyalty, but I will tell you that, I will say this: Holder protected President Obama. Totally protected him. When you look at the I.R.S. scandal, when you look at the guns for whatever, when you look at all of the tremendous, ah, real problems they had, not made-up problems like Russian collusion, these were real problems. When you look at the things that they did, and Holder protected the president. And I have great respect for that, I’ll be honest, I have great respect for that.
Read that again. Trump’s premise in this section appears to be that President Obama engaged in a wide array of criminal, undemocratic, and negligent behaviors but his attorney general protected him from justice. And Trump’s conclusion is that Obama’s attorney general did his job well. To Trump, the attorney general doesn’t serve the country, or the Constitution, but the president.
Trump does not know what he doesn’t know, and he overestimates what he does know
The interview is not done.
I know more about the big bills. … Than any president that’s ever been in office. Whether it’s health care and taxes. Especially taxes. And if I didn’t, I couldn’t have persuaded a hundred. … You ask Mark Meadows [inaudible]. … I couldn’t have persuaded a hundred congressmen to go along with the bill. The first bill, you know, that was ultimately, shockingly rejected ... I know the details of taxes better than anybody. Better than the greatest C.P.A. I know the details of health care better than most, better than most. And if I didn’t, I couldn’t have talked all these people into doing ultimately only to be rejected.
In psychology, there’s an idea known as the Dunning-Kruger effect. It refers to research by David Dunning and Justin Kruger that found the least competent people often believe they are the most competent because they “lack the very expertise needed to recognize how badly they’re doing.” This dynamic helps explain comments like the one Trump makes here.
Over the course of reporting on the Trump White House, I have spoken to people who brief Trump and people who have been briefed by him. I’ve talked to policy experts who have sat in the Oval Office explaining their ideas to the president and to members of Congress who have listened to the president sell his ideas to them. I’ve talked to both Democrats and Republicans who have occupied these roles. In all cases, their judgment of Trump is identical: He is not just notably uninformed but also notably difficult to inform — his attention span is thin, he hears what he wants to hear, he wanders off topic, he has trouble following complex arguments. Trump has trouble following his briefings or even correctly repeating what he has heard.
This is all perfectly evident if you listen to Trump discuss policy in public even momentarily. For instance, in this same New York Times interview, he tries to explain how he’s changed Obamacare:
So now I have associations, I have private insurance companies coming and will sell private health care plans to people through associations. That’s gonna be millions and millions of people. People have no idea how big that is. And by the way, and for that, we’ve ended across state lines. So we have competition. You know for that I’m allowed to [inaudible] state lines. So that’s all done.
Now I’ve ended the individual mandate. And the other thing I wish you’d tell people. So when I do this, and we’ve got health care, you know, McCain did his vote.
... We’ve created associations, millions of people are joining associations. Millions. That were formerly in Obamacare or didn’t have insurance. Or didn’t have health care. Millions of people. That’s gonna be a big bill, you watch. It could be as high as 50 percent of the people. You watch. So that’s a big thing. And the individual mandate. So now you have associations, and people don’t even talk about the associations. That could be half the people are going to be joining up. … With private [inaudible]. So now you have associations and the individual mandate.
I can, with some effort, untangle what Trump might have been trying to say here, but it’s incoherent, so suffused with half-related ideas and personal obsessions (why did Trump feel the need to bring up McCain’s vote here?) that it’s hard to say for sure.

At best, Trump is saying something that is comprehensible but incorrect. He signed an executive order making it easier to form association health plans, which are health plans formed by groups of small businesses, and making it easier for those plans to skirt Obamacare’s insurance regulations and to contain small businesses from multiple states.
As of now, and Trump doesn’t seem to realize this, it’s just an executive order — the rules defining and implementing it have not been written, so it is not yet happening, and we don’t know how it will work in practice, much less how many people may eventually sign up. Nor does the order actually get rid of the prohibition on selling insurance across state lines for most people — it’s only for this one kind of plan, which will only serve a tiny minority of the health insurance market.
Whatever Trump is saying, it does not reveal much familiarity with health policy, or even with the status and limits of his own actions. And yet Trump believes himself, on policy, to be the most informed president in American history. As the Dunning-Kruger effect suggests, he doesn’t know how much he doesn’t know, and that, combined with his natural tendency toward narcissism, has left him dangerously overconfident in his own knowledge base.
Speaking of narcissism:
We’re going to win another four years for a lot of reasons, most importantly because our country is starting to do well again and we’re being respected again. But another reason that I’m going to win another four years is because newspapers, television, all forms of media will tank if I’m not there because without me, their ratings are going down the tubes. Without me, The New York Times will indeed be not the failing New York Times, but the failed New York Times. So they basically have to let me win. And eventually, probably six months before the election, they’ll be loving me because they’re saying, “Please, please, don’t lose Donald Trump.”
What is one even to say about this? Is it a joke? If so, why is Trump taking this opportunity to make it? Is it an attack on the media? Is it Trump finding another way to compliment himself, to give himself credit for the media’s success?
Imagine how we would react to literally any other president speaking like this. Trump has bludgeoned us into becoming accustomed to these kinds of comments but that, too, is worrying.
This is the president of the United States speaking to the New York Times. His comments are, by turns, incoherent, incorrect, conspiratorial, delusional, self-aggrandizing, and underinformed. This is not a partisan judgment — indeed, the interview is rarely coherent or specific enough to classify the points Trump makes on a recognizable left-right spectrum. As has been true since he entered American politics, Trump is interested in Trump — over the course of the interview, he mentions his Electoral College strategy seven times, in each case using it to underscore his political savvy and to suggest that he could easily have won the popular vote if he had tried.
I am not a medical professional, and I will not pretend to know what is truly happening here. It’s become a common conversation topic in Washington to muse on whether the president is suffering from some form of cognitive decline or psychological malady. I don’t think those hypotheses are necessary or meaningful. Whatever the cause, it is plainly obvious from Trump’s words that this is not a man fit to be president, that he is not well or capable in some fundamental way. That is an uncomfortable thing to say, and so many prefer not to say it, but Trump does not occupy a job where such deficiencies can be safely ignored.

3 Tips for a Productive Approach to Email
Back in 2006 Merlin Mann created a series of posts on the 43 Folders blog called Inbox Zero. I am sure most of you have heard this term, but from chatting with bloggers at conferences and meet ups, most bloggers have misinterpreted the key philosophy behind Inbox Zero.
Contrary to popular belief, the “Zero” doesn’t refer to fanatically keeping your inbox empty at all times. Instead, it refers to “the amount of time an employee’s brain is in his inbox.” {source}
We all know that spending our entire day in our inbox is not productive, but how can we approach email productively? To determine this we need to define productivity. I define productivity as using your time, energy and attention effectively to achieve your goal.
And you can use this definition of productivity to understand the real point of Inbox Zero. What Mann was getting at with Inbox Zero, was that you need to manage your inbox in a way so that it takes up a minimum of your time and attention.
In order to do this you need to have a process for how you deal with your email. You can find many complex systems on the internet by email specialists on how to label, filter and file emails which will help you make small gains in productivity. But if you want to make substantial improvements and really reduce the amount of time and attention you give to email, you need to take a step back and look at your overall approach to email.
Here are three strategies I have implemented to my email practice that has reduced the amount of time I spend on email each week by more than half.
1. Batch your emails
Batching your emails addresses two of the key components of productivity – it impacts how much time and attention you give your email. Batching your emails means you only access your emails at particular time/s of the day.
I took a gradual approach to batching my emails. I first started by allocating a block of time each day for emails and I set it for a period in the day which had a natural boundary. It was the last hour of my work day and the hour leading up to when I had to head out to pick the kids up from school. Email is a task that expands to fill the time you allocate to it, so where possible if there is a time in your day that has fixed boundary, try using it as a book end for you email batching.
Approaching your email in blocks of time like this reduces the over all time you spend on email during the day. It prevents the quick check here and there, that finds you reading emails but not actioning them. Meaning that when you go back to the inbox you have to read them again and then action them, effectively double handling them and doubling the time you have spend on email.
The batching approach also means that you minimise how much attention your inbox takes up. Every time we take a quick check of our emails, out attention is diverted from the key activity we were working on and even though we may switch back to our key activity quickly, part of our attention remains in our inbox.
For example, as a blogger if we are writing a post and decided to do a “quick check” of our email and find an email from a reader who is angry about something we have written, or we have an email from a client reminding us of an overdue task, it is hard for us to 100% focus on writing our post. Our mind wanders to explanations we will write to both emails, killing off any flow we had going and making the task of writing the blog post harder and longer than it needed to be.
Sophie Leroy, a business-school professor at the University of Minnesota studied the impacts of switching between work tasks and she refers to this as attention residue. In the abstract of her study Why is it so hard to do my work? The challenge of attention residue when switching between work tasks, Leroy notes:
people need to stop thinking about one task in order to fully transition their attention and perform well on another. Yet, results indicate it is difficult for people to transition their attention away from an unfinished task and their subsequent task performance suffers.
If you want to be productive in the way you approach email, leave checking it to dedicated blocks of time, time where you are only focusing on one task.
After my experiment with batching my emails as my last task of the day, I found there were moments where I was still taking a sneak peak here and there. It generally happened when I was stuck on something, finding a task hard or procrastinating. To create good habits I am a firm believer in setting myself up for success so I installed BatchedInbox. It is a super useful tool for Gmail that enforces your batching rules for you.
Within BatchedInbox you determine the frequency that you will receive your emails. Mine is set to release my emails to me at 1pm each day. If at any point I go into my inbox after this, I will see no new emails. So even if I do check there is nothing new to see!
There are some ways around the system, for example when I am creating my newsletters and I want to see a test version sent to myself, I can simply go to my sent mail and it will be sitting there for me. There are also ways to pick up the other emails waiting for you, but all of them require me to do a few extra steps. Those extra steps make me ask the question “do I really need to check my email?” and almost every time the answer is no.
2. Decide your process for actioning emails
A standard approach to email is to jump into the inbox and start working on what is at the top and make your way down. This can see you dedicating time to emails that are not as important as others. We can also feel the need to respond to emails that have been sitting there for a while if we finally have time to action them.
To prevent you from randomly working on emails you need to define a process for actioning them. My approach when I do access my inbox is to:
Delete – go through and see what I can delete. I have a policy of deleting any brand request etc emails that are not addressed to me personally.
Batch – file away like emails so I can respond to them at once, for example I often ask for people to reply to me in my newsletters, so have a folder for these emails. Responding to them all in the same session means my mind is that mode and I can respond quickly to them.
Importance – with the above emails sorted, I then scan through the email titles and sender names and determine the order I will respond to them. The order I respond in is directed my my business goal for the year. PR requests for example even if they have urgent in the headline will not be actioned before queries from my paid course members. It is often easier to reply to the “urgent” style emails coming through rather than more complex and important emails from course members after more information or writing a proposal response for a large campaign request.
3. Write short and effective responses
Writing polite, well written but short and effective email responses is something that takes practice. When sent a detailed and long email from a reader, we often feel the need to reciprocate and give a lengthy response. As nice as that is to do, for most bloggers it simply isn’t practical.
The other extreme is that it can be tempting to make our way through our inbox, by creating some email tennis – that is we respond to an email with a question with another question to lob the email ball back on their side of the court. This just clogs up both inboxes and requires more work in the long run.
When replying to emails, ensure that you write only what you need to and make it as easy as possible for there to be a resolution for your email. If for example a prospective client wants to have a Skype call with you, either send a list of available times or even use a tool like Calendly to make organising the time simple and fast.
If writing short responses is a new thing for you and you want to educate your network try using the Chris Ducker 3 sentence rule.  This simply involves a line in your email signature saying “Why is this email 3 sentences, or less? Canned responses is another tool that helps you with responding to emails effectively. It is for Gmail users and can be found in Labs in your settings where you can enable it. Canned responses allows you to send standard responses to emails. You can have many canned responses and can choose which response you send to which email.
I receive many emails a day requesting opportunities to guest post, asking me to promote their products, adding links to my posts etc. I have separate canned responses for all of these, politely written declining them all. Some bloggers choose to simply delete these emails instantly which is one approach, but they tend to be persistent and repeat email, so I have found it more effective to tell them no thanks and cut down the volume coming in.
When actioning email it is important to remember that you are in control. Just because someone has sent an email which asks for your attention, doesn’t mean you have to give it attention straight away. Email is a tool to assist with your blogging, but it is not your core activity. The time and attention you give your inbox should reflect that.

3 Tips for a Productive Approach to Email

Canned responses allows you to send standard responses to emails. You can have many canned responses and can choose which response you send to which email.
I receive many emails a day requesting opportunities to guest post, asking me to promote their products, adding links to my posts etc. I have separate canned responses for all of these, politely written declining them all. Some bloggers choose to simply delete these emails instantly which is one approach, but they tend to be persistent and repeat email, so I have found it more effective to tell them no thanks and cut down the volume coming in.
When actioning email it is important to remember that you are in control. Just because someone has sent an email which asks for your attention, doesn’t mean you have to give it attention straight away. Email is a tool to assist with your blogging, but it is not your core activity. The time and attention you give your inbox should reflect that.

3 Tips for a Productive Approach to Email
Back in 2006 Merlin Mann created a series of posts on the 43 Folders blog called Inbox Zero. I am sure most of you have heard this term, but from chatting with bloggers at conferences and meet ups, most bloggers have misinterpreted the key philosophy behind Inbox Zero.
Contrary to popular belief, the “Zero” doesn’t refer to fanatically keeping your inbox empty at all times. Instead, it refers to “the amount of time an employee’s brain is in his inbox.” {source}
We all know that spending our entire day in our inbox is not productive, but how can we approach email productively? To determine this we need to define productivity. I define productivity as using your time, energy and attention effectively to achieve your goal.
And you can use this definition of productivity to understand the real point of Inbox Zero. What Mann was getting at with Inbox Zero, was that you need to manage your inbox in a way so that it takes up a minimum of your time and attention.
In order to do this you need to have a process for how you deal with your email. You can find many complex systems on the internet by email specialists on how to label, filter and file emails which will help you make small gains in productivity. But if you want to make substantial improvements and really reduce the amount of time and attention you give to email, you need to take a step back and look at your overall approach to email.
Here are three strategies I have implemented to my email practice that has reduced the amount of time I spend on email each week by more than half.
1. Batch your emails
Batching your emails addresses two of the key components of productivity – it impacts how much time and attention you give your email. Batching your emails means you only access your emails at particular time/s of the day.
I took a gradual approach to batching my emails. I first started by allocating a block of time each day for emails and I set it for a period in the day which had a natural boundary. It was the last hour of my work day and the hour leading up to when I had to head out to pick the kids up from school. Email is a task that expands to fill the time you allocate to it, so where possible if there is a time in your day that has fixed boundary, try using it as a book end for you email batching.
Approaching your email in blocks of time like this reduces the over all time you spend on email during the day. It prevents the quick check here and there, that finds you reading emails but not actioning them. Meaning that when you go back to the inbox you have to read them again and then action them, effectively double handling them and doubling the time you have spend on email.
The batching approach also means that you minimise how much attention your inbox takes up. Every time we take a quick check of our emails, out attention is diverted from the key activity we were working on and even though we may switch back to our key activity quickly, part of our attention remains in our inbox.
For example, as a blogger if we are writing a post and decided to do a “quick check” of our email and find an email from a reader who is angry about something we have written, or we have an email from a client reminding us of an overdue task, it is hard for us to 100% focus on writing our post. Our mind wanders to explanations we will write to both emails, killing off any flow we had going and making the task of writing the blog post harder and longer than it needed to be.
Sophie Leroy, a business-school professor at the University of Minnesota studied the impacts of switching between work tasks and she refers to this as attention residue. In the abstract of her study Why is it so hard to do my work? The challenge of attention residue when switching between work tasks, Leroy notes:
people need to stop thinking about one task in order to fully transition their attention and perform well on another. Yet, results indicate it is difficult for people to transition their attention away from an unfinished task and their subsequent task performance suffers.
If you want to be productive in the way you approach email, leave checking it to dedicated blocks of time, time where you are only focusing on one task.
After my experiment with batching my emails as my last task of the day, I found there were moments where I was still taking a sneak peak here and there. It generally happened when I was stuck on something, finding a task hard or procrastinating. To create good habits I am a firm believer in setting myself up for success so I installed BatchedInbox. It is a super useful tool for Gmail that enforces your batching rules for you.
Within BatchedInbox you determine the frequency that you will receive your emails. Mine is set to release my emails to me at 1pm each day. If at any point I go into my inbox after this, I will see no new emails. So even if I do check there is nothing new to see!
There are some ways around the system, for example when I am creating my newsletters and I want to see a test version sent to myself, I can simply go to my sent mail and it will be sitting there for me. There are also ways to pick up the other emails waiting for you, but all of them require me to do a few extra steps. Those extra steps make me ask the question “do I really need to check my email?” and almost every time the answer is no.
2. Decide your process for actioning emails
A standard approach to email is to jump into the inbox and start working on what is at the top and make your way down. This can see you dedicating time to emails that are not as important as others. We can also feel the need to respond to emails that have been sitting there for a while if we finally have time to action them.
To prevent you from randomly working on emails you need to define a process for actioning them. My approach when I do access my inbox is to:
Delete – go through and see what I can delete. I have a policy of deleting any brand request etc emails that are not addressed to me personally.
Batch – file away like emails so I can respond to them at once, for example I often ask for people to reply to me in my newsletters, so have a folder for these emails. Responding to them all in the same session means my mind is that mode and I can respond quickly to them.
Importance – with the above emails sorted, I then scan through the email titles and sender names and determine the order I will respond to them. The order I respond in is directed my my business goal for the year. PR requests for example even if they have urgent in the headline will not be actioned before queries from my paid course members. It is often easier to reply to the “urgent” style emails coming through rather than more complex and important emails from course members after more information or writing a proposal response for a large campaign request.
3. Write short and effective responses
Writing polite, well written but short and effective email responses is something that takes practice. When sent a detailed and long email from a reader, we often feel the need to reciprocate and give a lengthy response. As nice as that is to do, for most bloggers it simply isn’t practical.
The other extreme is that it can be tempting to make our way through our inbox, by creating some email tennis – that is we respond to an email with a question with another question to lob the email ball back on their side of the court. This just clogs up both inboxes and requires more work in the long run.
When replying to emails, ensure that you write only what you need to and make it as easy as possible for there to be a resolution for your email. If for example a prospective client wants to have a Skype call with you, either send a list of available times or even use a tool like Calendly to make organising the time simple and fast.

Session Zero: Confessions of an Uber Nerd
Just when you thought that the idea of a session zero wasn’t nerdy enough, along I come to show you how I recently upped the nerd-ante, hopefully to my benefit, the benefit of my players, and the game as a whole.
If you are not familiar with the concept of session zero, it is basically a session that takes place before the start of a campaign. In this session, the players and GM discuss what they would like out of the game, and often characters are created. If you would like to learn more about this idea, check out the delightful GnomeCast on the subject. Generally speaking, session zero is used by most groups as an opportunity to get all of the players on the same page regarding the campaign and their characters.
A couple of months ago, I began a new campaign with a group of six players. Five of those players have been in the group for several years. We had just finished a two-year game of Vampire: The Masquerade, and were now looking to play a campaign of the Kult horror RPG. An old friend was joining the group as a new player. I have grand ambitions for the game, and I thought I would start out by trying to make the most of my session zero. I had a few goals: I wanted to lay down the table rules, I wanted to discuss the framework for the campaign story, I wanted to get a sense of what my players were looking for from the game, and I wanted everyone to make characters.
Agenda
Yes, I created an agenda. Yes, I was roundly mocked for doing so. However, it did what a good agenda is supposed to do – it kept us on track, and kept the session moving along so that nothing important went unaddressed. Would you like to see it? Of course you would:

Note that this game is making use of two separate timelines, with two sets of characters (that whole idea is a discussion for another day). When crafting an agenda, I recommend that you consult with players via email prior to the session in order to see if there are any burning issues that they would like to see discussed.
Using this agenda not only facilitated a very productive session zero, but when one of my players says something like, “I think my character likes the idea of the end of humanity,” I have something to point to when I express my incredulity. In the end, this was a very valuable document, and our session zero had many productive discussions which continue to be referenced during the game when needed.

  What is that survey thing at the top of my agenda, you ask? In order to truly escalate this session into the upper echelons of nerdocity, I created a survey for all of us to fill out at the table and discuss. Note that this survey was created specifically for this campaign, so it has a variety of questions about horror and suspense. In crafting the survey, I took some inspiration from Chris Sniezak’s excellent article about the different types of fun:

  The key to using a survey of this nature during a session zero is to go through it at the table and have all of the respondents read out their answers. It was very illuminating for all involved. We discovered that one player didn’t love problem solving because she felt that she wasn’t very good at it. Another player loved exploring new environments best of all. Surprisingly to me, everybody liked graphic descriptions, but only one person felt that gaining treasure was important. Everyone thought that visual aids were important, but no one felt strongly about props. Some people felt that it was important to have a niche for their character in the group, but others did not; knowing this made everyone more sensitive about role-specialization during character creation, because even if it was not important to the person making the character, they recognized that it was important to others and didn’t want to step on toes.
This was a great experiment which wildly exceeded my expectations. The survey led to everyone understanding what the other players look for in a game, and it gave me some direction regarding how I spend my prep-time. Rather than invest two hours into creating a prop, I can spend that time looking for evocative pictures. I don’t have to have a lot of “treasure”, but I should make sure that I have some in order to satisfy one of my players. I don’t need to worry so much about censoring my descriptions of gore, because everyone is into that. When I have a big problem-solving session, I should make sure that I have something else for the player who is not into puzzles.
 The survey led to everyone understanding what the other players look for in a game, and it gave me some direction regarding how I spend my prep-time.

We Didn’t Finish Making Characters…
My agenda was so jam-packed that we didn’t end up finishing our character creation, which proved to be a bit of a problem during the first few games. However, I am not sure what I would sacrifice from my agenda in order to make sure that characters were completed. The survey was a goldmine of information that we have referred to many times over the first few months of play, and the other items of the agenda were all valuable. Should I have two session zeros next time? I can’t say that I would recommend that, but I will certainly give some thought to how I can make even better use of this time in the future.
