Social Engagement: Individual Progress Report 2

No meetings were held as most works were already assigned before hand and only updates were received.

Supreme Committee

We have been working along with other departments to ensure their tasks are running well. Next Wednesday 10th of April, Jason, Afiq and one of marketing team Jerry/Jia Huei will be going down to SMK Bandar Damai Perdana during their ceremony to announce to student and invite them to the workshop. Forms of participant will be given to the teacher for students who are interested to fill up. 

Sales and Logistic Department The team have been getting the quotation for the t-shirts, notebooks and bunting. They have informed the supreme committee of their opinions about the printing and worked closely with the Media team on the design of the t-shirts. They have also obtained the sizing charts of the t-shirts.

Regarding the quotation, the price are as the following ;

For 100pcs t-shirt (8-10 working days) : 1. cotton shirt RM 20.16/pcs 2. microfiber shirt RM 23.36/pcs

For ~60 notebooks with 100 pages (16 printed page) (8-10 working days) 1. RM 13/PCS (to be updated as we don't want blank pages)

For bunting (2-3 working days): 1. RM 11.35/pcs (Stand separately)

Media Department

Samsung and MayBank are not able to sponsor due to commitments with other sponsorships

Masimo and Munchys take 30 days to response

No reply from the companies yet, 3 potential companies so far, MDEC, Sprintla and Huawei

MDEC: within around 1 week from now. depending on the fund

Sprintla: They will look into it

Huawei: they will get back to us within 3 to 4 working days.

Companies have raised issue of location not being finalized.

Dividing job scope to grouping under HR team (through different whatsapp group for each groups.)

Choice of school for our project is confirmed which is SMK Bandar Damai Perdana and as of next week there will be a promotion for our project at the school to the students.

Jasmoon provided current expenditure that we have used,

Due to increasing of expenses, he suggested to use google form as our platform for feedback form and e-certs for student’s certificate. Jason is in process of drafting the feedback form while physical certificates are remained and sponsored by Dr. Reza for the latter.

Summarization of transport was prepared by Afiq and sent to the bus company through Shahku,

To summarise the perjalanan

At 7.00 am UM -> SMK = 41 students

At 11.45 pm SMK -> UM = 25 (Sent students back to UM)

At 12.30-12.45 pm UM -> SMK = 24 students

At 6.45/50 pm SMK -> UM = 40 students

Afiq then prepared final list of allocated students along with their task for morning session and evening session. Announcement was sent to the main group.

Have changed choice of printing shop for t-shirts from print expert Sdn Bhd to Printkaler APS Group Industry Sdn Bhd.

The order for t-shirt has been placed and deposit has been made. We should receive the t-shirts on 24th .

Placed an order for bunting which was supposed to be received on 18th.

Received the final notebook module and order placed.

Progress within 11th to 17th of March 2019.

Supreme Committee

On 14th of April, Jason and Afiq went to SMK Senawang to negotiate regarding the invitation of the workshop however it was rejected by Jabatan Pelajaran Negeri - Unit Perhubungan due to the date of the workshop.

Change of date were then discussed along with the overall proposal on 15th of April with Dr. Reza and Departments.

A new date were chosen which is on 28th of April by going to schools and have the workshop there instead. A few schools were suggested:

- SMK Bandar Damai Perdana - Shahku (Head HR) will try to contact them asap - SMK La Salle - Julian (Head Sponsorship) will try to contact them asap - SMK Senawang - Afiq (Vice Director) has contacted them (Last option because pros: they provide food fully for us)

Along the visit to school, a survey on the school’s computer lab facilities will be conducted. Once a school given their approval, HR Department will obtain approval by Jabatan Pelajaran Negeri - Unit Perhubungan.

A detailed agenda is provided below from 15/3/2019 meeting.

AGENDA - 15/3/2019 1.  Changes of date of workshop day - Our date of workshop (4th of May) was rejected by Jabatan Pendidikan Negeri New proposal were given for the changes, New Date: 28th April 2019 - Sunday Go school instead to teach them (within Selangor) Pros: - Lower cost for transport (UM Bus Rent - RM2/km within KL , outside KL RM200) Cons: - Uncertainty on how big the school's computer lab and its facilities Dr's Suggestion: Check out the school first for surveying

Suggested schools: - SMK Bandar Damai Perdana - Shahku will try to contact them asap - SMK La Salle - Julian will try to contact them asap - SMK Senawang (Last option because pros:they provide food fully for us)

2. Trello Board Those who have yet to register themselves to Trello board please register as soon as possible as there are tasks given in the board.

3. Shifting the tasks of work Approach team members who would like to join committee in order to settle works faster. (HR team do take note and inform Secretary of this)

4. Sponsorship update - Once mended then will email it out to companies - Some benefitts: Logos on banners etc Package A: RM1001 and above Package B: RM501 - RM1000 Package C: RM 500 and below - Finalise benefits to each package and send to top committe by Sunday 17th March 2019. - Do try to make it in table form, Jason will update more soon. - Chan will upload template soon too.

5. HR update - They will be the one to obtain approval from Jabatan Pelajaran Negeri - Unit Perhubungan once a school is confirmed. - Changes of team will be made due to change of approval - Elect a Leader for each teams - Facilitator need to teach well in a fun manner to not seem uninteresting - Helpers team does head count etc. - If school don't provide food, search out and survey prices - Transportation, contacting HEPA for bus.

6. Sales and Logistics update - Survey price of the notebooks (depending on the design)

7. Media Updates - Designing ring notebooks - Meeting for discuss overall design language and theme resolves around by next week - Will now only be Media Department

8. Marketing Updates - Will add on new members (2) add-on task - In-charge of distribution of sales shirt. (Sales no longer in-charge of distribution).
