Help / How to Use the AI Report Card Generator
This add-on helps teachers generate personalized, standards-based report card comments using AI. It supports Google Gemini, OpenAI, and DeepSeek. Below are detailed steps to set up your API key and use the tool effectively.
⚠️ Note: Some AI providers require payment or a billing setup to use their APIs. This add-on does not provide or resell API keys — you must obtain and manage your own.
1. How to Get an API Key
Google Gemini (via Google AI Studio):
Go to Google AI Studio.
Sign in with a personal Google account (not all school accounts work).
Click "Get API Key" and create a project if prompted.
Copy the API key provided and keep it safe.
⚠️ If you're using a Google for Education account, your school IT admin may need to enable access to Google AI Studio and allow Gemini APIs.
OpenAI (ChatGPT API):
Go to https://platform.openai.com/signup and create an account.
Once logged in, visit API Keys page.
Click "Create new secret key", name it, and copy the key.
⚠️ A ChatGPT Plus subscription does not include API access. The API is a separate service that requires setting up billing in the OpenAI Platform. New users typically receive $5 in free credits, valid for 3 months.
DeepSeek:
Go to https://platform.deepseek.com and log in or create an account.
In your dashboard, go to the API Keys section.
Click "Generate New API Key", name it, and copy it.
⚠️ DeepSeek may also require billing details or usage limits — check their dashboard for terms.
2. Launch the Sidebar
In your Google Sheet, click on the "AI Report Cards Comment Generator" menu.
Click "Open Sidebar".
3. Configure Your Inputs
Select your AI provider and paste the API key.
Click "Select Range" buttons to pick:
Headers Range: The row with column names (e.g., "Student Name", "Standard 1 Grade").
Data Range: The student data (below the headers).
Set your desired maximum character limit (default is 500).
4. Choose a Prompt Type
Guided Prompt: Fill in structured fields like class name, standards, and grading methods.
Custom Prompt: Write your own AI prompt manually if you prefer full control.
5. Preview and Generate
Click "Preview and Generate".
Review the generated prompt and click OK to confirm.
The AI will create comments and write them to the target column, with a backup in the next column.
6. Other Menu Options
Load Example Sheet: Loads sample student data to experiment with.
View Terms of Service: Read data usage responsibilities and conditions.
Help / How to Use: Reopen this guide.
If you're stuck, please make sure:
Your API key is correct and active.
Your headers and data ranges don’t overlap.
You’ve selected the right AI provider and inputs.

This add-on does not collect, store, or transmit any personal data from users. It operates entirely within the active Google Sheet session and processes data locally between the spreadsheet and the AI API you choose to connect to.
2. Use of API Keys
API keys for OpenAI, Google Gemini, or DeepSeek are entered by the user and used only during that session. The add-on does not store, log, or transmit API keys to any external server. The user is fully responsible for managing and protecting their API key.
3. Third-Party AI Services
This add-on sends selected spreadsheet data to a third-party AI provider (OpenAI, Google Gemini, or DeepSeek) based on your selection. You are responsible for understanding and accepting the privacy policy and data handling practices of the AI provider you choose.
