GEMS Launches Online Application Services for Exhibitors
Orlando, Fla. – March 4, 2012 – Gilbert Exposition Management Services (GEMS) announces the launch of their new online ordering and management software, which they are making available to show management and exhibitors at all of their shows at no cost. GEMS TS is a web-based software service for exhibitors that allows mobile online ordering, real-time show management, and changes to orders���all without the use of paper.
GEMS managers say they understand the need for efficient processes and that this new software will help show management and exhibitors eliminate errors caused by faxing information, which often results in lost information, entry mistakes, and inefficiency in making needed changes. Exhibitors report that the new service gives them a tremendous lift in managing their products and services through a very streamlined, secure ordering system. Exhibitors and show management alike say they love the security and having mobile access to their information because it eliminates errors and increases the ease at which additional items can be purchased.
GEMS President Ken Gilbert says he understands tradeshows and the need for exhibitors to order products and services for their space during the show so that they can focus on their customers. A few questions were posed to Gilbert:
What do you think are the immediate impacts to exhibitors?
Gilbert: “The immediate impact is the ease of use and the 6-hour window to make any changes. We have made this system user-friendly and unique in our industry. The implications for tradeshows are huge! As a no-cost, value-added service and because of the elimination of paper, exhibitors are quite pleased with the accessibility of their orders and order information. They immediately feel the impact, and the biggest example of this is when account management and order modification takes place onsite in real time through the exhibitor mobile device.”
How has the partnership with software developer Vertiglo in creating this application led to better service?
Gilbert: “Vertiglo is a tech-savvy company that has done a lot of research on how the general service contractors industry operates, and through months of research prior to the partnership with us, they gained an understanding of how important ease of use is, as well as the type of unique ordering that takes place within the industry. This knowledge and the real-time ordering and summaries helped to make the system we have now improve our ability to serve our customers just as we always have—on time and accurately.”
In the first few months of the application being live, over 1200 exhibitor user accounts were created. What are your thoughts on this?
Gilbert: “This number will increase each and every day until all GEMS customers use the system. We [GEMS and Vertiglo] realize that some of GEMS’ customers have used an inefficient method for a long period of time, so walking them through the new system and the benefits of such a system will take only one time. They will be utilizing the new system as we move forward.”
What do you see as the next steps for this application?
Gilbert: “We are always looking to increase our show services. Planned application improvements and additions include more real-time data access with freight services and other engagement information.”
What are the four best features of GEMS TS?
Gilbert: “Customers who are already using the system especially appreciate the security of their online orders, the accessibility of all information, the accuracy of orders and show information, and the flexibility of show data, which appears in real time.”

Gilbert Exposition Management Services Releases Tips for Exhibitors on Shipping to Shows
Orlando, Fla. – Feb 27, 2012 – Just in time for the spring expo and conference season, Gilbert Exposition Management Services (GEMS) has released an important list of reminders for exhibitors who will be shipping items. GEMS managers say each exhibitor’s success depends largely on whether their items arrive in a timely fashion, so staying organized is essential.
GEMS President Ken Gilbert has these tips for exhibitors who are sending shipments to the locations where they will be showing:
1. Ship everything in advance so that when they get there, the shipment is already there. Gilbert says the number one mistake exhibitors make is shipping things too late, which results in them not arriving on time. He recommends having them at the expo site before exhibitors arrive so that they will know within minutes whether all of their shipments made it to the site.
2. Use brightly colored labels to make it easy to separate their shipments from others. According to Gilbert, many exhibitors fail to label their shipments clearly or simply can’t sort them out because they have used white labels that look like everyone else’s labels.
3. Send a copy of all bills of lading to exhibition management when shipping so if the shipments did not arrive, it is easy for project coordinators to assist them in tracking their shipments. GEMS managers say taking part in an exhibition becomes exceedingly stressful when shipments have not arrived as planned, but having someone to help track them down makes the process much easier.
4. Try to avoid splitting shipments, but if you need to do so, ship everything at the same time. This makes for easier tracking because if one package has arrived, then it’s likely the other package is there someplace as well.
5. Think about whether items should be rented or purchased onsite rather than shipped. GEMS managers suggest renting a modular unit so the booth can be already set up at the site and waiting for the exhibitor when he/she arrives. This saves the exhibitor shipping costs and possibly extra travel days and extended hotel stays. They also suggest purchasing graphics onsite so that they will be at the booth when the exhibitor arrives.
