How easy is it to fudge your scientific rank? Meet Larry, the world’s most cited cat
-Christie Wilcox
Reposting whole text cos paywall:
Tumblr media
Larry Richardson appeared to be an early-career mathematician with potential. According to Google Scholar, he’d authored a dozen papers on topics ranging from complex algebras to the structure of mathematical objects, racking up more than 130 citations in 4 years. It would all be rather remarkable—if the studies weren’t complete gibberish. And Larry wasn’t a cat.
“It was an exercise in absurdity,” says Reese Richardson, a graduate student in metascience and computational biology at Northwestern University. Earlier this month, he and fellow research misconduct sleuth Nick Wise at the University of Cambridge cooked up Larry’s profile and engineered the feline’s scientific ascent. Their goal: to make him the world’s most highly cited cat by mimicking a tactic apparently employed by a citation-boosting service advertised on Facebook. In just 2 short weeks, the duo accomplished its mission.
The stunt will hopefully draw awareness to the growing issue of the manipulation of research metrics, says Peter Lange, a higher education consultant and emeritus professor of political science at Duke University. “I think most faculty members at the institutions I know are not even aware of such citation mills.”
As a general rule, the more a scientific paper is cited by other studies, the more important it and its authors are in a field. One shorthand is the popular “h-index”: An h-index of 10 means a person has 10 papers with at least 10 citations each, for instance.
Inflating a researcher’s citation count and h-index gives them “a tremendous advantage” in hiring and tenure decisions says Jennifer Byrne, a cancer researcher at the University of Sydney. It also drives the business model of shady organizations that promise to boost your citations in exchange for cash. “If you can just buy citations,” Byrne says, “you’re buying influence.”
Enter Larry the cat. His tale began a few weeks ago, when Wise saw a Facebook ad offering “citation & h-index boosting.” It wasn’t the first promo he and Richardson had seen for such services. (The going rate seems to be about $10 per citation.) But this one linked to screenshots of Google Scholar profiles of real scientists. That meant the duo could see just which citations were driving up the numbers.
The citations, it turned out, often belonged to papers full of nonsense text authored by long-dead mathematicians such as Pythagoras. The studies had been uploaded as PDFs to the academic social platform ResearchGate and then subsequently deleted, obscuring their nature. (Wise and Richardson had to dig into Google’s cache to read the documents.) “We were like, ‘Wow, this procedure is incredibly easy,’” Richardson recalls. “All you have to do is put some fake papers on ResearchGate.”
It’s so easy, Wise noted at the time, that a quickly written script to pump out plausible-sounding papers could make anyone highly cited—even a cat. “I don’t know if he was being serious,” Richardson says. “But I certainly took that as a challenge.” And he knew just the cat to beat: F.D.C. Willard. In 1975, theoretical physicist Jack Hetherington added his Siamese to one of his single-author papers so the references to “we” would make more sense. As of this year, “Felis Domesticus Chester Willard” has 107 citations.
To break that record, Richardson turned to his grandmother’s cat Larry. In about an hour he created 12 fake papers authored by Larry and 12 others that cited each of Larry’s works. That would amount to 12 papers with 12 citations each, for a total citation count of 144 and an h-index of 12. Richardson uploaded the manuscripts to a ResearchGate profile he created for the feline. Then, he and Wise waited for Google Scholar to automatically scrape the fake data.
On 17 July, Larry’s papers and 132 citations appeared on the site. (Google Scholar failed to catch one spurious study, Wise notes.) And, thus, Larry became the world’s most highly cited cat. “I asked Larry what his reaction was over the phone,” Richardson told Science. “I can only assume he was too stunned to speak.”
Although Larry’s profile might seem obviously fake, finding manipulated ones usually isn’t easy, says Talal Rahwan, a computer scientist at New York University Abu Dhabi. Earlier this year, he and Yasir Zaki, a computer scientist at the same institution, and their colleagues scanned more than 1 million Google Scholar profiles to look for anomalous citation counts. They found at least 114 with “highly irregular citation patterns,” according to a paper posted in February on the arXiv preprint server. “The vast majority had at least some of their dubious citations from ResearchGate,” Zaki says.
ResearchGate is “of course aware of the growing research integrity issues in the global research community,” says the company’s CEO, Ijad Madisch. “[We] are continually reviewing our policies and processes to ensure the best experience for our millions of researcher users.” In this case, he says, the company was unaware that citation mills delete content after indexing, apparently to cover their tracks—intel that may help ResearchGate develop better monitoring systems. “We appreciate Science reporting this particular situation to us and we will be using this report to review and adapt our processes as required.”
Google Scholar removed Larry’s citations about 1 week after they appeared, so he has lost his unofficial title. However, his profile still exists, and the dubious citations in the profiles that were in the advertisement remain. So, “They haven’t fixed the problem,” Wise says. Google Scholar did not respond to requests for comment.
It’s not the first time somebody has manipulated Google Scholar by posting fake papers. In 2010, Cyril Labbé, a computer scientist at Grenoble Alpes University, invented a researcher named Ike Antkare (“I can’t care”), and made him the sixth most cited computer scientist on the service by posting fake publications to Labbé institutional website. “Impersonating a fake scientist in a cat is very cute,” Labbé says. “If it can be done for a cat, it can easily be done for a real person.”
For that reason, many researchers would like to see less emphasis on h-index and other metrics that have “the undue glow of quantification,” as Lange puts it. As long as the benefits of manipulating these systems outweigh the risks and costs, Wise says, people are going to continue to try to hack them. “How can you create a metric that can’t be gamed? I’m sure the answer is: You can’t.”

I hate to be the bearer of frustrating news, but in case some of you who frequent Founders Online (like I do) and have noticed an extreme spike of 503 “Service Temporarily Unavailable” errors, making access to the site impossible for periods of time, the team posted the explanation below:
Tumblr media
Founders Online performance issues
19 May 2025: Founders Online is experiencing periodic degraded performance owing to extreme spikes in traffic caused by excessive website crawling, associated with content scooping from AI platforms and other indexers. We are working on a viable fix within the constraints of our server resources.
This is very unfortunate and very disgusting. I’m glad that they are trying to fix the issue, but it breaks my heart that they even have to put in the effort. From personal experience working as a student technician in my university’s Preservation Department, where my primary task is to digitize all sorts of old materials—books, newspapers, photographs, etc, and collaborate on how those items should be handled and scanned so that their digital copies can be presented and made accessible in the right ways, it takes A LOT of work just to digitize one item. Almost all of the documents you see on Founders Online are digital copies of the book pages from where these transcriptions originated—series’ of the founders papers that were printed in the last 70-80 years by university presses. Books that, when Founders was launched 15 years ago, were all between a few years and many decades old, and difficult for the general public to access. Of course, I don’t know the Founders team’s exact process for making the archive when they first started, nor do I claim to be the preservation expert by any stretch of the imagination, but I have a big hunch that it took many hundreds of hours, and likely continues to do so for the remaining volumes they intend to add to the site, to make Founders Online as it appears and maintain its usually fast performance.
AI in general frustrates me, but to see that this extremely valuable archive has now gotten caught in the scooping net makes me equally sad and angry. If you want to gather documents from the site, but will later be offline, you have the ability through the site to download PDF files of individual documents and print them. Most of the material is also in the public domain as well (not all, however—any annotations to a document are copyright of the institution which originally published those physical volumes I mentioned). AI scooping this archive for information to feed to language learning models is a waste of time, energy, and money, and is a violation of copyright law. At the risk of causing performance issues and affecting the servers that make Founders possible, this activity is potentially detrimental to historic preservation and access to historical knowledge. Those hundreds of hours the teams behind the site have worked also come into play: this site is their baby, their hard work, and it’s being stolen. And as a result, everyone’s ability to easily use the site without issue is being affected.
I am extremely fortunate to be in a position where I have been able to acquire a personal backup system for what I primarily use Founders for (my volumes of The Papers of Alexander Hamilton), and more so in that through my university, I have access to the rest of the physical series that make up the archive. So this current issue with the site being slow on performance and frequently down does not inconvenience me much. But this is a privilege. Founders Online was created to get around that privilege and allow for everyone (with an Internet connection) to access these important historical documents. I cannot hammer down to you just how important and valuable that is. Founders Online is an invaluable resource that deserves to be maintained and protected. I’m thankful that the team behind it are working diligently to do just that, but they should never have had to combat AI stealing their hard work and affecting the usability of the site in the first place.

If I’m being honest, the most useful skill for hacking is learning to do research. And since Google’s search is going to shit, allow me to detail some of the methods I use to do OSINT and general research.
Google dorking is the use of advanced syntax to make incredibly fine-grained searches, potentially exposing information that wasn’t supposed to be on the internet:
Some of my go-to filters are as follows:
“Query” searches for documents that have at least one field containing the exact string.
site: allows for a specific site to be searched. See also inurl and intitle.
type: specifies the tor of resource to look for. Common examples are log files, PDFs, and the sitemap.xml file.
Metasearch engines (such as SearxNG) permit you to access results from several web-crawlers at once, including some for specialized databases. There are several public instances available, as well as some that work over tor, but you can also self-host your own.
IVRE is a self-hosted tool that allows you to create a database of host scans (when I say self-hosted, I mean that you can run this in a docker container on your laptop). This can be useful for finding things that search engines don’t show you, like how two servers are related, where a website lives, etc. I’ve used this tool before, in my investigation into the Canary Mission and its backers.
Spiderfoot is like IVRE, but for social networks. It is also a self-hosted database. I have also used this in the Canary Mission investigation.
Some miscellaneous websites/web tools I use:
SecurityTrails: look up DNS history for a domain
BugMeNot: shared logins for when creating an account is not in your best interest.
Shodan/Censys: you have to make an account for these, so I don’t usually recommend them.
OSINT framework: another useful index of tools for information gathering.

Here’s my long awaited ramble about why I love constitutional monarchism. I’m almost entirely referring to the British monarchy here because I am British and live in Britain.
In a constitutional monarchy, your monarch is a figurehead. A unifying figure for the people of the nation. The monarch is like a living embodiment of centuries of your nation’s history. So on and so forth. King George VI stayed in London during the Blitz for example, showing solidarity with his people and acting as a symbol of Britain’s unwavering determination in WWII. The king is still in London, we are still in London. Here we are still, facing the music. Et cetera. The monarch is a non-partisan figure, acting as a unifying figurehead when partisan politics become increasingly divisive. I like constitutional monarchism in particular because I feel that the monarchy and the government have this symbiosis wherein they both ensure the other is acting constitutionally. Say some undemocratic group tried to coup the government, the king could dissolve parliament. The constitution limits the monarch so society remains democratic. Constitutional monarchy is this combination of the best parts of democracy and the best parts of monarchy in my opinion. Heads of government can come and go but a monarch remains as long as they live.
So why a constitutional monarchy rather than a republic? In a republic, the president represents their party, not the nation. Their allegiance belongs to the party. Their allegiance belongs to securing reelection, protecting their image, and so on. However, the monarch represents the nation. The monarch’s non-partisan alignment allows them to act a figurehead for the whole country, not just the Labour Party for example. Thus ensuring stability. When Britain faces its darkest hours, the people can look to the monarch as a symbol of British identity and so on (again George VI during WWII). The roles of head of state and head of government are separated under a constitutional monarchy. This removes some of the burden for holders of both of these roles. Governments can be volatile (like Liz Truss’ disastrous premiership). However, the monarchy is infallible. When the monarch rises to the throne, they swear an oath to serve their nation for life. Hardly a legitimate point but it’s more fun than a republic. The pomp of it all is fun. It looks amazing. The coronations and the crowns and the palaces and everything looks so cool.
The heir is raised to take the throne when their parent dies. Thus, they spend their life preparing to take on this role. They are raised knowing that they have a great responsibility to fulfil. They know the role that will one day fall upon them, so they are trained for this role.
Now, the cost. The Sovereign Grant funds the maintenance of royal residences and the official duties of the head of state. In exchange, the monarch sacrifices revenue from the Crown Estate. In 2022-23, the total Sovereign Grant amounted to £86.3 million, around £1.29 per person in the U.K. Here is the royal family’s financial reports for 2022-23. As of 2024, the Sovereign Grant is set at 12% of the Crown Estate’s revenue. The Crown Estate amassed £1.1 billion net profit in 2023-24. Here is parliament’s website about the monarchy’s finances. The net recurring benefit of this is estimated to be £197 million annually and the non-recurring benefit to be £761 million (https://researchbriefings.files.parliament.uk/documents/CBP-9807/CBP-9807.pdf)
Furthermore, I think a constitutional monarch maintains democracy through acting as a figurehead and the power to dissolve parliament in the event of figures in parliament threatening democracy. Here is The Economist’s Democracy Index. Notice that quite a few of the highest ranking nations are constitutional monarchies (so Norway, Sweden, Denmark, and the Netherlands).
Another thing I would like to add is that generally members of the royal family engross themselves in charities and the like. HM King Charles III, for example, is a staunch environmentalist and has been for many decades. He’s campaigned for things like the environment and sustainability and walkable cities and so on. For example, the town of Poundbury in Dorset and his founding of Duchy Originals (now partnered with Waitrose) - whose profits go The Prince’s Charities. Furthermore, Prince William also founded the Earthshot Prize in 2020 which awards £1 million to winners that contribute towards environmentalism. The royal family also funds the arts, for example, King Charles III is a patron of the Royal Philharmonic Orchestra.
To conclude, I believe constitutional monarchy is the most beneficial system of government because of the continued stability it offers to a nation. The monarch is a non-partisan head of state and thus the people unite under the monarch as a symbol of the nation and its rich history and traditions. Both democracy and monarchy work together in this symbiosis to uphold each other. The constitutional monarchy is the culmination of centuries of history, it has evolved and grown from autocracy to the modern day’s liberal democracy.

Thank you for writing Orphan's Path. As a queerplatonic person I really enjoy Queerplatonic emerald duo. I also enjoy it in many ways in general and it's in general one of my favorite series that have ever been made. It's truly a piece of art and I look forward to other things you write.
I know Images in the Orphan's Path series are broken because of the whole thing with discord canceling hosted images. I downloaded the entirety of Orphan's Path way before that and I was wondering If I had permission to upload Orphan's Path as one big combined PDF onto the internet archive? Since the images in this PDF aren't broken like they are on archive.org
we'll be working on moving the original images to here as a new file host (i might make a new sideblog for it), but you're still free to put it on the internet archive for archival purposes as long as you include the updated series note on the current situation. we'd like for you to give us a link so we can share the resulting file as well.
my only concern would be the loss of alt text for the images, so ideally put some kind of index for the alt text in the document, but that's not something we demand of you since this is entirely volunteered on your end. we're very touched that you want to take the steps to preserve this work in this way.

Do you have sources for any of the things you've been talking about lately (the different programming types, hc-did, basically all of it)? I'd really like to do some more reading on this stuff but I've found a grand total of One book and most of the rest of the stuff is social media posts with no references, or references to other social media posts :(
Our top three “sources” are usually our system, late night conversations with irl friends, and social media.
The biggest issue isn’t actually a lack of resources, but a lack of good resources. Survivors put out material before they realize they got something wrong. The clinicians that work with us are the same, and the first generation of papers were shots in the dark and fear of lies that hadn’t been exposed yet.
There’ll be a lot about a big, networked Cult, usually either the Illuminati or Luciferians. Plenty of government conspiracy theories, references to projects that sometimes do get evidence. Then there’s the regular racism and Christian lens.
If you’re looking for overviews and definitions, they got taken down here are some good websites:
https://www.ra-free.org/complexities-of-identifying-ritual-abuse - not a lot of information, lists studies and professionals
https://endritualabuse.org/full-article-index/ - lots of good articles, some really helpful, others had me cocking my head
https://www.cherylrainfield.com/articles-cult-abuse/ - more about the author than the issue, some useful links on that page
There used to be more. Two others, one about spin programming and one about colors, are still up, but a little out there. You’ll know if you see them
Some books with more details. Not good books, just books:
https://ia803208.us.archive.org/34/items/BecomingYourself.Miller/BecomingYourself.Miller.pdf - the single best thing I’ve found and I still have complaints, this version is unformatted but free
https://ia803400.us.archive.org/28/items/chainless-slaves-annotated/Chainless%20Slaves%20-%20Annotated.pdf - I didn’t like it, lots of certain language for iffy concepts, has a list of programs and alter roles
https://citeseerx.ist.psu.edu/document?repid=rep1&type=pdf&doi=89e823aedc9c69ffd8d715757c86878af27c37c9 - not a fan, also lots of funky ideas and hate-based rhetoric, has lists of programs and cues
There are lots of survivor autobiographies and outsider opinions, but I don’t have free links to those
Keep in mind that getting out of a high control group sucks ass, and most accounts (even if they claim to have healed) have the remnants of the abusive ideologies.
I still prefer hearing from other survivors what happened, and I find it easier to validate people I can easily contact. I’ll keep the webpage if I find anything I can’t just Google, but this is what I can pull right now.
It’s not great, buddy, but it’s something.

Haven't done a computer status update in a little bit. Raspberry Pi media server has been psuedo-retired. It's currently still functioning as a media server for a christmas display at my wife's work until the end of December.
It has been successfully replaced by the Dell Optiplex that I got from work. I was able to skip the process of building a migration script for the server (to allow files to be moved and refound via filename & hash), but only because I've been mapping storage outside the server's webroot via link files in the upload directory. So on the new HD the files are actually in the upload directory rather than linked to it. As far as the server knows they're in the same place.
I transferred the software between machines by making a new install of vogon on the optiplex and then importing a mysqldump of the existing install into it, bringing the user accounts, media data, and other configuration elements with it. I did end up changing the storage engine of the data and data_meta tables into innodb (from isam) and adding some additional indexing. There were some noticeable performance differences on the generated join queries between servers. We were looking at 7sec+ lookup times for searches in the audio module. I'm still not sure if it's a mariadb version difference between raspbian and ubuntu lts, if something got corrupted in the export/import process, or if it was some strange storage lookup difference between running the database off of a SETA Hard-Drive versus an SD card. I initially thought maybe it was a fragmentation issue, but the built in optimization processes didn't really impact it, but with the adjustments to the indexing we're regularly getting query times measured in microseconds versus seconds, so it's working pretty well now.
The x86 processor and the faster storage (without the power dropout issues) have really improved the experience. Especially with reading comic books.
If I haven't explained it before, the way the CBZ reader works is that it sends a file list from the archive to the browser, the browser requests an image, and the server extracts the image data into RAM, base64 encodes it, and sends it back to the browser. It's a process that is bottlenecked by both CPU and storage speeds, so it's noticeably snappier on the new machine, even if the CPU is over a decade old at this point.
I'm actually considering taking a crack at forking mozilla's pdf.js to work a similar way, sending a page of data at a time, to decrease transfer times and allow lower memory devices to open large PDFs without having to actually download the whole thing. I suspect that means I'm going to have to build smaller single page PDF files on the fly, which would mean coming up with some kind of solution for in document links. I'm still in the phase of deciding if it's enough of a problem to put effort into solving, so I haven't done enough research to know if it will be easy or difficult. It's always hard to tell in situations like this because just about every web reader project assumes downloading the whole file, and the question is do they do it this way because it's hard to sub-divide the format, or do they do it because full clientside logic can be demoed on github pages.

Hello! Do you have any resources or anything for someone looking to get into sports PR?
Hey anon! Absolutely I do :) For the sake of simplicity, I chose articles and videos that are easy to access , and I chose ones on topics that form the foundations of sports PR. There is a blend of articles, academic materials, and opinion pieces that should give you both the foundational knowledge of sports PR and a feel for some of the more debated and/or controversial aspects of sports PR. \
This one takes the more classical understanding of PR and recontextualizes it into sports, so you get a good sense of what PR normally does, and how it is then taken and applied into the sporting context: https://www.researchgate.net/publication/50207137_Sport_Public_Relations_and_Communication
This one is good for understanding why sports PR is a political and socioeconomic function, and the ways in which it has become entrenched in the lives of athletes , their teams and the ecosystem of sports themselves: https://www.degruyter.com/document/doi/10.1515/humaff-2015-0008/html
I know that sports announcers and commentators hold a lot of interest amongst motorsports fans so this one is useful in understanding the role that they play and why it is that what they say matters to fans, athletes, teams etc (uses rugby as an example in case anyone was watching the rugby world cup this year): https://www.sciencedirect.com/science/article/abs/pii/S0363811108000283
I recommend the international journal of sports communication in general, but this particular one touches on parasocial relationships and PR: https://journals.humankinetics.com/view/journals/ijsc/13/3/article-p586.xml
This is about motorsports and sponsorship linked marketing: https://www.journalofadvertisingresearch.com/content/41/1/17.short

Conversational AI in Healthcare: 7 High-Impact Use Cases
Tumblr media
Open AI’s ChatGPT dropped and went mainstream in November 2022, and since then, businesses of all sizes, in B2B and B2C, across industry verticals, are looking to integrate Conversational AI or Generative AI into their workflow. The end goals, unlocking efficiency, productivity, and time-to-market. Additionally, companies want to expedite their processes and create convenience. So, it was a matter of time before healthcare embraced the same.
Healthcare faces a myriad of bottlenecks, from EHR errors to staffing issues, diagnostic delays, and nonspecific care. They’ll need to welcome any evolving technological inflections in their ecosystem — one of them being Conversational AI. These agents can help future-proof their infrastructure, realize intrinsic value, and pass on extrinsic value to improve patient outcomes. So, what are some value-oriented use cases of conversational AI in healthcare? Let’s dive in!
Use Cases of Conversational AI in Healthcare
1. EHR Document Management: Repetitive and error-prone wasteful administrative tasks can be automated with AI. It will transcribe, summarize, and update electronic health records (EHRs), in addition to assisting with indexing, retrieval, and categorization. When needed, you’ll be able to locate it right away. A couple of conversational prompts and the relevant answers appear on the screen — no wasted clicks on drop-down menus, radio buttons, and fields. It’ll recognize records and templates on the files, read the data against it, and accurately auto-populate the same on the screen.
This feature along with Optical Character Recognition (OCR) tech helps office staff digitize paper records. Clinicians can access and review a patient’s medical history from PDFs, Docs, etc., effortlessly in real-time. All they have to do is ask. E.g., “What were the blood test results for Dave?” Natural Language Processing (NLP) and conversational AI with data parsing and semantic abilities can interpret unstructured data in diagnostic reports and convert it into structured formats.
2. Helpdesk Automation: 24/4 staff-centric customer support is inconvenient and costly. Healthcare providers want to shrink this legacy system and embrace an automated natural language framework for handling patient queries. Conversational AI in healthcare can do just this. It’ll act as an extra lever for the content repository on the website. Instead of paying for resources, healthcare providers can save overhead costs with these multi-lingual, intuitive, and user-friendly interactive tools.
These AI-driven virtual assistants are equipped with NLP and sentiment analysis to automate and handle high-volume inquiries, provide immediate and accurate responses, and only escalate matters after a series of questions. From appointment scheduling to available hours, AI and ML chatbots learn on the go — acting as customer reps to automate workloads, reduce latency, and improve patient outcomes.
3. Clinical Decision Support (CDS): Doctors and physicians interact with a conversational AI tool to diagnose personalized treatment plans. It helps them determine the best course of action, from first-stage medicines to alternative solutions. The AI meanwhile is trained on vast and verified medical library data. These systems using ML algorithms aggregate patient data from electronic health records (EHRs), lab reports, and other unstructured documents to diagnose conditions in real-time.
The AI agent provides actionable insights at the point of decision-making, providing data-driven efficiency and accuracy even in complex medical diseases and pre-existing morbidities. The AI agent is tailored to such an extent that it could even flag potential drug interactions and identify emerging clinical patterns based on the patient’s current and historical medical KPIs. In essence, conversational AI helps augment the consultation and analysis phase.
4. Online Therapists: Mental health and emotional support through NLP, assists patients and therapists. The empathetic analysis of tone, content, and context helps to provide meaningful real-time assistance to distressed and psychologically traumatized individuals. The HIPAA-compliant, automated, affordable, and generative AI tool is a boon for patients who can’t find a therapist in far-off areas and for therapists who can attend to critical patients.
The situation can be escalated to a therapist if the patients seek next-level human support. Else, the AI agent’s data processing abilities are more than capable of adapting to the user’s mental state and conducting a holistic analysis to offer tailored interventions rooted in evidence-based clinical psychology. The cognitive behavioral analysis in interactive AI tools enables accessibility, guides users, and helps them cope better while freeing therapists/counselors from the preliminary workload.
5. Appointment Scheduling: Leveraging conversational AI, healthcare workers can be freed from the mundane and tedious activities of booking, rescheduling, and confirming appointments. No more manual reminder emails and phone calls, instead automate and leave the same to a conversational AI tool. It’ll sync with the patients, accept convenient dates & times, match with the right specialist, check availability, and send bi-directional alerts close to the date on SMS, email, and other platforms.
AI bots with conversational abilities eliminate scheduling conflicts, manual inefficiencies, and long hold times. These automated workers, powered by ML, can also proactively suggest ideal appointment times based on historical appointment and location data. So much so, that these agents can request confirmation close to the time slot and predict potential no-shows accordingly. In essence, hospitals, clinics, etc., automate the entire scheduling workflow to deliver quality patient-centric experiences.
6. Post-discharge assistance: No need to have resources follow up, track, and remind discharged patients. No need to have them check by phone, email, messages, or in person to ensure compliance with prescribed recovery plans. Instead leverage conversational AI, IoT, 5G, ML, etc., to empower staff and make it easier for patients to auto-report their health markers. Swimming in a Sea of Data: From Overload to Opportunity
Data has now become both a business’s greatest asset and its most formidable challenge. It’s the new oil, but like crude oil, raw data is messy, unstructured, and often unusable without the right systems in place.
Consider this: in 2012, IBM reported that the world was generating 2.5 quintillion bytes of data each day. Fast forward to 2025, and we’re creating 2.5 quintillion bytes every single minute. This explosive growth is staggering, and for most organizations, overwhelming.
Today, over 80% of enterprise data is unstructured, buried in emails, PDFs, videos, audio files, documents, chat logs, and more. It’s scattered across systems, departments, cloud drives, and inboxes, making it impossible to manage through manual processes. The result? Businesses are drowning in information, unable to find or use the data that matters most.
We’ll discuss why unstructured data is such a massive problem, how it poses risks to organizational health, and what you can do through smart, scalable data management strategies to turn chaos into competitive advantage.
Tumblr media
The Hidden Dangers of Unstructured Data Overload
Unstructured data is any data that does not have a predefined model or schema. Unlike structured data (think spreadsheets or SQL databases), unstructured data is messy, varied, and hard to index or analyze using traditional tools.
Why It’s a Problem:
Data Silos Are Everywhere  Information is often scattered across fragmented systems; CRMs, email inboxes, file shares, messaging platforms, and individual desktops. Without integration, these silos hinder collaboration, duplicate efforts, and obscure valuable insights.
Time Waste and Productivity Loss Employees spend 20–30% of their workweek just searching for information, according to IDC. That translates to roughly 8–12 hours per employee, per week. In a 500-person organization, this results in over $2 million annually in lost productivity.
Data Security and Compliance Risks Unmonitored, unstructured data significantly increases the risk of regulatory non-compliance and data breaches. The average cost of a data breach has reached $4.45 million, according to IBM. These incidents bring additional costs in legal fees, operational disruption, and long-term damage to reputation and customer trust.
Inaccurate Analytics Poor data quality caused by duplicates, outdated entries, or inconsistency leads to flawed analytics and unreliable AI outcomes. Gartner estimates that the financial impact of bad data costs organizations an average of $12.9 million per year due to misguided decisions and wasted resources.
Missed Strategic Value Buried within emails, customer reviews, support tickets, and reports are key insights that could influence strategic direction. Without tools to unlock these insights, companies risk losing competitive ground to more data-savvy organizations.
The Case for Proactive Data Management
To combat these issues, businesses must embrace enterprise-wide data management strategies; not as a tech upgrade, but as a strategic imperative.
At the core of this transformation are several key pillars:
1. Data Governance
Establish rules, roles, and responsibilities for how data is managed, accessed, and used. Governance ensures compliance and provides a framework for accountability.
2. Metadata Management
Metadata (data about data) helps catalog, classify, and make sense of vast content repositories. With strong metadata, you can track origin, context, usage, and structure of data assets.
3. Master Data Management (MDM)
MDM ensures consistency and accuracy of core data across all systems (like customer or product data). It eliminates duplication and provides a single source of truth.
4. Data Quality & Cleansing
Identify and fix inconsistencies, duplicates, and errors. High-quality data is essential for reliable analytics and AI.
5. Centralized Repositories
Move from fragmented storage to centralized, searchable data lakes or warehouses. Enables better access, security, and data lifecycle management.
Using AI to Tame the Unstructured Data Monster
Managing unstructured data manually is no longer feasible. Fortunately, AI and machine learning are now powerful allies in imposing order on the chaos.
How AI Transforms Data Management
Automatic Classification and Tagging
Natural language processing (NLP) tools can scan and automatically categorize documents, emails, and files by subject, department, or sensitivity level. This automation drastically reduces manual sorting and accelerates digital organization.
Efficiency Gain: Up to 80% reduction in manual data classification time, enabling staff to focus on strategic tasks rather than clerical work.
Content Extraction
AI-driven tools use optical character recognition (OCR) and speech-to-text technology to extract relevant information from documents, images, videos, and audio files.
Cost Impact: Organizations can reduce document handling costs by as much as 70%. Processes like onboarding, claims processing, and invoice management become 3–5 times faster.
Semantic Search
Unlike traditional keyword search, semantic search understands the context and intent behind a query. It retrieves the most relevant documents (even when the phrasing differs) leading to significantly faster access to needed information.
Time Savings: Cuts average search time by 50–60% and reduces duplicated work across departments.
Sentiment and Topic Analysis
AI can analyze customer-facing content like support tickets, emails, and reviews to extract sentiment and detect patterns in feedback, complaints, or requests.
Strategic Value: Helps companies prioritize product improvements, reduce churn, and proactively address customer issues. Also supports better alignment between customer sentiment and business priorities.
Anomaly Detection
AI algorithms monitor data access and usage patterns to identify irregular behaviour such as unauthorized access attempts or suspicious downloads before they become serious breaches.
Risk Mitigation: Reduces incident response times by up to 90% and helps prevent financial losses associated with fraud or data misuse.
“Companies have tons and tons of data, but success isn’t about data collection, it’s about data management and insight.”
— Prashanth Southekal, Business Analytics Author & Professo
Real-World Impact: From Data Swamp to Strategic Insight
Financial Services
A mid-sized regional bank was facing serious delays and inefficiencies in its customer onboarding process. New customer documents such as proof of identity, income verification, and compliance forms were arriving in multiple formats via email, fax, and scanned PDFs. Employees were manually reviewing and uploading them into the system, often duplicating efforts across departments.
The Solution:
The bank deployed an AI-powered document management system that used natural language processing (NLP) and optical character recognition (OCR) to automatically extract key information from incoming documents. The system then categorized and routed files based on compliance requirements and customer profiles.
The Result:
Onboarding time reduced by 50%
Manual document handling decreased by 70%
Improved audit readiness and regulatory compliance
Better customer experience through faster service and reduced paperwork errors
Manufacturing
A global manufacturing firm was grappling with unexpected equipment failures across its production lines. While structured data from sensors was being analyzed regularly, thousands of unstructured maintenance logs, technician notes, and incident reports were being ignored due to lack of standardization.
The Solution:
Using AI and machine learning, the company processed years of maintenance notes and equipment logs to identify recurring keywords, root cause patterns, and correlations with sensor anomalies. NLP was used to classify issues, link them to specific machines or parts, and rank their criticality.
The Result:
30% reduction in unplanned downtime
Identification of high-risk components before failure
Maintenance schedules optimized based on real failure trends rather than fixed intervals
A unified dashboard displaying both structured and unstructured diagnostics for better visibility
Healthcare
A hospital system serving thousands of patients annually found that much of its most valuable clinical information such as patient symptoms, treatment outcomes, and physician notes, were buried in unstructured electronic health records (EHRs). These narrative-based inputs were not being utilized in broader health analytics or treatment optimization efforts.
The Solution:
By integrating advanced NLP models trained on medical terminology, the hospital was able to extract structured insights from physician notes, diagnostic reports, and patient history narratives. These were then fed into a decision support system to assist doctors in real time.
The Result:
Enhanced diagnostic accuracy and treatment recommendations
Earlier identification of at-risk patients based on symptom patterns
Reduction in duplicated tests and procedures
Accelerated medical research through improved data accessibility and linkage
No matter your industry, if your business generates large volumes of documents, emails, support tickets, or reports, there’s likely a goldmine of insight hiding in plain sight.
Building a Sustainable Data Management Strategy
Transitioning from data chaos to clarity requires more than buying the latest tool—it requires cultural and operational change.
Key Steps for Implementation:
Audit Your Data Identify where data resides, what formats it’s in, and who uses it. Evaluate current risks and opportunities.
Define Goals Are you aiming to improve searchability? Reduce compliance risk? Drive analytics? Clarify your priorities.
Choose the Right Tools Use platforms that integrate AI/ML, allow centralized storage, and support automation.
Upskill Teams Train employees in data literacy and involve them in crafting data management policies. IT and business units must collaborate—this is not just a tech project.
Monitor & Evolve Data strategies aren’t static. Continuously monitor quality, usage, and security—and adapt as your business grows.
The exponential growth of unstructured data isn’t going to slow down, it will only accelerate. For businesses, the choice is clear: either continue to drown in a sea of disconnected data or learn to ride the waves with strategy, tools, and intent.
When managed well, data becomes a powerful force, enabling faster decisions, stronger customer experiences, and deeper insights.
So, are you managing your data or is your data managing you?
Take action today to build a smarter, safer, and more strategic approach to data management before the next wave hits.
