Author DIY Graphic Design - Tools and Technicalities
Previously in the Author DIY Graphic Design blog series, we have looked at:
The Basics of Design
Colour Theory
Typeface
Layout
These are all very theoretical based, and we have yet to discuss graphic design tools and technicalities. The theory is highly relevant because what you learn can be applied to an array of situations. The tools and technicalities are more constrictions on how you can integrate the theory. In the Layout issue, we go to explore some technicalities due to the nature of formatting a document. Now, we get to go further into the parts of a document and how to properly read the specs seen in print shops so you too can communicate with the printers.
Common File Formats
If you’ve worked on a computer, you must be familiar with file formats. Now, some computer settings hide the file format, but this can be disabled depending on your device. For example, most writers work in word documents which usually a .doc or a .docx.
For design work – and keeping in the scope of the series – such as a book cover, you will be looking at a range of file formats. Some of the common ones are below:
JPG: Used as a standard for web and print. A JPG file is for photos or high-detailed renderings, such as book covers.
PNG: This file format is on the web due to its support of transparency which works great for logos and icons. However, they are generally much more extensive in file size.
TIFF: A print file format that stores a lot of the original quality of the image, whether it was scanned from a scanner or exported from graphics software, like Photoshop.
PDF: A very versatile file format, often seen in print. A PDF can serve many functions and needs. Some print shops prefer if you only provide PDF formats of your designs.
PSD: The standard for Photoshop documents. Other graphics software can open PSDs.
SVG: A graphic format seen on the web that supports vector graphics, more info below.
What file format do you use?
Remember the common theme? Scope. Each of the file formats mentioned server a unique purpose. Recall what the scope is for your project and then you can make an educated decision. Read the specifications from the print shop, such as Kindle Direct Publishing, or on the printer company’s website. These will tell you what files they prefer.
Print Vs Digital
Some of the file types mentioned previously are in print and web. While others, such as TIFF, cannot. All files also have two primary specs that you should be aware of:
Colour Format: There are two main colour formats – and several less important ones – that everyone uses with graphic design. CMYK (Cyan, Magenta, Yellow, and Key Black) and RGB (Red, Green, Blue). Without getting too technical, CMYK is for print and RGB is for the web. If you end up using the wrong colour format, your colours will be a mess. Colour formats are controlled in the graphic design software of choice.
DPI: Dots Per Inch controls how detailed the design is. It dictates how many times the printer drops ink onto the page in a square inch and how many pixels to render on a screen in a square inch. There are many more technicalities to how this works. I’d recommend googling it to learn. In general, print often works at 300 DPI and digital works at 72 DPI.
Raster Vs Vector
wikipedia.org
In addition to the file specs mentioned above, you have two types of renderings: Raster and Vector. Raster images are what we are most familiar with seeing. These images are made up of hundreds or thousands of tiny square coloured pixels that create the image. Vector images are based on math and are resolution independent. The diagram below elaborates more in the difference between raster and vector graphics when zooming in.
Print Specs
We’re going to jump over web specs. The colour format and DPI are the two most important things for the web. For print, there are more specs to be aware of. Below is a demonstration of a book cover. On the left side is an empty document with coloured boxes. The right has the same coloured boxes and the book cover design.
Depending on your graphic design software, each program will display these bounding boxes differently. Some print shops even offer templates – in PSD or PDF – formats that have these set up for you.
Crop Marks: These small slits help the printer to know where to cut the paper.
Bleed: When you are printing on paper, and what to take up the full document from corner to corner, the way to do this is with bleeds. Bleeds are an additional space beyond the document itself, and the design elements are also on the bleed. Crop Marks align with the bleeds so when the printer cuts, it doesn’t leave any white space behind. Try printing out a photo and then cut it out, it is challenging to exclude white slivers on the edges. Bleed sizes will range, be sure to check with the print shop on what bleed size to use. Often 0.125” or 0.25” on each side is standard
Final Trim: This is the edge of the finished piece after the printer has trimmed off the bleeds and crop marks.
Page Margin: The page margin is the safe space to include all of the critical information on the document. Margins will range depending on the project. The safe-zone for your content is there in case of a printer shifts the paper, or when trimming the crop marks, they cut too close. Stay within the recommended margins, and you won’t have any information cut.
Print Specs vary from Shop to Shop
The technicalities mentioned above will vary depending on the shop. There are some standards across the board since a lot of them use similar printers and processes. Especially in digital printing vs offset printing. Be sure to ask your print shop or review their specs online. Amazon’s Kindle Direct Publishing outlines all the specs needed.
Graphic Design Tools and Technicalities Resources
Okay, we’ve covered many technicalities, now, let’s go over some tools. We will not be discussing each software and how they work. There are full resource books, courses, and website dedicated to learning how they operate. What we will do is separate the resources into paid and free categories so you can determine how you want to control your budget.
Doing graphic design as a profession, I am biased and would recommend the paid software. The reason for this is you get more tools readily available, and you get to work with industry standard files. Freeware can also be buggy and limited.
Paid Tools and Resources

Your Exercise
We’ve covered graphic design tools and technicalities from a high-level perspective. Now, in preparation for the final blog post, obtain a graphic design software and become familiar with the interface and the tools within the program. Gimp is a free program that mirrors a lot of Photoshop’s capabilities. Alternatively, you can download a trial run of Photoshop for 30 days. For the final blog post, we will combine our new knowledge and design an awesome book cover.

Aspose team has tested Aspose.Words for Java with Java 10 and is pleased to announce that Java 10 is now supported by the latest versions of Aspose.Words for Java. Developers can insert contents of outer documents to their reports dynamically using LINQ Reporting. Starting from Aspose.Words for Java 18.8, developers can enable doc tag to check the template syntax and populate with data using LINQ Reporting. By default, a document being inserted is not checked against template syntax and is not populated with data. It has added support to create snip corner rectangles in this version. This release has added HtmlSaveOptions.ExportCidUrlsForMhtmlResources property. Users can use this property to save the resources of MHTML document using the “Content-Id” URL Scheme. It has also added new property ShowComments in LayoutOptions class. This property is used to show or hide comments in fixed file formats e.g. PDF, XPS. By default, the comments are visible. A new property ShowInBalloons has been added to RevisionOptions class. This property is used to show revisions in the balloons. By default, the revisions in balloons are not shown. Previously, Aspose.Words used to save “@font-face” rules of HtmlFixed documents into a separate file “fontFaces.css” while other CSS declarations were written to “styles.css”. We have changed this behavior and now Aspose.Words saves all CSS rules and declarations into the same file “styles.css”. In case the old behavior is required for compatibility with legacy code, it can be restored by using the new public property HtmlFixedSaveOptions.SaveFontFaceCssSeparately. It has added new property RecognizeUtf8Text in RtfLoadOptions class. This property allows to detect UTF-8 encoded characters and preserve them during import. Obsolete value NumInDash was removed from NumberStyle enum. Please, use NumberStyle.NumberInDash value instead. Obsolete method ToTxt() was removed from Node class. Please, use ToString(SaveFormat.Text) instead. The obsolete property Location has been removed from the FootnoteOptions and EndnoteOptions classes. Please use the Position property. Also, the FootnoteLocation emum type has been removed. The list of most notable new and improved features added in this release are given below
Allow setting "Layout in Table Cell" option of shapes

XFA to Standard Acro Form Conversion & Enhanced PDF Rendering to Image, PDF/A & DOCX using Java
What's New in this Release?
Aspose team is pleased to announce the release of Aspose.Pdf for Java 17.3.0. It has specifically focused on PDF file conversion to various supported output formats. The PDF file to PDF/A format conversion and validation capabilities are among the salient features of Aspose.Pdf for Java and many customers are already taking benefit of these functionalities. In this release, the development team has specifically focused over these areas and have resolved many issues related to these features. With this new release, the API is more stable and capable of handling more complex documents and can gracefully handle documents with similar structure. The type of errors fixed for this feature include missing contents in resultant PDF/A file, garbled contents in resultant PDF/A, missing images in resultant file, missing compliance information in resultant file, errors due to color space etc. Aspose.Pdf for Java is an amazing API as it offers the feature to convert PDF files to various MS Office formats. Using this API, developers can transform PDF file to DOC, DOCX, XLS and PPTX format. Recently some customers reported problems related to the conversion of PDF files to DOCX format and in this release, many of these issues have been resolved and the API has become more stable in this area. Some general fixes in this area include resolution of exceptions, additional contents in resultant file and representation of contents in language other than English. However as mentioned earlier, the rendering mechanism has been greatly improved. Dynamic forms are based on an XML specification known as XFA, the “XML Forms Architecture”. The information about the form (as far as PDF is concerned) is very vague – it specifies that fields exist, with properties, and JavaScript events, but does not specify any rendering. The objects of XFA form are drawn at the time loading the document based on specifications. These documents also provides the capabilities to dynamically fill data inside them and save them separately. However when it comes to manipulation, it gets quite difficult and sometimes customers request to convert XFA forms to standard Acro Forms, as the standard form itself contains form fields and they are not generated on run-time. There is also great improvement in XFA forms to Standard Acro form conversion and API now provides more stability in this area. Apart from above mentioned improvements, the PDF to Image conversion, Text extraction, Text replacement, PDF file signing, Tex file to PDF conversion, PDF form filling, PDF file merge and import of Annotations are also improvement areas. Some important improved features included in this release are given below
PDF to JPG: text missing in output image
Form filled information changes after merge
PDF to PDF/A-1B: document is not compliant
PDF to PDFA1b: compliance failure due to CMYK error
PDF to DOCX - Exception during conversion
PCL to PDF: incorrect output is generated
PDF to PNG conversion results into a blurred image
Unable to convert XFA form to Standard AcroForm
Unable to convert XFA form to Standard AcroForm
Unable to validate PDF/A_1b compliance of document
Latex to PDF: rendering is incorrect
Incorrect color information is being retrieved for TextFragment
PDF to PDF/A - Contents get garbled and file is not PDF/A compliant
PDF to PDF/A - Contents get truncated in resultant file
PDF to PDF/A - Page contents are messed up
PDF to PNG: some images are missing on resultant image
PDF to PDF/A - Resultant file is not compliant
PDF to DOCX: Russian text is being added in resultant DOCX
Regression: 16.10.0 generates invalid PDFA document
When PDF is saved as DOCX, some additional new lines are added.
TIFF to PDF: corrupt PDF is being generated
TextFragmentCollection breaks Iterable interface
PPdfFileSignature does not retain image given width
XFA form is not being converted to Standard Acro Form.
PDF Merge Gives NullPointerException
Exception thrown when using Pdf Digital signature
Annotation import throws exception An element with the same key already exists in the dictionary

Calculate Table PDF Width & Embed Media Files inside PDF Document using .NET
What's New in this Release?
Aspose team is pleased to announce the release of Aspose.Pdf for .NET 17.3.0. This month release includes new feature to calculate Table width and embed media files(audio and video) in PDF document along with some other important features. Aspose team has also enhanced Footnote feature and HTML text support in this version in addition to many other bug fixes reported in old releases that improves the APIs functionality. Aspose team has implemented a new annotation RichMediaAnnotation in Aspose.Pdf for .NET 17.3. It is used to embed media files within PDF document. In fact RichMediaAnnotation is container for SWF (Flash) script. Due to license restriction Aspose team cannot include third-party flash scripts in our product, so users should provide their own script for playing video or audio. For example users can use VideoPlayer and AudioPlayer shipped with Adobe Acrobat. Please check documentation link for sample code and details to embed video/audio files in PDF document. In some scenarios, users have not hard coded the Table width in PDF document and later users want to know its width for some post processing. This release introduced a new method GetWidth() to calculate Table width in this release. Aspose.Pdf supports insertion of HTML string in PDF document. If HTML specified fonts are available on host system then it uses same fonts, otherwise it uses system default fonts for HTML string. It has received some requirements to support font overriding feature for HTML string. This release implemented TextState object in HtmlFramgent class, now users can override font details of HTML string.
