Fest help: using Airtable

A few people in the Fest Hub server on Discord asked me to prepare a tutorial on preparing a form and a prompt gallery for fests, so here's a short but comprehensive tutorial.

First, create an account on Airtable.com—I recommend using a fest or fandom email for that. Using the app the way in the capacity of the fest is free; you don't need to buy any additional plans.

(And it's not an Airtable ad either 😂 just some help for fest mods!)

CREATING A BASE

Click on the blue “Create” button placed at the left bottom of the page.

Click on “Create from scratch”—and now we’ve got a neat base in a grid view. Grid view is quite good for monitoring the participants list, but for prompts I recommend creating a gallery. Click on “Gallery” to create one. You can give it a specific name or just go with the standard name, it doesn’t change much for the view or form.

Now that we have a prompt gallery, we can modify the fields in each card. Click on the first card; it will open a full view of its body. To edit each field, you have to point towards the field’s name until a small arrow appears on the right. It will display a menu of actions. Click on “edit the field” to change the type of field, name and description. You can repeat it for every field in the card, adding and deleting records.

What fields you should consider when creating a gallery view for a fest?

Prompt status (claimed for fic/art, unclaimed)

To obtain the link to the prompt gallery you want to share, click on the “Share view” button, then create a link. You can now copy and paste it. You can copy the link later from the very same place.

Now that our prompt gallery is ready...

We can CREATE A FORM.

Click on “Form” at the end of the column. It will redirect you to a form you can modify any way you wish.

To edit a field, click on it. It will make an editing bar appear on the right, allowing you to modify the name and description of the field. 

To add a field, scroll to the place you want the new field to be added until you see a ‘+’ appear. Click on it, then on “Create a field”. Now fill out all the necessary data—the field name, its type, and description.

The neat “preview” option you can turn on any moment allows you to preview how the form looks like to the person filling it out.

Once you’re satisfied with the form, click on “publish”. The next window will allow you to copy the form link.

If you want to edit the form, you can enter it using the very same link everyone else is using. Then at the top of the page you’ll see the option to edit. You need to be logged into Airtable to do it.

And now all the records will appear in the prompt gallery once someone submits a form! 

You can also create a form for prompts claiming, but I recommend creating a separate base for it for two reasons: you will have to modify the prompt cards to hide the records included in the form (such as claimants email and name) and you’ll need to change the prompt status manually anyway.

The chill has flushed the tip of his nose and apples of his cheeks pink, and he looks so painfully pretty that it makes Harry’s heart hurt; this close, he can see a few patches of close-shaven stubble Louis’ razor hadn’t quite cleared away, and belatedly it strikes him that Louis must have shaved specifically for this. He’d certainly had noticeable scruff when Harry had been shamelessly ogling at him through the huge festival screens lining the stage earlier in the day. His teeth sink into his bottom lip to temper the satisfied little smile that blooms at the thought of Louis taking the time to neaten himself up for a night out with Harry, the idea sating the endless pit of need that Louis ignites in him just enough to quiet it for a short while.

Hello everyone!

After the success of Jegulus Big Bang 2024, we are back for a new run opening this month! We decided to move the schedule up a bit this year, as a lot of our deadlines overlapped with the holiday period and we are hoping an earlier timeframe will make it easier for those participating!

The blog has been updated with the new schedule, if you were wondering when deadlines will be, and sign ups will open on March 15th!

There have been some changes this year! As this is our second run, all author's who sign up will need to provide a link to a completed minimum 20,000 word fic that they have published (this can be for any fandom).

Another important change is the mod team. I am so appreciative of all the work the mods put into the last run, the Big Bang wouldn't have existed without them, and I am sad to see them go (though hopefully they'll still be joining us in the fest, just in a different capacity)! This run I (Shan @pissmotif) will be returning as a mod, with Em (@emlovessid) joining the mod team for the first time!

We look forward to seeing what you all create this year, and are so excited to be bringing it back for a second round!

**Announcing HD Hurt/Comfort Fest 2025!**

HD Hurt/Comfort is an 18+ anonymous prompt-based fest that welcomes creations from both the angsty and fluffy ends of the trope spectrum.

This fest was born from the idea that with darkness comes light, and that with hurt comes comfort. We believe that to every yin there is a yang, that every Jekyll has a Hyde. And through this fest we hope to achieve contentment with that balance. To that end, we will encourage and accept the following submissions:

A hurt/comfort combination 

The main pairing for all submissions is Draco Malfoy/Harry Potter. Participants may include any side-pairings, threesomes and/or original characters, as long as the final submission is still a Drarry-centric piece.

A few quick reminders for participants:

Please comment on your gift as soon as you can after it’s posted! Your gifter put a lot of work into creating something extra special just for you, and they are likely waiting anxiously to see your reaction.

Please do not respond to any of the comments on your work until after reveals in January.

Remember that what you receive is a gift. These gifts might not follow your exact prompts or incorporate every like, but please assume that your gifter did their very best to make something special for you. Be sure to leave them a nice comment to say thank you!

WELCOME TO THE INAUGURAL PEACHES AND PLUMS BIG BANG EVENT!

What does that mean?  Well, the short answer is a Magician’s Big Bang.  The longer answer is probably best answered in our Rules and FAQ page.  That’s where you’ll find all the details on what a Big Bang means, at least in this context.  Other fandoms and events may have different interpretations, so please, really, check out the FAQ.

There, now that you’ve done that and have some idea what THIS Big Bang is about, in general terms, we can get into the smaller details.

For our opening we’ve decided to run a Reverse Bang.  There are several reasons for that, most of which fall on the modding side of things, but also because it’s a smaller commitment which makes it great for a starter.  What that actually means is that artists will sign up first.  They will submit between one and two new original works.  Each work will go into a list of works for the event, and then writers will sign up and submit a list of which works they would like to write a 10k+ work inspired by.  Artists and writers will then be paired up based on those selections.  Now, Artists, this doesn’t mean that you can’t submit more art for your writer's work, if you so choose, but it isn’t required.  Just the original work, which can be tweaked with the writer's work if so desired, but again, isn’t required.  You could technically be done once your art is submitted to the selection pool.  It is lovely community, though, to be around for your writer to at the very least toss some ideas at, or pick your brain about your artwork.  And just to chat with other creators in general.

Writers, your job, once you’ve been given a partner, is to create a fic inspired by that piece of art.  For a Reverse Bang we’ve lowered the required word count to a 10k minimum, which is a large part of why we decided to start with a Reverse Bang.  Something a little smaller to let everyone get the feel for the event.

We will set up lines of communication between each set of partners for this event, be that email or discord.  So please be prepared to offer up one if not both of those methods of communication for your partner.

And that’s about it.  As the FAQ says, if you have any other questions please reach out, either here on tumblr or by emailing the mods at peachesandplumsbigbang @ gmail.com .
